Overview

Refiner covers several parts of a feedback program: NPS, CSAT, CES, product-market-fit surveys, user research, onboarding and UX feedback, user profiling, and in-app messages or calls to action. Targeting can use traits, behavior, device, language, and prior responses, with surveys triggered by events or delays. That combination is useful for software teams seeking timely, segmented feedback; teams that only need occasional general-purpose forms may not need this range.

Dashboards provide NPS, CSAT, and CES charts with trend lines, response segmentation, and filters. AI-powered tagging of open-text answers can help organize qualitative feedback, while AI translations and an MCP server that lets AI assistants access survey data add ways to work with responses. Integrations include Segment, RudderStack, Amplitude, Mixpanel, Salesforce, HubSpot, Slack, Microsoft Teams, Zapier, Make, REST API, and webhooks. They sync new data after configuration but do not backfill historical survey responses, a drawback for teams moving an established feedback program into connected workflows.

Refiner states that it has SOC 2 Type II, GDPR, CCPA, and HIPAA compliance frameworks. It says user data is hosted in AWS EU-WEST-1 in Ireland and stays within the EU by default, with TLS 1.2 encryption in transit and AES 256-bit encryption at rest. Customers can delete individual user records, purge environments, or configure automatic deletion of old user data. After a subscription ends, data may remain available for export for up to 180 calendar days.

Key features

Multichannel surveys: In-app and mobile surveys, website popups, email surveys, and shareable links let teams collect feedback in different user contexts.
Contextual targeting: Traits, behavior, device, language, and prior responses can shape who sees a survey, while event- or delay-based triggers can time it to user activity.
Feedback analysis: NPS, CSAT, and CES trend charts, segmentation, filters, and AI open-text tagging support both score tracking and qualitative review.
Workflow connections: A broad set of analytics, CRM, messaging, automation, API, and webhook integrations can pass newly collected data into other tools, but not historical responses.
AI options: Response tagging and translations, alongside MCP access for AI assistants, extend how teams can organize and use survey data.

Pricing

Refiner uses a freemium model, with free access and a 30-day trial. Essentials and Growth have custom pricing in the plan comparison, with monthly or annual billing; annual plans are approximately 17% cheaper. Their unlimited response allowances make the published audience, pageview, survey, and environment ceilings more important than a response quota.

Plan	Price and terms	What it includes	Best fit
Free	0.00 USD per free	Essentials features; 25 survey responses per month. It automatically applies after the trial ends or a paid subscription is cancelled.	Evaluation or very small feedback programs that can stay within 25 responses monthly.
Free trial	0.00 USD per free; billed 30 days	All survey features and integrations, capped at 100 responses; no credit card required.	Teams that want to assess the full feature set before choosing a paid plan.
Essentials	Custom pricing; monthly or annual billing	Up to 500,000 MAU, 10,000,000 monthly pageviews, 20 simultaneously published surveys, 4 environments, and unlimited survey responses.	Teams whose program fits the lower audience and environment ceilings.
Growth	Custom pricing; monthly or annual billing	Up to 1,000,000 MAU, 20,000,000 monthly pageviews, 50 simultaneously published surveys, 12 environments, and unlimited survey responses.	Larger programs needing higher audience, pageview, survey, or environment allowances.
Enterprise	Custom pricing	Custom monthly active users, unlimited simultaneously published surveys, environments, and team members; priority technical support and dedicated customer success.	Organizations needing uncapped team and environment capacity or dedicated support.

The free plan’s 25-response ceiling is restrictive for ongoing collection, while the trial’s 100-response cap makes it a short evaluation window rather than a high-volume pilot. Essentials and Growth remove response caps but still impose MAU, pageview, survey, and environment limits. Paid plans include documentation and email support; Enterprise adds priority technical support and dedicated customer success.

Platforms

Refiner supports Android, iOS, web, and API. This span suits software teams collecting feedback across mobile and web products or connecting their own systems through an API.

Who it's for

Refiner is a strong fit for software companies running structured feedback programs across multiple channels, particularly when they need audience targeting, NPS or customer-effort reporting, and CRM or analytics connections. Its free tier can help with initial evaluation, but teams expecting more than 25 monthly responses should assess a paid plan or use the capped trial to judge the workflow. Organizations that need historical responses to flow into integrations, or teams looking only for simple high-volume forms, should look elsewhere.

Pros and cons

Pro: Multiple survey channels and targeting by user context support feedback that is more relevant than a single untargeted survey.
Pro: Trend charts, segmentation, filters, and AI tagging bring quantitative and open-text analysis together.
Pro: Paid plans allow unlimited survey responses, with higher MAU, pageview, survey, and environment ceilings on Growth and Enterprise.
Pro: EU-default hosting, stated security frameworks, and configurable deletion controls give privacy-conscious teams concrete data-management options.
Con: Free access stops at 25 responses per month, limiting its usefulness for a live feedback program.
Con: Integrations only sync new data after setup, so teams cannot use them to backfill historical survey responses.
Con: Essentials and Growth have custom pricing, making plan costs less straightforward to compare before engaging with the maker.

Alternatives

Choose Formbricks if self-hosting matters: it supports a self-hosted platform option, and its Hobby plan allows 250 responses per month in one workspace. Choose Fynzo Survey if a free plan with unlimited surveys, questions, and responses is a better match than Refiner’s 25-response free cap.

Customer Thermometer is another option for teams comparing customer-feedback products. Mapster offers a free plan with 50 responses per month and unlimited surveys, while its Starter plan is 19.00 USD per month. SatisMeter has a free plan with 25 responses per month and no free trial, making its entry allowance comparable to Refiner’s free cap.

For teams focused specifically on NPS and CSAT with email and QR collection, NPS Surveys by SalesHub offers CX Lite at 3500.00 USD per year for up to 10,000 surveys annually. nps.today provides a one-month free trial with 50 surveys per month and email collection. Survicate is another freemium survey option to compare.

Verdict

Refiner is best for software teams that need targeted, multichannel feedback, analysis, and integrations in one platform. Its breadth, segmentation, and unlimited-response paid plans are the strongest reasons to choose it. Look elsewhere if you need integrations to import historical responses, or if a 25-response free ceiling and custom-priced paid tiers do not fit your evaluation or budgeting needs.
