Overview

ZibaDesk is a beauty CRM combining client records, appointments and point of sale for salons and clinics. It suits businesses that want treatment-specific records alongside booking and retention tools. Its strongest appeal is that breadth; the main checks are staff limits and the conditions on Xero syncing.

Profiles bring appointment, service, product and payment history together, with notes for formulas, colour codes, sensitivities, preferences, contraindications and consent. Lifetime spend, visit frequency and rebooking rate help businesses identify client patterns, while segmentation supports targeted SMS and WhatsApp campaigns. Loyalty points and rewards apply automatically at checkout, connecting repeat-visit incentives to sales.

ZibaDesk says client data is encrypted and access-controlled, and clinical photos are kept in a private encrypted vault. For Australian clinics, client records, photos, consents and recordings are hosted in Australia in data centres with ISO 27001 and SOC 2 Type 2 certification. Clinic customers can export client, appointment, sales and clinical-record data as CSV or JSON, consents as PDF and photos as image files.

Key features

Client management: Treatment notes and service history make the CRM relevant to salons and clinics that need more than basic contact records.
Retention tools: Client segmentation, SMS and WhatsApp campaigns, and checkout-applied rewards support targeted follow-up and repeat visits.
Operations: The platform combines appointments, POS, customer management and online booking. Its overview also lists gift cards, SMS reminders, multi-language support and offline-first POS.
Integrations: ZibaDesk lists Stripe Payments, ClickSend SMS, WhatsApp Messaging and Tyro EFTPOS. Xero receives completed sales as paid invoices with line items and GST, and matches customer contacts; syncing is limited to sales rung after connection and auto-sync are enabled, with no historical migration by default.
Language support: The interface supports English, Persian, Vietnamese, Korean, Chinese, French and German, with right-to-left support for Persian and Arabic.

Pricing

ZibaDesk uses a freemium model and advertises a 14-day Pro trial with no credit card required. The free plan has no price stated and allows one staff member, with POS, customer management, reports and analytics, online booking, an appointment calendar and inventory tracking. That makes it a way for a solo operator to cover core front-desk work, but it does not include the paid plans' stated campaign and team provisions.

Pro costs 19.99 AUD per month, billed per business, for up to five staff. It adds SMS campaigns, WhatsApp messaging, shift scheduling, priority email and chat support, advanced reporting, custom branding and staff performance. This is the clearest fit for a small team that needs outreach and scheduling without unlimited seats.

Ultra costs 39.99 AUD per month, billed per business. It includes unlimited staff, dedicated support, priority onboarding and an aesthetics clinic suite. The higher price is most defensible for a growing team or aesthetics clinic that needs those specific provisions; smaller businesses may not need the unlimited staffing or enhanced support.

Platforms

ZibaDesk is available on Android, iOS, macOS, web and Windows, giving businesses desktop and mobile options. The maker lists offline-first POS, which is relevant to point-of-sale use when connectivity is interrupted.

Who it's for

Its stated customer range spans hair and nail salons, beauty, lash and brow studios, spas, aesthetic clinics, tanning and waxing salons, and tattoo studios. Detailed notes and clinical-photo handling are particularly pertinent to clinics; booking, checkout, loyalty and campaigns also suit appointment-led salons. Australian clinics may value local hosting and the stated data-centre certifications. Businesses outside Australia using Xero should check the currency restriction: the integration is for businesses using AUD or NZD.

Pros and cons

Pro: Client history, treatment notes and retention metrics sit alongside booking and sales, reducing the need to separate those workflows.
Pro: Export options cover client and operational records as well as consents and photos, giving clinic customers several formats for portability.
Pro: The one-staff free plan includes booking, POS and inventory, while Pro raises the cap to five and Ultra removes it.
Con: Xero sync is restricted to AUD or NZD businesses and does not migrate historical sales by default.
Con: The free plan is capped at one staff member, and Pro at five; teams exceeding that need Ultra.

Alternatives

For a broader shortlist, start with Salon CRM Software. Consider WellnessLiving if its classes and appointments booking, client and staff apps suit your operation; its Starter plan is 62.00 USD per month billed annually and permits one staff member. Wellnito is worth comparing if its free tier's 100 appointments and bills per month, 500-client CRM and three staff cover your needs. Salonist may fit a business whose needs match its free tier of 50 appointments per month, online booking, scheduling and staff shifts.

DaySmart Salon is another option to compare for a paid plan with one user and online booking. Orbis Salon may suit a smaller operation willing to work within its Lite plan's one staff member, one location and 30 bookings per month. Pronto is an alternative if its free caps of one staff member, 100 clients and 50 bookings a month are sufficient. GlossGenius is worth considering for its Standard plan's custom booking website and email and text marketing. Vanopa is another paid alternative to compare.

Verdict

Choose ZibaDesk if your salon or clinic wants detailed client records, appointment and point-of-sale workflows, and built-in tools for retention in one platform. Its treatment-specific notes, export options and Australian hosting provisions give clinics meaningful reasons to consider it. Look elsewhere if Xero needs to cover a different currency or historical sales, or if your team cannot fit the free or Pro staff caps and Ultra's support and clinic features do not justify the step up.
