Overview

Families can find programs, register and pay through the platform, while organizations manage rosters, attendance, billing and family messages. That joined-up workflow can reduce the need to handle sign-ups and day-to-day program administration separately. The trade-off is that processing activities through AfterSchool HQ carries a support fee, with an additional transaction fee for credit card payments.

Key features

Organizations can publish programs online and accept payments by credit card or ACH. Subscriptions and payment plans give providers options for collecting fees over time. However, coupons apply to registration fees only, not payment plans, which may constrain promotions for families paying in installments. Providers should also weigh both applicable fees when choosing how to collect payments.

Rosters and attendance tracking support routine program management, while check-in and check-out help verify student drop-off and pickup. Email and text messaging give staff direct ways to reach parents. Impact reporting extends the platform beyond enrollment administration to program outcomes.

A Zapier integration can trigger actions when a registration is submitted, which may help connect registration to other workflows; it requires an organization API key. Connected apps can include the AHQ Hub App, AHQ Import App, AI Reporting Assistant and Grafana, depending on organization permissions and enabled features.

The terms state that retained data is encrypted at rest, access is limited to authorized personnel, and activity is logged and monitored. They also state that OpenAI does not train its models on business data processed through the Assistants API, and that account assistants and chat threads are isolated.

Pricing

AfterSchool HQ uses a freemium model and offers a free trial. Its plan prices are:

Plan	Price	What matters
Free	Free	Transaction fees apply to activities processed through AfterSchool HQ.
Lite	Custom pricing	Transaction fees apply to activities processed through AfterSchool HQ.
Pro	Custom pricing	Transaction fees apply to activities processed through AfterSchool HQ.
Enterprise	Custom pricing	Transaction fees apply to activities processed through AfterSchool HQ.

The free plan gives organizations a way to start without a plan charge, but it is not fee-free when activities are processed through the platform. Lite, Pro and Enterprise all use custom pricing, so organizations comparing them will need to establish which plan suits their needs and budget. No plan-specific seat or usage caps are stated. The additional credit card transaction fee and the coupon restriction on payment plans matter regardless of plan.

Platforms

AfterSchool HQ runs on Android, iOS and the web. The parent app is web-based, so families looking specifically for a native parent app should consider that distinction.

Who it's for

Schools, activity providers and youth programs are the intended users. It is a sensible fit for organizations that need online enrollment and billing alongside attendance, pickup verification and parent messaging. Providers that rely on coupons for installment plans, or that need to minimize payment-processing costs, should compare alternatives before committing.

Pros and cons

One workflow from registration through attendance: online enrollment, billing, rosters, attendance and check-in/out address several stages of program operations.
Flexible payment collection: credit card, ACH, subscriptions and payment plans give providers multiple ways to collect, although coupons cannot be used on payment plans.
Multiple parent communication channels: email and text can reach families through the same platform used for program administration.
Fees apply to processed activities: the support fee applies to activities processed through the platform, and credit card payments also incur a transaction fee.
Custom-priced paid plans: Lite, Pro and Enterprise require a quote, making plan costs harder to compare upfront.
Web-based parent app: the parent app is web-based even though the product itself is available on mobile platforms.

Alternatives

For a broader shortlist, see Childcare Management Software.

Cheqdin is worth considering if a free plan capped at five students is enough; its free tier offers email support only, with no personalised training or record archiving at the limit. Its Starter plan is 68.00 USD per month.
OWNA may suit teams seeking a free plan with curriculum planning, sign-in/out attendance, a parent app and compliance features; its Premium plan is 39.00 USD per month.
QikKids may be a better fit for a provider choosing among place-based Playground tiers, from 0–39 to 70–99 places.
Sandbox Software is an alternative for smaller programs wanting a stated monthly price: its 0–24 Children plan costs 47.00 USD per month, with unlimited users and devices and no contract.
Kangarootime may suit a small operation that can work within a free tier of one program, one school and five staff members.
Neztio offers a free Starter plan for up to 15 children, while its Standard plan is 79.00 USD per month for unlimited children.
Uniqda is another option if a month-to-month plan for up to eight enrolled children is the relevant scale.
EZChildTrack is an option for programs seeking a paid subscription priced according to program size.

Verdict

Choose AfterSchool HQ if your school or youth program wants families to enroll and pay online while staff manage attendance, pickup and communication in one system. Its strongest case is the span from registration through daily operations; its main drawback is the combination of activity support and card transaction fees, plus the inability to apply coupons to payment plans. Look elsewhere if those costs or promotion limits outweigh the convenience of a shared workflow.
