Overview

AssetFrog is a cloud-based fixed-asset register that pairs asset records with depreciation calculations. It is best suited to organisations that need accounting-oriented tracking and staff checkout without running software on their own servers. Its free tier makes it possible to start small, but the asset and custom-field caps are important as a register grows.

Key features

Tracking and depreciation

Records capture each asset’s location, user and current status, while depreciation calculations support financial reports, forecasts and budgets. Tax depreciation is included. This combination suits teams that need an operational inventory and depreciation figures in the same system; it is less compelling if the main requirement is simply a lightweight list.

Scanning, checkout and records

A mobile browser can scan barcodes or QR codes to register, update or check an asset. Staff checkout adds due dates, notes and return tracking, which gives teams a way to follow equipment beyond its assigned location. Category-specific custom fields let records vary by asset type, and attached invoices, contracts and other files keep supporting documents with the asset.

Migration and security

An import wizard supports moving data from another system and bulk registration of identical assets, reducing the burden of building a register one item at a time. AssetFrog says it uses 256-bit SSL encryption, Amazon AWS hosting and encryption for stored documents. Customers can contact support by submitting a help-desk ticket.

Pricing

The free plan costs 0.00 AUD per free and allows up to 50 assets, one user and three custom fields. It is a practical starting point for a small, single-user register, but the one-user ceiling and limited fields make it a poor fit for shared tracking or varied asset categories.

Paid plans are billed annually, with the stated monthly rates rising with the asset cap: AF100 is 16.00 AUD per month for up to 100 assets; AF250 is 35.00 AUD per month for up to 250; AF500 is 54.00 AUD per month for up to 500; AF1000 is 87.00 AUD per month for up to 1,000; AF1500 is 120.00 AUD per month for up to 1,500; AF2000 is 153.00 AUD per month for up to 2,000; AF2500 is 186.00 AUD per month for up to 2,500; AF3000 is 219.00 AUD per month for up to 3,000; and AF4000 is 268.00 AUD per month for up to 4,000. Every paid tier includes unlimited users and 30 custom fields, so the choice is chiefly about asset capacity. The unlimited-user promise has a soft limit of 500 users, after which customers should contact AssetFrog.

There is a meaningful step from free to AF100: the paid entry tier doubles the asset allowance, expands custom fields from three to 30 and removes the one-user cap. The listed prices are monthly equivalents billed annually, so buyers should account for that billing term when comparing costs.

Platforms

AssetFrog runs on Android, iOS, macOS, web and Windows. It is cloud-only, with no on-premises deployment. It can also be installed as a progressive web app on Windows, Android, macOS and iOS devices; organisations requiring self-hosted software should look elsewhere.

Who it's for

AssetFrog fits organisations that need fixed-asset location and assignment records, depreciation calculations, document attachments and a checkout trail, particularly when staff need to scan assets from a mobile browser. The free plan can serve a small register with one user; teams sharing responsibility or using more than three custom fields need a paid tier. Growing registers can move through asset caps up to 4,000, while very large organisations should weigh the stated soft limit on users and the absence of an on-premises option.

Pros and cons

Integrated asset and depreciation records: location, user, status and depreciation calculations sit together, with tax depreciation included.
Useful field and handoff controls: category-based custom fields and checkout return tracking support different asset types and staff assignments.
Paid plans accommodate shared use: tiers include unlimited users, although the soft limit of 500 means very large user populations need to contact the maker.
Free tier is constrained: one user and three custom fields restrict collaboration and tailored records.
Cloud-only delivery: no on-premises edition rules out organisations that require local deployment.

Alternatives

AssetAccountant is worth considering for a much smaller register: its free plan covers up to 10 assets and includes all features and integrations except leases. AssetComply is another free-plan option with up to 100 assets, while AssetFrog pairs its paid 100-asset tier with depreciation, checkout and document features.

AssetCenter may suit a smaller deployment that needs a free 25-asset allowance and no reports, or a paid 250-asset tier. Minty Assets is an option for web-only users who want a free 50-asset plan with straight-line or no-depreciation choices and eight reports, rather than AssetFrog’s broader platform coverage and checkout records.

xAssets ITAM is the alternative to examine when self-hosting matters; its free Express Edition is cloud hosted and includes 100 endpoints per user plus AD, AWS and GCP capabilities. Fixed Asset Register, AssetLens and Kleos are also alternatives to compare.

Verdict

AssetFrog is a strong fit for organisations that want a cloud-based fixed-asset register combining depreciation, mobile scanning and staff checkout, with paid plans that support shared users. Choose it when those workflows matter and the asset cap matches your register; look elsewhere if you need on-premises deployment, more than 30 custom fields or a free multi-user plan.
