Overview

8seats is a work messaging platform for frontline and deskless teams that need to coordinate staff who may not have company email. It suits organizations communicating across locations, especially in retail, hospitality, logistics and similar operations. Its mix of phone-based onboarding and separate formats for broadcasts, group conversations and private chats is compelling; the free plan’s 10-employee cap makes it a small-team starting point, not a long-term option for larger workforces.

Key features

Rooms are for team-wide broadcasts, Tables for focused group conversations and Direct Messages for one-to-one chats. That division helps teams distinguish announcements from discussion and private exchanges, rather than funneling all communication into one format. File sharing and audit logs round out the operational toolkit.

Employees can join with a phone number instead of a company email, a practical fit for deskless staff. An admin dashboard manages users and communication across locations; role-based permissions control who can view or manage conversations, and administrators can remove access instantly. Guest access brings external partners into conversations, while branding customization lets organizations adapt the app’s appearance.

The maker says messages are encrypted in transit with TLS 1.3 and at rest with AES-256, and that the service runs on AWS and is built for 99.99% uptime. Those claims will matter to teams weighing access and security controls, though organizations that depend on a particular third-party integration should look elsewhere: no named integrations are included among 8seats’ capabilities. The Help Centre provides tutorials, FAQs, troubleshooting, support requests and bug reports.

Pricing

Plan	Price	What it includes
Starter	Free	Up to 10 employees, unlimited guests, 365-day message history and 1 GB storage.
Business	2.99 USD per month (billed user/mo)	Unlimited employees, expanded storage, checklists and tasks, multi-location management, announcement broadcasts, and advanced features and controls.

Starter is a sensible way for a small team to try the service without paying, and unlimited guests make the employee ceiling less restrictive when outside partners need access. But 10 employees, 1 GB of storage and 365 days of history are meaningful constraints; teams with more staff or heavier file needs will have to move up. Business starts at 2.99 USD per user per month and removes the employee cap while adding expanded storage and work-management features. The pricing page offers monthly and yearly options and says “Save 16%”; larger teams should account for the per-user charge when comparing costs. A free trial is available.

Platforms

8seats runs on Android, iOS, macOS, web and Windows. Mobile apps are available, which suits teams whose staff rely on phones as well as managers working from computers.

Who it's for

8seats is aimed at frontline and deskless workforces in retail, hospitality, facilities management, transport, logistics and construction. It is a strong fit when employees lack company email, teams span locations, or managers need controlled access and a way to involve guests. It is less suited to organizations that need named third-party integrations, or larger teams hoping to remain on the free plan.

Pros and cons

Phone-number onboarding: Staff can join without a company email, useful for deskless workforces.
Distinct messaging formats: Rooms, Tables and Direct Messages separate broadcasts, group discussion and private chat.
Access management: Role-based permissions and instant access removal give administrators control across locations.
Useful free entry point: Unlimited guests and a year of history make Starter practical for small teams, but the 10-employee and 1 GB storage caps limit its reach.
Per-user paid plan: Business supports unlimited employees and adds tasks and multi-location management, but its cost grows with the number of billed users.
No named integrations: Teams that need a specific external service connected to their messaging should consider another product.

Alternatives

For a wider shortlist, browse Secure Team Chat Software. Troop Messenger is worth comparing if Linux support matters; its free plan covers 1–50 users and 50 GB of storage, while a seven-day enterprise experience is offered. Choose Wire if source-code availability for verification is a priority; Wire says its code is fully open source and available on GitHub. Rocket.Chat is another option, with a free Starter plan for 50 users. Celo may suit teams seeking HIPAA-compliant messaging; its free plan supports up to 10 users. For personal encrypted messaging with file and group limits, consider Crypho. eXpress is an alternative to compare. Teamwire may suit buyers seeking a paid plan with annual billing; its Small Business plan is 79.00 EUR per month for 25 users and three devices per user. AWS Wickr is worth considering if a three-month premium trial for up to 30 users is useful.

Verdict

Choose 8seats if you need structured messaging and access controls for a frontline workforce whose employees may not have company email. Phone-number onboarding, guest access and multi-location administration make it a focused fit for distributed operations. Look elsewhere if integrations are essential or if the free plan’s employee and storage limits are too tight; Business removes the headcount ceiling, but charges per user.
