Overview

Bay-Master is shop-management software for auto repair businesses that want to coordinate front-desk work, technicians, parts, and customer follow-up in one system. It is a strong fit for shops that need digital inspections and parts ordering as well as work orders; its custom pricing makes cost comparison a sales conversation.

Key features

Technicians can customize inspection forms, add notes and photos on a tablet or smartphone, and create estimates from inspection results. That links vehicle findings to proposed work, which is more useful for shops that want inspections to drive estimates than for those seeking only a digital checklist.

Scheduling covers tickets, named bays, committed times, and day, week, or month views. Together with work orders and technician time tracking, those tools suit shops coordinating work across several bays. Parts ordering can check shop inventory, compare supplier availability and prices, and order compatible parts directly from a ticket, tying purchasing to a repair rather than treating it as a separate lookup.

Customer records include service history and financing, while text and email tools support marketing and reminders for appointments, services due, recommendations, and inactive customers. The QuickBooks interface can post sales and receivables tickets, track postings, and update inventory from deliveries and sales. The site also names Carfax, Worldpac, MOTOR, Wisetack, PartsTech, NAPA Auto Parts, and Nexpart connections.

Bay-Master says it uses generally accepted industry standards to protect personal and financial information in transit and storage, but does not guarantee absolute security. It says it does not receive or store customers’ credit-card information; an outside processor or Fullsteam Operations LLC handles subscription and point-of-sale payments. Support is available by voicemail at (855) 211-2828 and direct line at (732) 473-0260, Monday through Friday, 9:00 AM–5:30 PM EST.

Pricing

Bay-Master is paid software with custom pricing; shops must speak with sales rather than compare published package prices. Essentials is described as a simple option for a small shop that only needs to create invoices, although the features page also associates it with scheduling, inventory, reporting, digital inspections, QuickBooks integration, and marketing. It may suit a smaller operation, but buyers should confirm the precise package configuration before committing.

Traditional includes one Workstation + Cloud connection and two technician tablet connections. High Performance includes three Workstation + Cloud connections and five technician tablet connections, making it the clearer fit for shops needing more simultaneous access. Both list scheduling, inventory, reporting, digital inspections, QuickBooks integration, and marketing. Since no prices are published, the value of the added connections depends on the quote; ask sales to clarify any seat or usage terms before comparing plans.

Platforms

Bay-Master supports Android, iOS, web, and Windows. Workstation + Cloud access is listed, while digital inspections work on tablets or smartphones, giving staff mobile access to inspections alongside workstation use.

Who it's for

Bay-Master is aimed at auto repair shops that want estimating, work orders, inventory, scheduling, payments, reporting, and customer communications under one roof. It is particularly relevant where staff need to move from inspection findings to estimates and parts orders, or where QuickBooks posting matters. A shop that only needs basic invoicing may find Essentials worth considering; operations that require a price upfront or more transparent package limits should compare alternatives first.

Pros and cons

Pro: Inspections can include notes and photos and feed estimates, connecting diagnosis with customer-approved work.
Pro: Parts ordering from a ticket combines inventory checks, supplier comparison, and compatible-part purchasing with repair planning.
Pro: QuickBooks posting and inventory updates can reduce separation between shop transactions and accounting workflows.
Con: Custom pricing makes budget screening difficult before speaking with sales.
Con: Technician tablet connections vary by package—two on Traditional and five on High Performance—so shops should match the configuration to their staffing needs.

Alternatives

ARI is a practical alternative for buyers who want a free plan or trial and a published ARI Pro price of 39.99 USD per month; its listed tools include invoicing, inspections, inventory, accounting, appointments, reminders, and time tracking.

GEM-CAR may suit shops preferring published tiers: I Standard is 149.00 USD per month for 100 GB storage and two included users, while II Premium is 299.00 USD per month. CCC ONE Repair Workflow is another paid option for buyers comparing repair workflow software across Android, iOS, web, and Windows.

LxCars is worth considering for buyers who want a free, self-hosted, MIT-licensed community edition on Linux or web. Mitchell RepairCenter is another paid option, with Android, iOS, API, and Windows platforms.

Workshop Software offers a free trial and a Silver plan at 99.00 AUD per year, billed $1,188 + GST annually, with job and vehicle management, booking management, and data import/export. Verdict

Bay-Master is a strong candidate for repair shops that want inspections, estimating, scheduling, parts purchasing, and customer follow-up connected to daily work. Its clearest advantages are ticket-linked parts ordering and a QuickBooks interface that also updates inventory. Choose it if that workflow breadth fits your shop; look elsewhere if you need transparent pricing or want to assess package costs before contacting sales.
