Overview

Microsoft Outlook Calendar is the calendar in Outlook, Microsoft’s email and productivity suite. It suits people who want a calendar alongside email and Microsoft 365 services across web, desktop, and mobile. Its free tier covers the essentials; paid plans make more sense when you also need Microsoft 365 storage, apps, or support.

Key features

Calendars and meetings

Outlook supports shared calendars and calendar synchronization, but sync is one-way. That limitation may matter if you need changes to flow both ways between services. Video meeting support is included; Microsoft Teams group calls can accommodate up to 300 people for as long as 30 hours. Those are Teams call limits, not a separate Outlook Calendar meeting allowance.

Email, security, and productivity

The free Outlook offering combines calendar and email on web, desktop, and mobile apps, with 15 GB of mailbox storage, 5 GB of cloud storage, and core security such as spam filters. Outlook scans attachments and links for threats, and encryption can prevent forwarding of sensitive information. Focused Inbox, sweep, snooze, and flags help manage email, while connections to Outlook.com, Gmail, Yahoo!, iCloud, and other mail services make it useful beyond a single inbox.

Microsoft 365 adds access to Word, Excel, PowerPoint, and OneDrive files, along with ongoing support on paid plans. Copilot can draft email and revise its tone, length, and clarity, but in Outlook it currently works only with outlook.com, hotmail.com, live.com, and msn.com addresses. That makes the feature less useful to people who primarily use another provider.

Pricing

Its 15 GB mailbox and 5 GB cloud storage make it a practical starting point for personal use; the stated storage caps are worth considering if you keep substantial mail or files.

Microsoft 365 Basic costs 19.99 USD per year, billed annually, for one person. It is the lower-cost paid option, though the plan facts do not describe its storage or app allowances. Microsoft 365 Personal costs 9.99 USD per month, billed monthly, for one person, with 1 TB of storage and use on five devices simultaneously. Microsoft 365 Family costs 12.99 USD per month, billed monthly, for one to six people, with up to 6 TB of storage and five devices per person. Family is the stronger fit for a household sharing the subscription; Personal fits an individual who wants the larger storage allowance.

Microsoft 365 Premium costs 19.99 USD per month, billed monthly, for one to six people and up to 6 TB of storage. Office Home 2024 costs 179.99 USD per once as a one-time purchase for one PC or Mac. These suit different needs: Premium is a subscription for multiple people, while Office Home 2024 is a one-time desktop purchase rather than a monthly plan.

Personal, Family, and Premium offer a one-month free trial. Subscriptions automatically renew unless canceled through the Microsoft account, so trial users should account for renewal. Paid Microsoft 365 plans include ongoing support.

Platforms

Outlook is available on Android, iOS, macOS, and the web, with email and calendar access across web, desktop, and mobile apps. Microsoft 365 also works on PC, Mac, iPhone, iPad, and Android phones and tablets. This broad device coverage favors people who move between platforms, though the calendar’s one-way sync remains a constraint.

Who it's for

Outlook Calendar is a sensible choice for individuals and households that want shared calendars within an email-centered Microsoft environment, especially if they also value Office files, OneDrive, or Teams calls. It is less compelling for someone who needs bidirectional calendar synchronization or wants a calendar without Outlook’s broader email and subscription ecosystem.

Pros and cons

Pros: The free tier combines calendar and email with 15 GB of mailbox storage and 5 GB of cloud storage, giving personal users a substantial starting allowance.
Pros: Shared calendars, support for multiple mail providers, and broad device coverage make Outlook useful across accounts and screens.
Pros: Microsoft 365 plans offer up to 6 TB of storage for one to six people, and paid plans include ongoing support.
Cons: Calendar synchronization is one-way, which limits flexibility for people expecting changes to sync in both directions.
Cons: Copilot email assistance in Outlook is restricted to Microsoft’s listed consumer email addresses.
Cons: Microsoft 365 subscriptions renew automatically unless canceled, so trial and monthly-plan users need to track billing.

Alternatives

For a wider comparison, browse Calendar apps or Email clients.

Lark is worth considering if you want a freemium option with a Starter plan for 20 users, 100 GB of storage, and 1,000 monthly automations. Calendar.com is another freemium alternative, with a free-forever individual plan. TimeFinder offers a free tier for core features and may suit someone looking for a simpler free starting point.

Teamup may be a better fit for a small group that can work within its free plan’s five users, five sub-calendars, one custom field, and one year of historical data. Cozi is oriented toward household organization, with shared family calendars, grocery and to-do lists, and a recipe library on its free plan. TimeTree is an alternative if sharing multiple calendars and adding comments or photos are priorities. Tweek may appeal to someone who wants a free plan limited to one active calendar and two custom colors. FlowSavvy is another freemium option for people interested in auto-scheduled tasks, with its Basic plan allowing three repeating auto-scheduled tasks.

Verdict

Choose Outlook Calendar if you want a capable free calendar bundled with email and expect to use Microsoft services across devices; its broad platform coverage and generous free mailbox are the strongest reasons to start there. Look elsewhere if bidirectional calendar sync is essential, or if Outlook’s wider Microsoft 365 ecosystem is more than you need.
