Overview

Power BI pairs report building with ways to distribute insights across Microsoft Teams, PowerPoint, SharePoint, and other apps. Its integration with Microsoft 365, Azure, Purview, Dynamics 365, and Power Platform makes it a natural fit for organizations already using those services. Hybrid deployment, hourly refresh frequency, row-level security, and scheduled reports support uses beyond one-off exploration.

Key features

Power BI Desktop is a free download for data exploration and report authoring. The free account supports rich, interactive reports and dashboards for personal use, but it does not remove the key team-use constraint: sharing reports requires Pro or Premium.

Natural-language queries let users ask questions about data or describe a report, with Copilot generating visuals and reports from those requests. That can make it easier to move from a question to a view, though the core appeal remains strongest for users working within Microsoft's broader ecosystem. Row-level security, built-in security, and compatibility with governance solutions give administrators controls as access expands. OneLake provides a centralized data foundation with open formats and consistent governance.

Developers can place interactive reports in their own applications through Power BI Embedded. A unified capacity model is intended to help scale access, simplify administration, and optimize costs. Support includes technical support, documentation, training, service status, and community help.

Pricing

Free account: Free, with no credit card required. It covers personal report and dashboard creation, and includes Power BI Desktop for exploration and authoring. It is a sensible starting point for an individual, but the sharing restriction makes it a poor fit for teams that need to distribute reports.

Power BI Pro: 14.00 USD per month, billed yearly. It is the entry paid option for users who need to share reports; the stated limits are 8 scheduled refreshes per day and 10 GB per license. Pro is the practical step up for team distribution, but its refresh and storage allowances are substantially below Premium Per User's.

Power BI Premium Per User: 24.00 USD per month, billed yearly. It raises the limits to 48 scheduled refreshes per day and 100 TB native storage, making it the stronger fit where more frequent refreshes or substantially greater storage capacity matter. Both paid per-user plans are annual-billed, so the monthly price does not mean month-to-month billing.

Power BI Embedded: custom pricing; contact sales. It is for developers putting customer-facing reports, dashboards, and analytics into applications. Embedded analytics are also described as starting at $1 per hour, so usage-based cost may be relevant alongside the per-user plans.

Fabric Capacity Reservation is an annual purchase with savings of 40.5% over pay-as-you-go prices. Fabric Capacity Pay-As-You-Go lets customers scale capacity up or down and pause it; both have custom pricing. Actual prices can vary by currency, country, and regional factors. The free account and Fabric free account do not require a credit card; paid Pro and Premium purchases are available with a credit card.

Platforms

Native mobile apps are available for Windows, iOS, and Android. Power BI Desktop is available as a free download for report authoring and data exploration. Hybrid deployment broadens its deployment options beyond a single model.

Who it's for

Power BI is a strong choice for individuals who want to create reports without an upfront charge and for organizations already invested in Microsoft services that need governed sharing and reporting. Pro suits teams that need to share reports at the lower paid tier; Premium Per User fits users who need higher refresh frequency or far more native storage. Embedded is the relevant route for developers adding analytics to their own applications.

It is less suitable for a team expecting free report sharing, or for buyers who need a simple monthly per-user commitment: sharing requires an upgrade, and the per-user prices are billed yearly.

Pros and cons

Pros: Free personal authoring, including a free Desktop app, lowers the barrier to exploring data and building reports.
Pros: Microsoft 365, Azure, Purview, Dynamics 365, and Power Platform integrations make it well aligned with organizations already using that ecosystem.
Pros: Row-level security, scheduled reports, hourly refresh, and embedded analytics support controlled distribution and application use.
Cons: The free account cannot share reports, so team use quickly entails a paid plan.
Cons: Pro and Premium Per User prices are billed yearly, and Pro's 8 daily refreshes and 10 GB per license may constrain heavier workloads.
Cons: Embedded and Fabric capacity options use custom pricing, making their costs less straightforward to assess from the per-user tiers.

Verdict

Choose Power BI if you want free personal report creation and expect to share or govern analytics within a Microsoft-centered organization. Its clear upgrade path and broad Microsoft integrations are compelling, but budget for annual-billed seats once reports need to reach others. Look elsewhere if free team sharing or more transparent capacity pricing is essential.
