Overview

Recurring invoices, automatic billing and quotes sit alongside invoice tracking, overdue-balance reports, payment reminders and a customer payment portal. That makes Invoice Ninja useful not just for issuing bills but for following up on them. Clients can pay through supported gateways including Stripe, PayPal, Square and GoCardless.

Beyond billing, users can track billable time, manage projects with Kanban boards, and track expenses and vendors. This breadth can consolidate several routine business tasks, but is less of an advantage for someone who needs only a straightforward way to send invoices.

Key features

Invoicing: Recurring invoices, automatic billing and quotes cover repeat work as well as one-off jobs. Eleven customizable templates provide options for invoice presentation.
Payments and follow-up: Gateway support, payment reminders, invoice tracking, overdue-balance reports and a customer portal provide tools for collecting and monitoring payments. Invoice Ninja says payment card details are handled by the selected gateway and that it does not store full card numbers.
Time, projects and expenses: Billable-time tracking, Kanban project boards, and expense and vendor tracking suit businesses that need billing connected to their work.
Connections: Zapier, Make, Pabbly Connect and n8n integrations support automation workflows. REST API access is reserved for Pro and Enterprise, so users who need API integration must move beyond Free.
Security and support: Invoice Ninja says its hosted platform has completed a SOC 2 examination and lists TLS 1.2+ encryption in transit, AES-256 encryption at rest and MFA availability. It says customers can email the co-founders for support, and also points to community forums, Slack and Discord.

Pricing

The free plan is genuinely free forever, but limited to five clients. It includes unlimited invoicing and all 11 invoice templates, making it a useful starting point for a freelancer with a small client list; the client cap is a meaningful constraint for anyone building a larger book of business.

Ninja Pro costs 14.00 USD per month, billed monthly, and removes the client limit while retaining unlimited invoices. It adds API integration and automatic payment reminders, making it the clearest step up for growing businesses or those needing programmatic access. Enterprise costs 18.00 USD per month, billed monthly, with pricing scaling by account users; it supports up to 100 users and includes 250 PEPPOL credits. That makes it the team-oriented tier, though the per-user scaling matters when estimating the cost of a larger account.

Premium Business starts at 280.00 USD per contact, billed from $280/year, and is positioned around all Pro and Enterprise features, direct priority support and developer concierge. It is aimed at customers who need that higher-touch assistance rather than a basic invoicing subscription. Invoice Ninja also describes self-hosting as free, with source code available for deployment on a user's own server.

Platforms

Invoice Ninja offers browser, macOS, Windows, Linux, iOS and Android apps, with data syncing across devices. Self-hosting is another option for users who want to deploy the source-code-available product on their own server. The platform range is broad; the choice between hosted service and self-managed deployment is likely to matter more than device coverage for most buyers.

Who it's for

Freelancers and small businesses that bill clients for ongoing or project-based work are the natural fit, particularly when time tracking, expenses and project management belong in the same workflow as invoicing. A solo operator can start on Free if five clients are enough. Businesses that need more clients, API access or a larger team have clear paid tiers to consider. It is a weaker fit for users who want only a minimal invoicing tool and would not use the additional work-management features.

Pros and cons

Pro: Invoicing, payment follow-up, billable time, projects and expenses share one product, which suits service businesses managing work and billing together.
Pro: Hosted and free self-hosted options, plus desktop and mobile apps, give buyers flexibility over deployment and access.
Pro: The free plan includes unlimited invoices and 11 templates, making the five-client cap its main constraint rather than an invoice quota.
Con: Free stops at five clients, so businesses that outgrow that roster need a paid plan.
Con: API access starts at Pro, and Enterprise pricing scales with account users; access and team growth therefore affect the subscription decision.
Con: The broad feature set may be unnecessary for someone seeking invoice creation alone.

Alternatives

For a free invoicing option, Zoho Invoice is free forever for Indian businesses and supports up to two users, three projects and 500 invoices per year; consider it when those caps fit better than Invoice Ninja's five-client free tier. InvoiceShelf is another free, open-source self-hosted option, with unlimited invoices and customers and no seats or subscription, so it may suit buyers who prioritize those limits over Invoice Ninja's broader feature mix.

BILL Accounts Payable combines accounts payable and accounts receivable in its Essentials plan at 49.00 USD per month, billed monthly, and offers a free trial; choose it when that AP-and-AR scope is the priority. InvoiceSherpa offers a Sole Proprietor plan at 41.00 USD per year, billed $41/mo, with up to 100 open invoices, custom scripting and scheduling, and payment and accounting software integration; it is worth considering when those invoice-follow-up capabilities are the focus.

ezyCollect starts with an EZYSTART plan at 275.00 USD per year, billed annually, capped at 200 monthly average active debtors, three users and one workflow; consider it when a defined debtor and workflow allowance suits the operation. Invoiced uses custom pricing based on requirements and use, with a demo offered for a quote. Emagia Receivables Management is an enterprise receivables-management option with pricing by inquiry. Versapay offers tailored quotes that vary with invoice volume, customer count, users, integrations and capabilities.

Verdict

Choose Invoice Ninja if you are a freelancer or small business that wants invoicing, payment collection and project-related administration under one roof, especially if self-hosting matters. The free tier is a credible starting point for up to five clients, while Pro is the practical upgrade for an expanding client base or API needs. Look elsewhere if your workflow needs only simple invoicing, or if the client cap and user-scaled Enterprise pricing do not fit.
