Overview

CaseFox is an all-in-one legal practice system for handling matter administration alongside billing and trust accounting. It is most compelling for solo lawyers and firms that want those workflows in one place; the free Solo tier is unusually accessible, but its four-case cap makes it a starting point rather than a team-wide solution.

Its range is a strength: legal billing formats, payment tools, AI document work, mobile offline access, and broad export capability sit alongside case management. The trade-off is a sharp step up in price for uncapped cases and per-user pricing once a firm grows beyond the free plan.

Key features

Matter work and records

Case and task management, court calendars, deadline reminders, and Excel case reports cover the routine coordination needs of a practice. The one-click workbook export is particularly useful when records need to move out of the system: it includes time and expense entries, trust transactions, clients, cases, invoices, payments, calendar entries, and tasks. This breadth makes CaseFox less of a dead end for firms that want to retain or work with their operational data elsewhere.

Mobile apps for iOS and Android support offline case work and later synchronization. That is a practical advantage for lawyers who need matter access away from a reliable connection, though the offline promise is specifically about case work.

Billing, payments, and accounting

Time and expense tracking feed one-click or batch invoices and recurring billing. UTBMS codes and LEDES invoices make the billing feature set relevant to practices with more structured legal billing requirements. Payment plans, a client payment portal, ACH and card payments, legal billing integration, and reconciliation tools extend the workflow beyond invoice creation.

Trust and operating accounts, IOLTA tools, detailed ledgers, and accounting reports give firms a more complete financial workflow than a time tracker alone. CaseFox’s combination is useful for practices that want billing and trust activity close to matter records; firms seeking only a narrow invoicing tool may not need this breadth.

AI, integrations, and safeguards

CaseFox AI can draft and review legal documents, analyze files and contracts, extract details and citations from uploads, and provide matter insights. Those capabilities broaden the product beyond administration, but the value will depend on whether a firm wants AI work inside its practice system.

Integrations include Box, Dropbox, Google Drive, Google Calendar, Gmail, Microsoft Office 365, Outlook, QuickBooks, Xero, PayPal, and LawPay. CaseFox says it uses SSL and other encryption, keeps a database replica in another state, makes regular backups, and limits server access to key personnel. The maker also advertises 24/7 phone, email, and chat support, plus onboarding, staff training, and data migration.

Pricing

Plan	Price	What it includes	Best fit
Solo	Free Forever	All PRO features, 4 cases, and 2 users	Solo practitioners or very small practices testing the workflow
Professional	45.00 USD per month per user	Unlimited cases, 10 GB+ document storage, 2-factor authentication, and free add-ons	Firms that need more than four cases and want the core paid plan
Enterprise	99.00 USD per month per user	Everything in Pro, white labeling, a complimentary firm website, and custom data migration; customization at additional cost	Organizations that need branding or migration support

The free tier is genuinely usable rather than time-limited, but four cases and two users put a hard ceiling on how much practice activity it can hold. Professional removes the case limit and adds storage and two-factor authentication, but the per-user monthly price makes seat count important when estimating team cost. Enterprise adds branding and migration services at a higher per-user rate; customization carries an additional cost. A free trial is also available.

Platforms

CaseFox runs on the web and offers Android and iOS apps. The mobile apps support offline case work with later sync, which is a meaningful distinction for users who need mobile access beyond simple online use.

Who it's for

Solo lawyers can start without a subscription, while small and mid-sized firms can use the paid plans for unlimited cases and shared matter, billing, and accounting workflows. Larger firms and enterprise legal teams may value migration and customization options, although seat-based pricing can add up. Attorneys, CPAs, consultants, and investigators are the intended audiences; the product is most appropriate when case administration and financial operations need to stay connected.

Pros and cons

Pros: The free plan includes all PRO features, so a two-user practice can assess a substantial feature set before paying.
Pros: Trust accounting, legal billing formats, payment collection, and reconciliation tools sit alongside case management, reducing the need to split these workflows across separate products.
Pros: The broad Excel export covers financial and matter records, giving firms a practical route to take data out.
Pros: Offline mobile case work and a wide set of cloud, email, accounting, and payment integrations support varied working setups.
Cons: Solo is capped at four cases, so an active practice can outgrow the free tier quickly.
Cons: Professional and Enterprise are priced per user each month, making team size a key cost driver.
Cons: Enterprise customization costs extra, so the $99.00 USD per month per-user price does not cover every tailored requirement.

Alternatives

For an intake-first workflow, MatterSuite Matter Intake is a paid option with a free trial, mobile and web platforms, and a law firm plan covering intake, team-triggered conflict checks, lifecycle management, timekeeping, and expense capture.

PracticeConsole Client Intake is a better fit when client intake and conflict checking are the priority: its Starter plan is 15.00 USD per month and includes AI conflict checking, time tracking, invoicing, sync, and a client portal.

Caddi is another freemium option, with a free one-user Individual plan and web access.

Lawmatics is a paid alternative with a free trial and an Essential plan centered on contacts, intake, lead management, forms, e-signature, SMS, and tasks.

Mitratech CaseCloud is a paid web and mobile option for teams who want to request a personalized demo.

CaseClerk Conflict Check suits readers focused on conflict checking, with paid monthly plans and a free trial.

ConflictCheck is another paid conflict-checking option, with a Solo Practice plan at 49.00 USD per month billed per practice.

Affinisio Conflicts Clearance Compliance Centre is an alternative for readers evaluating conflict-clearance compliance tools.

Verdict

CaseFox is a strong fit for a solo attorney or growing firm that wants matter management, legal billing, trust accounting, and payment workflows under one roof, with offline mobile case access as a useful extra. Choose it for the broad operational coverage and generous free feature access; look elsewhere if four cases is too restrictive or per-user costs make a larger team uneconomical.
