Overview

Expensify brings expense reporting and spend management together with travel booking, reimbursements, bill pay, invoicing and chat. It suits individuals and businesses, especially small and midsize companies that want connected spending workflows without being required to use Expensify’s card. Its breadth is useful, but it is not an accounting ledger or tax filing service.

Key features

SmartScan extracts receipt details, codes expenses, matches card transactions when available and flags prohibited purchases at the line-item level. That can reduce routine entry while directing reviewers to specific questionable items. Expense reports, mileage reimbursement, per diem support, categories and tags, and custom distance and tax rates cover common reimbursement workflows; chat on each expense keeps discussion attached to the item.

Expensify can import card feeds from more than 10,000 banks, so adopting its own card is optional. Expensify Travel adds booking and policy controls for flights, hotels, cars and rail. Integrations span accounting, ERP, HR, payroll, travel, banking and consumer apps, with QuickBooks, NetSuite, Xero, Sage Intacct, Workday and Gusto among the named connections. A free self-service API offers another path for connecting systems.

Expensify says it is PCI-DSS Level 1, SOC 1 Type II and SOC 2 Type II compliant, with external grey box testing. It uses HTTPS and TLS for web connections and encrypts data both between browsers and servers and within its server network. Its Concierge AI handles many inquiries using help documentation and routes others to human responders and Success Coaches.

Pricing

The free Submit plan costs 0.00 USD per free and is billed free for all members. It includes receipt scanning, mileage tracking, expense reports, categories and tags, custom distance and tax rates, personal card import, chat on every expense, and AI and human support. That is a substantial starting point for individuals or teams focused on submitting and reimbursing expenses, but it is the lower-cost choice rather than a substitute for the paid plans’ broader spend-management tiers.

Collect costs 5.00 USD per month, billed at $5 per unique member per month. Every unique member added to a workspace is billed, so costs rise with membership rather than remaining a flat workspace fee. It is available only to customers whose first workspace was created on or after April 1, 2025.

Control has three price structures. The annual plan with Expensify Card costs 9.00 USD per month, billed at $9 per member per month; its discounted rate requires the Expensify Card to account for at least 50% of total settled spend each month. The annual plan without the card costs 18.00 USD per month, billed at $18 per member per month, with a 12-month commitment. It bills for members included in the subscription size and active members above that size at the pay-per-use rate. The pay-per-use plan costs 36.00 USD per month, billed at $36 per active member per month, with active members charged for the month. The card-linked annual option is the least expensive Control rate, but only works for businesses willing to meet its card-spend threshold; the no-card annual rate costs more and commits the buyer for a year, while pay-per-use avoids that stated annual commitment at a higher per-active-member price.

Expensify offers a 30-day trial. The freemium model makes it practical to start with Submit, but teams should account for per-member or per-active-member billing before choosing a paid workspace plan.

Platforms

Expensify runs on Android, iOS, macOS, web and Windows. Mobile apps on both major mobile platforms support teams that need expense workflows beyond the desktop.

Who it's for

Expensify is a strong fit for individuals and companies that want receipt capture, expense reporting, reimbursement, travel and related spend workflows in one product. Small and midsize businesses are its center of gravity, and its bank-feed imports and integrations help organizations that want to keep existing cards and connect business systems. Choose another tool or retain separate systems if the requirement is a ledger, tax filing service, bank or credit issuer.

Pros and cons

Pro: SmartScan combines receipt extraction, coding, transaction matching when available and line-item purchase flags, giving teams more than basic receipt storage.
Pro: Imports from more than 10,000 banks make the Expensify Card optional, while travel, reimbursement and integration coverage broaden its use beyond reporting.
Pro: Submit is free for all members and includes core expense-reporting and mileage tools, making it a usable entry point.
Con: Paid costs scale by unique or active members, and the discounted annual Control rate depends on putting at least half of settled monthly spend on the Expensify Card.
Con: Control without the card carries a 12-month commitment, and excess active members can be billed at the pay-per-use rate.
Con: Expensify does not replace accounting or tax software, and its card-related workflows do not make it a bank or credit issuer.

Alternatives

Zoho Expense is a freemium alternative with a free plan, free trial and Android, iOS, API and web platforms; consider it when those platform options are a better fit.

Ramp AP offers a free plan for smaller teams looking to simplify finances, making it an option to consider for that stated priority.

BILL Accounts Payable is a paid alternative with a free trial and a $49.00 USD per month Essentials plan; consider it when a paid accounts-payable and accounts-receivable subscription better matches the need.

Brex has a free Essentials plan at $0 user/month, covering up to two entities (one global entity) and one local card program; it may suit buyers whose priority is that stated entity and card-program allowance.

Cegid Retail is a paid option with custom pricing; consider it when requesting a demo for that product is the preferred next step.

Emburse Spend starts with an $8.00 USD per month Basic plan that includes up to 50 ACH reimbursements, while its $12.00 USD per month Plus plan makes ACH reimbursements unlimited. It is worth considering when those reimbursement allowances match the expected volume.

Moss has a free plan for up to three users, with unlimited cards, up to 20 invoices per month, customisable approval and verification steps, and a debit-only Moss wallet. That free allowance may better suit a small team whose needs fit those limits.

Minute7 is a paid alternative at $8.00 USD per month with time and expense tracking, a mileage calculator, receipt attachments and QuickBooks synchronization; consider it when that combination is the priority.

Verdict

Choose Expensify if you want receipt capture, reimbursement and travel workflows in one system, with a free starting tier and the option to keep existing bank-card feeds. Its strongest reason to buy is that breadth without a mandatory Expensify Card; its clearest reason to look elsewhere is that per-member costs, card-linked pricing conditions and annual commitments may not suit every team, and it cannot replace accounting or tax software.
