Overview

Each case profile brings intake data, services, assignments, referrals, notes, documents, notifications, and alerts together. That gives staff a single place to follow a client’s work, while service-plan, referral, and outcome tracking extend the record beyond basic intake. A client portal is also included.

Configuration is a central strength: social services experts can tailor intake forms, digitize paper forms, and automate manual processes. Organizations can use pre-built service forms, define custom services, and share external forms by link or embed them on a website. This flexibility is useful when programs have different information needs; the trade-off is a typical 8–12 weeks from contract to go-live, including migration, customization, and staff training.

Key features

Reporting and connections

Users can create filterable, shareable reports from database fields and visualize results with charts and graphs. That supports teams needing to examine program data without relying only on individual case records. DocuSign integration and API connections to systems such as statewide referrals, medical billing, payroll, staffing, and QuickBooks can connect Collaborate to wider operations. The API makes it adaptable to an organization’s existing systems, though the fit will depend on those systems and integration needs.

Security and support

The maker says Collaborate is HIPAA compliant and SOC 2 Type 2 compliant. Role-based permissions, multifactor authentication, SSO support, encryption, audit logs, and backups address access control and data protection needs. Support includes a knowledge base, in-app help, support requests, live and on-demand training, and an account manager—useful for organizations whose rollout involves staff training and configuration.

Networks

Collaborate for Networks supports secure sharing of sensitive data among organizations using Collaborate. It is relevant to agencies coordinating across organizations already on the product, rather than a general-purpose connection to any outside partner.

Pricing

Collaborate uses custom pricing based on organization size, user count, and modules, with no per-seat licensing fees. A quote is therefore necessary to compare its total cost with alternatives, but the absence of per-seat fees may suit agencies whose user counts fluctuate or involve many staff. The product includes custom intake forms, service-plan tracking, referral tracking, outcome tracking, and a client portal.

There are no published plan tiers or trial terms to weigh against one another. Organizations should assess the quoted modules and deployment needs together: the typical 8–12 week period covers data migration, customization, and staff training, so Collaborate is not the best match for a team that needs an immediate launch.

Platforms

Collaborate runs in modern web browsers as cloud-hosted software, with no installation required. It is accessible on desktop, laptop, tablet, and mobile phone with an internet connection; Android and iOS are supported, and API access is available. Browser-based access suits distributed staff who can connect online, but the stated mobile access depends on an internet connection.

Who it's for

The product is aimed at nonprofits and social services agencies, including children’s advocacy centers, domestic violence and sexual assault programs, youth and substance abuse treatment programs, health and wellness and housing programs, healthcare violence prevention organizations, and government human services departments. Its tailored intake, service tracking, and reporting are most compelling for organizations coordinating substantial client workflows. The implementation period makes it less suitable for teams that cannot reserve time for migration and training.

Pros and cons

Broad case profiles: Intake, services, assignments, referrals, notes, documents, notifications, and alerts sit together, giving staff a fuller working view of each case.
Adaptable data collection: Tailored, pre-built, custom, and external forms cover several ways to collect program information and reduce paper-based work.
Useful operational reporting: Filterable, shareable reports and visualizations can help teams review data across their database.
Security controls and support: The maker states HIPAA and SOC 2 Type 2 compliance and describes multiple access controls, alongside training and account-manager support.
Quote-based cost: Custom pricing and module-based costs require an organization to get a quote before comparing budgets.
Longer rollout: The stated 8–12 week deployment, including migration and training, requires advance planning rather than a fast start.

Alternatives

Nonprofit Case Management Software and Case Management Software are useful starting points for comparing options across those categories.

Primero is worth considering when a free, open-source, self-managed deployment matters more than Collaborate’s custom, organization-specific service.
CaseFlow may suit a small team that wants a published Base Package price of 150.00 USD per month, with a stated two-user limit and one custom workflow, rather than a quote-based purchase.
Neighbor Solutions is another paid option for buyers who want a published starting price and a free trial.
Case Amplify is an alternative with web and API platforms and a free trial.
In-Form may appeal to organizations looking for a freemium option developed by Homeless Link.
ShareVision is an option for web-only teams seeking a published 10-user plan with an annual commitment.
Bonterra Penelope is another paid case management option with Android, iOS, web, and API platforms.
CharityTracker may suit teams that want a free trial and a published per-user monthly plan.

Verdict

Choose Collaborate if your nonprofit or social services agency needs configurable intake, connected case records, and tracking across services, referrals, and outcomes. Its combination of tailored workflows and reporting is the main reason to choose it; look elsewhere if you need a published price, a short path to launch, or a free plan.
