Overview

Avaza is a professional-services platform for teams that want to coordinate projects, capacity, time, expenses, and client billing in one system. Its strongest case is the link between delivery work and invoicing; its free plan’s narrow user and billing quotas make it important to check the caps before adopting it.

Project teams get Kanban, Gantt, and List task views, plus budgets and email-to-task conversion. Scheduling connects availability to assignments and utilization forecasts, while expenses and invoicing carry work through to client payment. That breadth can reduce handoffs between separate project and finance tools, but organizations seeking only task management may not need the additional operational scope.

Avaza describes itself as professional-services automation software and says it serves more than 70,000 customers in 150 countries. It spans Professional Services Automation Software, Time and Expense Software, Time Billing Software, and Project Management Software.

Key features

Project management: Kanban, Gantt, and List views, filtering and grouping, project budgets, and email-to-task conversion give teams several ways to organize delivery. The combination is useful for varied workflows, though it is more than a lightweight task list.
Resource scheduling: Availability views, drag-and-drop assignments, leave and public-holiday planning, and utilization forecasts help managers balance work against capacity.
Time and expenses: Time tracking sits alongside receipt capture and digitization, expense approvals, and recurring expenses. This makes Avaza a natural fit when billable work and expense administration belong in the same process.
Invoicing: Estimates can become invoices; teams can customize branding and formats, set recurring or retainer invoices, and accept cards, digital wallets, and bank direct debits.
Reporting and automation: More than 50 real-time reports can be customized, saved, and scheduled for delivery. Automation rules add another way to streamline repeat work.
Integrations: Avaza says it connects with more than 500 apps. Named options include Xero, QuickBooks, Stripe, Google Workspace, Dropbox, GitHub, Jira, Salesforce, and Slack, among others.
Security and support: Avaza uses TLS 1.2+ for data in transit and encrypts multiple copies at rest. It also cites firewalls, DDoS prevention, patching, monitoring, backups, and TOTP-based multi-factor authentication. Payments meet PCI SAQ-A standards, with card data not passing through or being stored on Avaza’s servers. Support is available around the clock through chat, phone conversations, and demo walkthroughs.

Pricing

Avaza uses a freemium model. The Free plan costs 0.00 USD per free and allows unlimited project collaborators, but only one timesheet/expense user, one admin/finance user, one scheduling user, and five chat members. It caps active projects at five, customers at 10, invoices and bills at five per month, and storage at 100 MB. That is a useful way to assess the workflow, but not a roomy option for a team with multiple people handling time, expenses, or finance.

Startup costs 11.95 USD per month, billed monthly. It raises the limits to two timesheet/expense users, 20 active projects, unlimited customers, 50 invoices and bills per month, and 10 GB of storage; admin/finance, scheduling, and chat allowances remain one, one, and five. This is the entry paid tier for a small operation that has outgrown the Free caps.

Basic costs 23.95 USD per month, billed monthly. It includes five timesheet/expense users, two admin/finance users, 50 active projects, 100 invoices and bills per month, and 20 GB of storage. The scheduling and chat limits remain one user and five members. It suits a growing team that needs more billing headroom, though scheduling and chat seats do not grow with the tier.

Business costs 47.95 USD per month, billed monthly. It provides 10 timesheet/expense users, five admin/finance users, one scheduling user, five chat members, unlimited active projects, unlimited customers, and unlimited invoices and bills per month, with 30 GB storage. It is the tier for teams whose project or invoicing volume exceeds Basic, but the fixed scheduling and chat allowances may still require planning.

All three paid tiers include unlimited project collaborators and priority email and chat support; the Free plan includes email and chat support. The plan limits on operational users are distinct from project collaborators, so a large collaborator count does not mean everyone can use timesheets, expenses, finance, or scheduling.

Platforms

Avaza supports Android, iOS, macOS, Windows, web, API, and extension platforms, and is available on desktop, tablet, and mobile devices. Its chat has native apps for iOS, Android, Windows, and Mac.

Who it's for

Avaza is best suited to professional-services teams that need project planning, resource allocation, time and expense handling, and client invoicing to work together. Its varied project views and scheduling tools serve managers coordinating both tasks and capacity, while reports and integrations support teams that need visibility across their operations.

It is less compelling for a team that needs only project tracking, or one that expects many employees to record time or expenses on the free tier. Before choosing a plan, count the people who need each role, not just project collaborators, and compare expected monthly billing volume and storage with the plan caps.

Pros and cons

Pro: Project work can flow into time, expenses, and invoices, which is valuable for services teams tying delivery to client billing.
Pro: Scheduling combines availability, leave, assignments, and utilization forecasting, giving resource managers more than a task board.
Pro: Customizable, schedulable reporting and a broad set of integrations can support teams with established reporting and app workflows.
Con: Free access has just one timesheet/expense user and one admin/finance user, alongside five monthly invoices and 100 MB of storage; collaboration alone does not remove those limits.
Con: Scheduling stays at one user and chat at five members across every listed plan, including Business, which may constrain teams relying on those functions.

Alternatives

Choose Teamwork.com if a project-focused free tier with five projects, five users, and 100 automations better matches the team’s needs.

SuperOps is an alternative for teams seeking endpoint-oriented software with per-endpoint pricing and no free plan.

Consider Deltek Maconomy if an enterprise ERP for professional services is a closer fit and demo-request pricing is acceptable.

Accelo is another paid option, with custom quotes based on team size and growth goals and implementation guidance.

Datto Endpoint Backup for Windows is a paid, usage-based storage option rather than an Avaza-style project and billing platform.

Consider BQE CORE for its optional CRM modules, including prospect tracking and proposal building.

Rocketlane may suit teams willing to pay annually per team member, with a five-member minimum and unlimited projects on Standard.

Acumatica Professional Services Edition is an alternative for organizations seeking custom-priced professional-services software with deployment preferences factored into pricing.

Verdict

Avaza is a strong choice for professional-services teams that want project delivery, capacity planning, time and expense administration, and invoicing in one platform. The connected workflow and reporting are its clearest reasons to choose it; the role-based user caps, monthly quotas, and storage limits are the reasons to compare plans carefully or look elsewhere if the team needs broader access without tight allowances.
