Overview

PowerPoint pairs a large template library with tools for creating and refining presentations. Microsoft Designer recommends layouts for text and graphics, and users can draw or write on slides and convert that input into text or shapes. These options give presenters several routes to a polished deck, though the free plan offers only basic templates and design elements.

It is also built for shared work and delivery. Presentations support real-time collaboration, comments and @mentions. Cameo adds prerecorded video to slides; Speaker Coach gives feedback on pace and vocabulary during practice; and Accessibility Assistant recommends changes to formatting, color and word choice. Copilot can rewrite, reorganize or add slides. These tools broaden the workflow, but the presentation still needs its author's judgment and review.

Documents created by users belong to them and can be stored online or locally. Fully installed Office apps can work offline, but after 31 days without internet access they enter reduced functionality mode and cannot create or edit documents. That condition matters to anyone expecting uninterrupted offline use.

Key features

Design and editing: Thousands of customizable templates, illustration tools and Designer recommendations support slide creation. Handwriting conversion is useful for users who sketch or annotate directly on slides.
Collaboration: Sharing, live co-editing, comments and @mentions suit teams building a deck together. The free web tier includes sharing and real-time collaboration, so basic joint work does not require a paid plan.
Presentation support: Cameo, Speaker Coach and Accessibility Assistant cover video delivery, rehearsal feedback and accessibility recommendations. They are helpful additions for presenters, not substitutes for final checks.
Copilot and bundled apps: Copilot can edit slide content directly. Microsoft 365 also bundles PowerPoint with apps including Word, Excel, Outlook, OneNote, OneDrive and Teams, making a subscription more compelling for people who use that broader suite.
Storage and security: Consumer plans include cloud storage, and Microsoft 365 Personal includes Microsoft Defender security and OneDrive ransomware protection. Microsoft 365 plans also include ongoing technical support.

Pricing

PowerPoint is freemium. The free PowerPoint for the web tier includes sharing, real-time collaboration, basic tools, dictation and 5 GB of storage. Its basic templates, fonts, icons, stickers, spelling and grammar tools, voice commands and dictation cover a lightweight workflow, but users seeking the broader Microsoft 365 bundle or more storage will need a paid plan.

Microsoft PowerPoint: Custom pricing; for one person with 5 GB of cloud storage. This is the standalone option shown for a single user, but without a published price it is difficult to compare with the subscription bundles.
Microsoft 365 Personal: 9.99 USD per month, for one person, five devices and 1 TB of storage. It fits an individual who wants desktop and mobile Office apps, the wider Microsoft 365 bundle, security features and support.
Microsoft 365 Family: 12.99 USD per month for one to six people, with five devices per person and up to 6 TB of storage, or 1 TB per person. It suits households sharing the subscription; its larger allowance is not useful to a solo user who does not need multiple seats.
Microsoft 365 Premium: 19.99 USD per month, includes everything in Family and up to 6 TB of storage. It is the higher-priced consumer choice for those who want that package, but the listed inclusions do not distinguish additional benefits beyond Family.
Microsoft 365 Business Basic: 7.00 USD per year, billed per user/month and paid yearly, for up to 300 users. It includes web and mobile Office apps, 1 TB per user, Teams and core identity and access management; it is the lower-cost business fit if desktop Office apps are not required.
Microsoft 365 Business Standard with Copilot: 23.50 USD per year, billed per user/month and paid yearly, for up to 300 users. It adds desktop, web and mobile Office apps, 1 TB per user and Copilot, fitting organisations that want installed apps and AI editing.
Microsoft 365 Business Premium with Copilot: 32.00 USD per year, billed per user/month and paid yearly, for up to 300 users. It includes desktop, web and mobile apps, 1 TB per user, Copilot, advanced device management and threat protection, for organisations needing those administration and security capabilities.

Microsoft 365 consumer plans offer a one-month free trial; business plans show a free-trial option. Subscriptions automatically renew at the regular price and selected term unless cancelled in the Microsoft account; the business annual subscriptions also auto-renew. Check the renewal terms before starting a trial or subscribing.

Platforms

PowerPoint runs on Windows, macOS, Android and iOS, and also has a web version. Desktop apps support offline use when fully installed, subject to the 31-day internet check. The web tier provides a route to shared presentations without installing a desktop app, while mobile apps extend access to phones and tablets.

Who it's for

PowerPoint is a strong fit for people who make presentations regularly, collaborate on decks, or want rehearsal and accessibility guidance alongside design tools. Individuals can start with the free web tier, while Microsoft 365 Personal makes more sense when one user also wants the bundled apps and 1 TB of storage. Family is better suited to multiple household users; organisations can choose business tiers based on whether they need only web and mobile apps or also desktop software, Copilot and advanced administration.

It is a weaker fit for someone who needs a full-featured presentation workflow at no cost, or who expects installed apps to remain fully editable indefinitely without internet access. The free tier is deliberately basic, and the offline mode has a firm connectivity condition.

Pros and cons

Pro: A broad set of design, collaboration, rehearsal and accessibility tools supports the work from slide creation through delivery.
Pro: Real-time co-editing, comments and @mentions make shared deck development practical, including on the free web tier.
Pro: Multiple platform options and offline desktop use accommodate different work settings, while documents can be stored online or locally.
Con: The free plan limits users to basic tools and 5 GB of storage, so it may not satisfy people wanting the broader paid experience.
Con: Installed apps lose editing and creation capability after 31 days without internet access, a meaningful constraint for extended offline work.
Con: Consumer and business subscriptions renew automatically unless cancelled, so trial users need to track the renewal decision.

Alternatives

For a broader comparison of slide-making options, browse Presentation software. Google Drive is worth considering when cloud storage is the priority: its free plan includes up to 15 GB with a Google Account, compared with PowerPoint's 5 GB free web storage. For dedicated file storage choices, see Cloud Storage Services; for design tools beyond presentations, see Graphic Design Software.

The other linked products—Typeform, Paperform, Jotform, SurveyJS, Zoho Forms, Formlets and forms.app—are form builders rather than direct presentation replacements. Readers choosing a form tool instead can compare Form Builder Software; the directory also has AI App Builders and File Sharing Software lists.

Verdict

Choose PowerPoint if you want a presentation tool with broad platform support, team editing and useful coaching and accessibility aids, especially if Microsoft 365 is already part of your workflow. Look elsewhere if a basic free tier is not enough or long stretches of offline editing are essential: those are the clearest limits on an otherwise comprehensive presentation package.
