Overview

ChangeFolio is a web-based change management platform for organisations coordinating connected initiatives. It is best suited to change offices and practitioners who need shared stakeholder data and reporting across multiple levels of work. Its broad scope is a strength, but the one-user free tier is for individual use, not a working team.

Key features

The platform covers change at enterprise, programme, project and sprint levels, and can be used with any change management methodology. That flexibility fits organisations that want to retain their own approach while coordinating work across initiatives; teams looking for a prescribed method will need to supply their own.

Stakeholder fields can be imported and customised, with unused fields disabled and labels changed. Libraries support standardisation, and teams can reuse stakeholder and project data across initiatives. This can reduce duplicate entry and help keep records consistent, provided teams establish shared conventions.

Change intelligence is intended to surface trends, risks, successes and insights. Dashboard insights can be generated and exported at stakeholder, initiative and enterprise levels. Impact assessment, stakeholder communications and change analytics round out the feature set, making ChangeFolio relevant to teams that need both operational records and broader visibility into change activity.

Digitised processes are intended to improve visibility into progress and work quality. Customer data is stored in an AWS database cluster spanning multiple availability zones in the EU, with encryption at rest and in transit. AWS adheres to standards including GDPR, HIPAA and ISO 27001. Support is available by email or online Support Desk Monday to Friday, 08:00–17:00 GMT, with weekly customer webinars.

Pricing

ChangeFolio is freemium, and Solo, Team and Business begin with a 14-day free trial. No credit card is required to start a trial or the Free Plan. The free tier costs $0 /mo and $0 /year and allows 1 user, 1 active company and 1,000 active stakeholders. It is a useful way for an individual to try the platform, but its company and user caps make it unsuitable for collaborative work.

Solo costs 65.00 USD per month, billed at $65 /mo or $60 /year. It supports 1 user, 5 active companies and 5,000 active stakeholders. The larger company and stakeholder allowances suit a practitioner managing several organisations or initiatives, but it remains a single-user plan.

Team costs 350.00 USD per month, billed at $350 /mo or $280 /year. Its 10 users, 15 active companies and 25,000 active stakeholders make it the first tier suited to a collaborative team. Business costs 750.00 USD per month, billed at $750 /mo or $600 /year, and raises those limits to 40 users, 30 active companies and 75,000 active stakeholders. That capacity is aimed at larger change functions; the step up in cost makes the additional seats and records worthwhile only when the team needs them. On cancellation, the account is scheduled for deletion and its data permanently deleted, though users can manually delete data beforehand.

Platforms

ChangeFolio runs on the web and is deployed in the cloud. It is therefore a browser-based option rather than a listed native mobile app.

Who it's for

ChangeFolio suits enterprises, change practitioners, leaders, employees, Change Management Offices and Project Management Offices coordinating change across organisational levels. The free plan can serve a solo evaluation or narrowly scoped individual use; teams should compare the 10-user Team tier and 40-user Business tier against their actual active-company and stakeholder volumes.

Pros and cons

Pro: Work across enterprise, programme, project and sprint levels in one platform, with methodology flexibility for organisations retaining established practices.
Pro: Custom fields, libraries and reusable stakeholder and project data can reduce repeated entry and support consistent records across initiatives.
Pro: Dashboards can be exported at stakeholder, initiative and enterprise levels, supporting both local and organisation-wide views.
Con: Free and Solo each allow only one user, so collaboration requires the substantially more expensive Team plan.
Con: Plan selection depends on three separate capacity limits—users, active companies and active stakeholders—and cancellation schedules permanent data deletion.

Alternatives

For a broader selection of tools in the category, see Change Management Software.

Cohentis is worth comparing if Android, iOS or self-hosted deployment matters, or if its maker's long-running IT programme and change experience is a deciding factor. Avanqi offers a free evaluation tier limited to one active change project and one active member, making it an alternative for a smaller trial scope.

Giva ChangeManager is an alternative for buyers considering a paid tool with a free trial and Android, iOS, API and web platforms. OCM Solution is another web-based alternative, with a paid model and a free trial.

ChangeVU offers a free trial for single-use applications and a paid enterprise application. AMIGO is a paid-trial alternative with API and web platforms. AlignHQ is a web-based paid-trial option with a Starter plan for up to three active projects and stakeholder mapping up to 50.

The Change Compass is an alternative with an SMB plan priced at 995.00 USD per month, including three users, data input and reporting, a dashboard and basic support.

Verdict

Choose ChangeFolio if your organisation needs configurable change records, reusable stakeholder data and reporting across several levels of work. Its methodology flexibility and scale-oriented tiers are compelling for established change functions, but the free tier is tightly capped and collaboration starts at $350.00 USD per month. Individuals can evaluate it without a card; teams with a smaller budget or a need for mobile or self-hosted access should compare alternatives.
