Overview

CosmoLex organizes emails, tasks, events, documents, billable work and transactions around client matters, keeping practice activity connected to its financial records. Intake forms and a secure client portal support client collaboration, while multi-user access, role-based permissions and custom workflows give teams ways to coordinate work.

The platform combines matter management, time tracking, billing, payments, email and document management, tasks, calendaring, and trust and business accounting. That integrated scope is useful for firms that want fewer separate systems to manage, but may be more than a practice needs if it is shopping for a single function. CosmoLex is part of ProfitSolv and was developed in 2013.

Key features

Matter management and collaboration

Keeping communications, documents, work and transactions attached to the right matter helps staff follow the connection between client activity and billing. Every plan includes a secure client portal, and client intake forms are supported. Custom workflows and real-time collaboration add team coordination tools; role-based access lets firms assign different permissions to users.

Trust and business accounting

Trust accounting includes three-way reconciliation and detailed audit trails, with compliance reporting across the plans. Core adds general ledger and payables, while Pro adds advanced compliance reporting. More than 100 real-time reports provide financial visibility. This combination will matter most to firms that want practice and accounting records together, rather than a standalone time or billing product.

Integrations, security and support

Integrations include Microsoft 365, QuickBooks Online, Dropbox, email, payment processing and Zapier; the broader integration set also covers Gmail, Outlook, Google Drive, Box, NetDocuments, OneDrive, calendars and LawPay. Zapier connects CosmoLex to more than 4,000 applications. Plans include SOC 2 Type 2 controls, encryption in transit and at rest, and SMS two-factor authentication. CosmoLex says its infrastructure and security protocols undergo recurring third-party examination; encrypted backups are made every few hours and stored in redundant copies at U.S.-based data centers.

Every plan includes onboarding, a knowledge base, group training and phone, chat or email support. A login permits one web session and one mobile-app session at a time, a constraint for users who need concurrent sessions on either device type.

Pricing

CosmoLex has no free plan. Its 10-day trial requires no credit card and includes the practice-management functionality of a paid subscription, but allows only one bank-feed connection and excludes CosmoLex CRM and the LexShare/LexSign add-ons. That gives firms a chance to assess the core system, though not those add-ons or multiple bank feeds.

Plan	Price	What it includes
Launch	49.00 USD per month, per user	Time tracking and invoicing, online payments, trust accounting and ledgers, compliance reporting, and bank reconciliation.
Core	99.00 USD per month, per user	Launch features plus flexible billing and retainers, general ledger and payables, and bank feeds.
Pro	129.00 USD per month, per user	Core features with advanced compliance reporting.

Launch is the entry point for firms that need timekeeping, invoicing and trust accounting but can manage without bank feeds or general ledger and payables. Core is the more complete accounting choice, adding both; Pro is aimed at firms that need the advanced compliance reporting. All three prices are monthly and per user, so costs rise with the number of seats. Subscription pricing can vary with firm needs and features.

Platforms

CosmoLex runs on the web and has native Android and iOS apps. It can also be reached through a browser on an internet-connected mobile device. The single-session limit for web and mobile applies when planning access across devices.

Who it's for

CosmoLex suits small and mid-sized law firms that want matter management, billing, client collaboration and trust accounting in one application, especially those that value three-way reconciliation and matter-linked financial records. Firms needing bank feeds, general ledger and payables should look beyond Launch to Core or Pro. A firm that only wants a focused billing or timekeeping product may find the bundled scope and per-user pricing unnecessary.

Pros and cons

Pros: Matter-linked records connect client activity, documents and transactions, helping keep practice work and finances together.
Pros: Three-way trust reconciliation, audit trails and compliance reporting address law-firm trust accounting needs.
Pros: A secure client portal is included on every plan, alongside intake forms and team collaboration tools.
Pros: The trial provides broad practice-management access without a credit card, making it possible to assess the core workflow before subscribing.
Cons: Per-user monthly pricing can become costly for larger teams, and the $49.00 USD per month Launch plan omits bank feeds and general ledger and payables.
Cons: The trial is limited to one bank-feed connection and excludes CRM and LexShare/LexSign add-ons, so it does not cover every part of the product.
Cons: One web and one mobile session per login limits simultaneous access across sessions.

Alternatives

For a lower entry price on a separate legal accounting add-on, MyCase Legal Accounting costs 39.00 USD per month per accounting user and includes three-way trust reconciliations, but is an add-on to a MyCase case-management plan. Choose LeanLaw instead if its 55.00 USD per month per-user Core plan, with time and expense tracking, e-payments, reporting and IOLTA trust accounting, better matches your needs. Smokeball is another paid option, with its Bill plan at 59.00 USD per month per user before GST and including invoicing, time and expense tracking, online payments, trust accounting and reporting.

Firms comparing other products can also consider Clio Accounting, which starts with a 49.00 USD per month per-user Starter plan that includes Clio Manage and built-in legal accounting with trust and operating reconciliation, or LEAP, whose per-user subscription has custom pricing. LegalClaw and LexNebulis are free alternatives; MatterX offers a free tier.

Verdict

CosmoLex is a strong fit for small and mid-sized firms that want trust accounting, matter management, billing and client collaboration under one roof. Its integrated records, reconciliation tools and included portal are the main reasons to choose it. Look elsewhere if you need only a narrow legal billing tool, need more than one session per login, or want bank feeds and general ledger functionality at the lowest plan price.
