Overview

ActivTrak is a workforce analytics platform for organizations that want to understand digital work patterns across office and remote teams. It is best suited to employers seeking productivity, schedule and AI-use insights without default screenshot capture or more intrusive monitoring methods. Its combination of real-time activity reporting and privacy controls is compelling, though team size, data history and support requirements can shape the cost and fit.

Founded in 2009, ActivTrak refreshes data in real time and supports custom dashboards. Its focus is analysis of work activity: the company says it does not use keystroke logging, email monitoring, camera access, personal-device monitoring or video recording. Key features

Workforce and productivity insight

Workforce Management combines real-time workforce visibility with productivity trends and schedule and location adherence. Productivity Optimization categorizes time as productive, unproductive or offline, giving managers a framework for spotting patterns to address. These tools suit teams that want operational visibility; organizations seeking only basic activity reporting may not need the broader analytics.

AI insights

AI Insights measures AI usage and compliance, tracks adoption maturity and benchmarking, and assesses productivity impact to inform optimization. That makes ActivTrak relevant to organizations trying to understand how AI tools are being adopted, not just whether they are used.

Privacy, security and integrations

Screenshots are not taken or retained by default; they are available only through the optional Screen Details add-on. ActivTrak states that it holds SOC 2 Type 1 and Type 2 certifications and encrypts customer data in transit and at rest. Native integrations bring in calendar and PTO data from Microsoft Outlook and Google Calendar, while Microsoft Entra ID and SCIM support user management.

The ActivConnect add-on provides API or SQL access to live and historical data, with pre-built templates for Power BI, Looker Studio and Tableau. The ActivTrak Assist Browser Extension works alongside the Windows or Mac desktop agent to capture more detailed URL data. That additional detail may help analysis, but it requires an extension in addition to the agent.

Pricing

ActivTrak has a free plan and a 14-day trial. The Free plan costs 0.00 USD per free and is limited to three people, 30 days of data history and basic activity visibility. It can suit a small team evaluating the core product, but its short history and narrow user cap constrain longer-term or organization-wide analysis. Free accounts with no login for 30 days are marked inactive and receive an email about pending deletion.

Work Activity Tracking and Workforce Management have custom pricing. Both include six months of data history; the former allows 20 configurable work schedules, while the latter allows 50. Workforce Management is the more suitable tier for teams that need the larger schedule allowance and its workforce-management functions. Productivity Optimization also has custom pricing, with one year of history and 50 configurable work schedules; the longer history better fits teams tracking trends over time.

A paid support plan is required for purchases involving more than 50 licenses, an important constraint for larger deployments. ActivTrak offers Digital Support, Premier Support and Signature Support, all US-based.

Platforms

ActivTrak supports web access and agents for Windows, macOS and ChromeOS. Its ChromeOS agent can run in Chrome on Linux systems without a native Linux agent. Linux, macOS, Windows, API and extension are also among the listed platform options. The Assist Browser Extension is specifically designed to work with the desktop agent on Windows and Mac.

Who it's for

ActivTrak is a strong fit for organizations that need visibility into productivity, schedules, work locations or AI adoption, and want those insights without keystroke, email, camera or personal-device monitoring. Its schedule allowances and longer history on paid tiers can support more sustained analysis. Teams needing more than 50 licenses should account for the required paid support plan; teams that only need basic visibility may find the free tier’s three-person limit too restrictive to scale.

Pros and cons

Useful range of workforce insights: real-time visibility, productivity patterns, schedule and location adherence, and AI-use analysis address more than one management question.
Privacy-conscious defaults: screenshots are off by default, and the company says it avoids several intrusive monitoring methods.
Meaningful free entry point: basic visibility costs 0.00 USD per free, but is capped at three people and 30 days of history.
Support requirement for larger purchases: more than 50 licenses require a paid support plan, which organizations must factor into deployment planning.
Extra detail and data access are add-ons: Screen Details and ActivConnect extend the product, but are not part of the stated base capabilities.

Alternatives

Choose Insightful if you want a paid workforce analytics plan with real-time overview, capacity analysis, app and website usage, and screenshots: its Workforce Analytics plan is 8.00 USD per month, billed annually. CurrentWare Data Loss Prevention is a better direction when USB/device control and data-loss prevention are the priority; its standalone AccessPatrol plan is 12.00 USD per month, billed annual.

Perceptyx is an alternative with custom enterprise pricing. Qualtrics offers a free surveys plan for individuals, with one user, three active surveys and 500 total responses. Worklytics may suit teams seeking calendar-based insights: its free plan supports up to 100 users, calendar data only and 30 days of history.

Oracle Fusion HCM Analytics is another paid option, with a hosted-employee plan priced at 5.00 USD per month and a minimum of 1,000 hosted employees. Visier People is an alternative for buyers comparing paid workforce analytics platforms. Gallup Access is another paid option, with subscription options provided through its Business Development team.

Verdict

Choose ActivTrak if your organization needs real-time workforce and productivity visibility, including AI-use analysis, while avoiding several intrusive monitoring practices. Its free plan is useful for a small initial group, and paid tiers extend history and schedule capacity. Look elsewhere if three free users are not enough, or if your deployment exceeds 50 licenses and a paid support plan does not fit your requirements.
