Overview

Centerbase is an AI-powered legal practice and operations platform built for midsize law firms. It is best suited to firms that want matter work, billing, accounting, and client-facing processes connected in one system. Its broad scope is a meaningful advantage for firms consolidating tools, but custom pricing and Microsoft 365 requirements make it a considered purchase rather than an easy fit for every practice.

Key features

Centerbase brings timekeeping, billing, trust and firm accounting, matter and document management, and workflow automation together. That reach can give firms a more connected view of daily operations; smaller practices or firms seeking only one function may find the platform broader than they need. Client intake forms and a client portal extend the system to client-facing work, while document automation can support repeatable document processes.

Centerbase IQ answers plain-language questions about firm data and identifies the underlying records. That record trail is useful for checking the basis of an answer, though staff still need to review the records themselves. Integrations include Microsoft Office, QuickBooks Online, LawToolBox, NetDocuments, iManage, and Plaid. Connections to Outlook, Word, and SharePoint support email, document, and file workflows.

Those Microsoft 365 workflows require at least Microsoft 365 Business Basic. The plan does not support opening documents in desktop Office applications, a practical limitation for firms that rely on those apps. The web application recommends Google Chrome.

Centerbase says it uses 256-bit AES encryption for data in transit and at rest, with encrypted backups replicated to a mirrored disaster recovery site. Its security program follows SOC 2 Trust Services Criteria and has completed a SOC 2 Type II examination. Dedicated support specialists and customer success managers are available alongside self-service resources.

Pricing

Centerbase is paid software, and its core platform has custom pricing. Firms should request a quote and assess the scope against their needs before comparing it with narrower products.

Centerbase Payments costs 19.00 USD per month, billed monthly. Processing fees also apply: card processing starts at 1.99% plus $0.30 per consumer debit transaction, and ACH processing is 1%. The monthly subscription is only part of the cost for firms that take payments, so transaction volume and payment method matter when budgeting.

Platforms

Centerbase supports web, Windows, iOS, and Android. Its mobile app lets users record time and access bills, matters, contacts, and documents, which can help staff stay connected to firm work away from a desk. SecureChat is a premium feature. Microsoft 365 Business Basic is the minimum for document management, email, and calendar sync; desktop Office document opening is unavailable on that tier.

Who it's for

Centerbase is a stronger fit for midsize firms seeking a connected system for matter management and firm operations, especially those that value integrated accounting, timekeeping, billing, and client intake. Firms already working in Microsoft 365 should check that their subscription supports the workflows they expect. A practice that needs only intake, payments, or conflict checking may be better served by a focused product.

Pros and cons

Pros: Matter management, timekeeping, billing, accounting, and workflow automation sit in one platform, reducing the need to coordinate separate operational tools.
Pros: Centerbase IQ identifies the records behind its plain-language answers, giving staff a way to verify responses against firm data.
Pros: Mobile access covers time entry and core matter, billing, contact, and document information.
Cons: Core platform pricing is custom, so firms cannot readily judge cost without requesting a quote.
Cons: Microsoft 365 Business Basic is required for key sync and document workflows, yet it does not permit opening documents in desktop Office applications.
Cons: Payment processing carries additional transaction fees on top of the monthly Payments subscription.

Alternatives

For a broad legal practice platform, compare legal practice management software. Firms focused on payment processing can also review legal payments software; those assessing client access can explore legal client portal software, while conflict-focused buyers can compare legal conflict checking software.

Digitslaw is worth considering for firms that prefer a freemium option, with a free plan and a Starter monthly plan listed at 11667.00 NGN per month for 3 users. CaseFox may suit firms seeking a free starting point: its Solo plan is free, with access to 4 cases and 2 users, while its Professional plan is 45.00 USD per month.

For a narrower conflict-checking need, Client Conflict Check offers a Solo Firms plan at 199.00 USD per year for up to 2 active attorneys, with unlimited cases and searches. MatterSuite Matter Intake is an intake-focused alternative with matter lifecycle management and a team-triggered conflict check. PracticeConsole Client Intake starts at 15.00 USD per month per user and includes AI conflict checking, time tracking, invoicing, email and calendar sync, and a client portal.

Lawmatics is another paid intake and lead-management option, with calendaring, custom forms, e-signature, SMS, and task management in its Essential plan. Scalata is a freemium web option rather than a like-for-like legal operations platform. Caddi offers a free Individual plan for one user, with monthly credit and loop limits.

Verdict

Choose Centerbase if your midsize firm wants matter management and core operational work in a single platform, with mobile access and answers that point back to firm records. Look elsewhere if you need transparent core pricing, only a focused legal tool, or desktop Office document opening on Microsoft 365 Business Basic; payment fees also deserve a place in the budget.
