Overview

TaxBandits is a service for preparing and electronically filing business tax and employment forms, from 1099s and W-2s to ACA 1095s and BOI reports. It is best suited to businesses and tax professionals handling recurring or high-volume filings, especially when they need to gather recipient information and check it before submission.

Its combination of bulk import, validation, integrations and mobile W-9/W-8 collection makes it more than a filing outlet. Payroll subscriptions have a separate cost boundary: annual W-2 and 1099 filings are charged in addition to the monthly plan.

Key features

Import and validation

CSV templates support bulk form-data uploads, and completed W-9 PDFs can be uploaded for AI extraction of recipient information. IRS business-rule and schema checks, TIN matching, and USPS address validation help catch common data problems before filing. These safeguards are valuable when managing many recipients, though they do not replace review of the underlying records.

Integrations and API

Connections include Sage Intacct, Karbon, QuickBooks, Xero, Zoho Books, FreshBooks and Zapier. The API supports e-filing workflows for W-9, 1099, W-2 and TIN matching, among other functions. That breadth gives service providers options for connecting filing work to existing systems; teams without integration needs may get less value from this part of the product.

Security and mobile collection

TaxBandits describes itself as SOC 2 certified and says it encrypts client data in storage and transit. Accounts can enable two-factor authentication with an authenticator app. Its Companion app for iOS and Android supports W-9/W-8 management; downloading and installing it, and collecting these forms, are free, with unlimited collection.

Pricing

Payroll pricing starts at $19.00 USD per month, and the payroll page offers a 30-day free trial. Basic Payroll costs $19.00 USD per month and includes unlimited payroll runs and pay stubs with a $0 employee fee. Plus Payroll costs $29.00 USD per month, also with a $0 employee fee, and includes Basic. The higher tier is for buyers who need the additional Plus package; the plan facts do not itemize its extra benefits. Both plans leave annual W-2 and 1099 filings outside the subscription, so employers should budget for those separately.

Basic and Plus are also shown at $19.00 USD per month and $29.00 USD per month respectively, each with a $0 employee fee and unlimited pay runs. These figures do not establish that annual filing is included, so they should not be treated as all-in prices for year-end forms.

For federal 1099 and W-2 e-filing, pricing is per form: $2.75/form for the first 10 forms, with lower per-form prices at higher volumes. That structure is straightforward for small batches but makes total cost volume-dependent. A free plan is available, although its caps are not established here; do not assume it covers a particular filing workload.

Platforms

TaxBandits supports web, iOS, Android, an API and an extension. The mobile Companion app is specifically useful for W-9/W-8 collection, while the API is the relevant route for building filing workflows into other software.

Who it's for

Business owners, tax professionals and service providers can use TaxBandits for federal and state tax filing, tax payment, form preparation, reconciliation and year-end forms. It is a stronger fit for organizations that handle several form types, need validation or want to integrate filing with accounting tools. A business buying payroll alone should compare the subscription with its separate year-end filing costs.

Pros and cons

Useful checks before filing: IRS rules, TIN matching and USPS address validation address distinct sources of form errors.
Flexible intake: Bulk CSV uploads and AI extraction from W-9 PDFs can reduce manual entry for larger recipient lists.
Free mobile collection: Unlimited W-9/W-8 collection in the iOS and Android app is useful when gathering forms is the main need.
Payroll is not all-in: Annual W-2 and 1099 filings cost extra, and federal form filing is priced by volume.
Free-plan boundaries are unclear: A free plan exists, but the cap is not established, making it difficult to judge whether it will cover a recurring workload.

Verdict

TaxBandits is a strong choice for businesses and tax professionals that need a connected workflow for collecting, checking and filing multiple kinds of tax forms. Its validation tools, integrations and free mobile W-9/W-8 collection are the clearest reasons to choose it. Look elsewhere if you need payroll pricing to include annual W-2 and 1099 filings, or if predictable total filing cost matters more than a broad set of workflows.
