Overview

Mayday brings error checks, adjustment calculations, approvals and journal posting into one close workflow. It flags missing or incorrect entries, prepares adjustments for review and approval, then posts approved journals to Xero or QuickBooks. That linked sequence is useful for teams that want a controlled path from identifying a problem to recording its correction, rather than separate tools for each step.

The product suite includes Flux, Prepayments, Accruals, Deferred Revenue, Balancer, Mayday HQ, BRAG and Recharger. This breadth lets teams select workflows relevant to their close, though it also means the right plan depends on the processes they need to cover. Mayday AIR suggests actions using accounting principles and business context; the maker says it does not train on private customer data without permission.

Mayday runs on AWS, with storage and processing in AWS's London region. Its security measures include encryption in transit and at rest, role-based access controls, 24/7 infrastructure monitoring, and SSO and MFA via Xero and Intuit. The maker says it complies with UK/EU GDPR requirements and aligns its privacy practices with the Australian Privacy Principles.

Key features

Review, approval and posting

Mayday can identify missing or incorrect entries, calculate adjustments, route them for approval and post approved journals. Approval workflows and an audit trail support teams that need a reviewable record of close decisions. Recurring templates and multi-entity close support repeatable work across entities, making the platform more relevant to larger finance operations than to a business with a simple, single-entity close.

Modular accounting workflows

Flux provides P&L variance analysis, AI commentary and review, approval and audit trail features. Accruals and Prepayments cover cost adjustments and release schedules; Deferred Revenue and Accrued Revenue address revenue schedules and recurring or ad-hoc accruals. Balancer, Recharger, BRAG and Mayday HQ extend the suite into intercompany, recharge and close-management workflows. Teams can focus on the work they need, but should compare the selected module's scope with their actual close rather than assume every plan includes the full suite.

QuickBooks Online restrictions

QuickBooks Online does not support BRAG or Mayday HQ, and some Balancer, Recharger, Deferred Revenue and Prepayments functions are limited. That narrows the value of the broader suite for QBO users; teams relying on those products should confirm that the remaining functions meet their needs. Xero users avoid these stated QBO-specific exclusions.

Pricing

Mayday uses a freemium model, with a free plan and a 30-day trial that does not require payment card details. The Basic plan is £0/mo and includes three intercompany balances in the same currency, unlimited users and live-chat support. It is a practical starting point for limited intercompany work, but the balance cap and same-currency restriction constrain its use for broader or foreign-currency operations.

The listed Flux, Accrued Costs, Advanced, Prepayments, Recharger Lite, Active, Deferred Revenue, Passive and Accrued Revenue plans are each billed at £10/mo. Flux adds variance analysis, AI commentary and review controls. Accrued Costs and Accrued Revenue provide ad-hoc and recurring accruals with AIR predictions; their prices scale with the number of entities. Prepayments adds release schedules and one-click posting to Xero or QBO, also with entity-based pricing, while Deferred Revenue offers schedules and one-click posting with the same scaling model.

Recharger Lite is aimed at teams with few inter-departmental transactions and shows three recharge rules. Active adds AR/AP matching, unlimited recharge rules and BRAG transactions, unlimited Mayday HQ access and unlimited users. Passive offers unlimited intercompany balances, FX adjustments, interest and downloadable reports, plus read-only Mayday HQ access and unlimited users. Advanced includes everything from Active, bespoke rule creation, two-hour tailored onboarding and a dedicated account manager. These plans target distinct workflows; the cheaper entry points do not amount to a full suite, and QBO users still face product-specific limitations.

The pricing note also gives a paid starting price of £12.50/mo on an annual term. Because the individual modules above are priced separately and some scale by entity count, buyers should confirm the cost for their intended combination. Mayday's in-app support chat receives a personal response within hours, often within minutes, according to its pricing FAQ.

Platforms

Mayday is a web platform that integrates with Xero and QuickBooks Online and also supports Intuit Enterprise Suite. Its web-only platform suits teams working through a browser, while the accounting integrations make platform compatibility a central buying decision. Confirm which functions work with the specific accounting system in use, especially for QuickBooks Online.

Who it's for

Mayday suits finance teams at larger, multi-entity businesses that need structured close checks, adjustment approvals and journal posting, especially when they want to select modules for particular workflows. Accountancy firms can also consider its Bureau plans. It is less compelling for teams whose required QBO workflows fall within the restricted products, or for buyers seeking a single, unrestricted package rather than a modular set of plans.

Pros and cons

Pros: The workflow connects error identification, adjustment review, approval and journal posting, giving close teams a defined route from issue to correction.
Pros: Multi-entity close, recurring templates and specialized modules serve businesses with repeatable, varied month-end processes.
Pros: Basic allows unlimited users at £0/mo, while paid modules start at £10/mo on the listed plans, giving teams a low-cost way to target specific needs.
Cons: QBO excludes BRAG and Mayday HQ and limits some other module functions, so compatibility can undermine the value of the wider suite.
Cons: Entity-scaled pricing for several modules makes the final cost depend on organizational size, and combining multiple workflows may require more than one plan.
Cons: The free Basic plan is restricted to three same-currency intercompany balances, so it is not a broad free close platform.

Alternatives

OneStream is worth considering for buyers seeking a paid platform with web, desktop, mobile, API and self-hosted platforms; its pricing is discussed through a demo. Double may suit teams wanting an annual flat-rate internal finance plan with unlimited users and a dedicated onboarding, though pricing requires contacting sales. FIS Data Integrity Manager is another paid web option for teams comparing data integrity tools.

novacly may appeal to buyers who want free beta access with full platform access, unlimited usage and multi-entity support; its beta duration is unspecified. CoGroAccounting offers a 60-day free trial with up to 10 team members, unlimited closes and tasks, all modules and AI assistant access. Eagl is another paid web alternative.

FloQast is a paid option with web, macOS and Windows support and customized packages based on organizational needs. Stacks Financial Close is another paid web alternative. For broader category comparisons, see Financial Close Software and Intercompany Accounting Software.

Verdict

Mayday is a strong fit for larger, multi-entity finance teams that want modular month-end controls, approval workflows and journal posting in a web platform. Its clearest reason to choose it is the connected close workflow, backed by specialist accrual, prepayment and intercompany tools. Look elsewhere if your QuickBooks Online process depends on BRAG or Mayday HQ, or if the module restrictions and entity-based pricing do not fit the way your team closes.
