Overview

The desktop app works alongside Zoom, Microsoft Teams and Google Meet, and also supports in-person conversations. It captures microphone and meeting audio as separate streams, then displays coaching in an always-on-top overlay hidden from screen sharing. This keeps guidance visible to the user during a conversation without exposing it through screen sharing.

ConversationPilot pairs live coaching with post-call reports, CRM-ready notes, scorecards and follow-up email drafts. It supports SPIN, MEDDIC, BANT and Challenger frameworks for live prompts. The outputs can support a team's process, but CRM-ready notes are not the same as CRM synchronization: the product does not sync notes into a CRM.

Key features

Guidance during conversations

For sales, prompts cover next-best questions, objection handling, buying signals and qualification. That focus is useful when a representative needs structure in the moment, rather than only a transcript to review later. Recruitment mode tracks salary, notice period, motivation, eligibility, availability and culture-fit indicators, giving recruiters a defined set of criteria to follow. Teams whose conversations require other kinds of interview guidance may find that scope less suited to their needs.

Post-call outputs and integrations

Automatic reports, notes, scorecards and follow-up drafts reduce the gap between a conversation and its documentation. CRM-ready notes are supported for HubSpot, Salesforce and Pipedrive; recruitment notes are supported for Bullhorn, Vincere, JobAdder, Greenhouse and Ashby. These outputs are useful starting points, but without CRM synchronization, teams should expect to handle the transfer into their systems themselves.

Privacy and security

ConversationPilot says it does not store audio: audio is transcribed in short clips and discarded. It also says neither it nor its OpenAI and Anthropic providers use conversations for model training. Traffic uses TLS 1.2 or later, while hosting providers encrypt data at rest. The company does not yet hold a SOC 2 report, a consideration for organizations that require that assurance. Support requests sent to hello@conversationpilot.ai receive a response from the founder within one UK business day.

Pricing

The free plan costs 0.00 USD per free and allows 3 calls/month, but includes no live coach. It is a limited way to use the product, not a route to evaluate its defining live-coaching feature. A 7-day trial is also offered.

Solo: 39.00 USD per month, billed monthly. It includes full live coaching for individual use, making it the clearest fit for a salesperson or recruiter who wants prompts without paying for team controls.
Team: 59.00 USD per month, billed monthly per seat. It adds unlimited coached calls, a manager dashboard and leaderboards. The per-seat term makes cost grow with team size, while unlimited coached calls may suit groups that would outgrow a capped plan.
Manager: 89.00 USD per month, billed monthly per seat. Advanced coaching analytics, organization-wide benchmarks and custom scorecards target teams that need to compare and standardize coaching across the organization. It carries the highest stated per-seat price.

Solo gives up the team dashboards and management features; Team adds visibility and unlimited coached calls, while Manager is for organizations that need deeper analytics and customized scoring. The listed plans are monthly, with per-seat billing specified for Team and Manager.

Platforms

ConversationPilot supports macOS, Windows and the web. Its desktop app is designed to run alongside Zoom, Microsoft Teams and Google Meet, and it also supports in-person conversations. The separate audio streams and always-on-top overlay are central to the desktop coaching experience.

Who it's for

ConversationPilot suits salespeople who want live prompts grounded in established frameworks, recruiters who need cues around candidate criteria, and managers who want coaching dashboards or organization-wide benchmarks. It is a weaker fit for teams that require CRM synchronization or organizations for which a SOC 2 report is a prerequisite.

Pros and cons

Pros: Live prompts address questions, objections, buying signals and qualification rather than stopping at transcription.
Pros: Recruitment mode covers concrete candidate factors, and post-call reports, scorecards and email drafts support follow-through.
Pros: The Team and Manager tiers add dashboards, leaderboards, analytics and benchmarks for coaching at team scale.
Cons: The free plan has only 3 calls/month and no live coach, so it does not demonstrate the central paid feature.
Cons: CRM-ready notes do not sync automatically, leaving teams to manage the handoff.
Cons: Team and Manager are billed per seat, and the company does not yet hold a SOC 2 report.

Verdict

Choose ConversationPilot if you are a salesperson or recruiter who will benefit from live, framework-led coaching and structured post-call outputs, or a manager who needs coaching analytics. The strongest reason to choose it is the combination of in-conversation prompts and useful follow-up materials. Look elsewhere if CRM synchronization is essential, if you need live coaching on a free plan, or if a SOC 2 report is required.
