Overview

EduCRM is a browser-based CRM for education agencies and consultants coordinating student recruitment and university applications. It suits teams that want student records, application stages and billing in one workspace. The free tier is a sensible start for a very small caseload, but its 10-student ceiling makes Premium the more workable option as an agency grows.

It runs in English and Greek without installation. Its scope is focused on agency workflows rather than institutional systems: teams can record applications and the platform they use, but there is no direct UCAS or Common App integration.

Key features

Student records and application tracking

A single student record can hold parent contacts, sessions, notes, applications, documents, tasks, payments and invoices. That breadth can keep routine casework together instead of splitting it across separate records. Each university application has its own stage, deadline, documents and owner, and appears on a drag-and-drop board. This gives teams a practical way to follow individual cases; it does not replace a direct connection to UCAS or Common App.

Recruitment analytics include a funnel, and the stated prospect limit is 1,499. The gap between that figure and Free's 10-student cap matters: the free allowance is for a small trial of the workflow, not a growing recruitment operation.

Scheduling, forms and automation

Optional two-way Google Calendar synchronization covers sessions, tasks and deadlines, useful for keeping scheduling aligned across the CRM and calendar. Spreadsheet imports provide a route to bring in students, while Premium adds data export. Premium registration forms create a branded sign-up page on an EduCRM subdomain, with 47 ready-made questions and up to 10 custom questions.

AI can turn spoken notes into tasks and suggest spreadsheet column mappings. Users must confirm before saving, so these features assist data entry rather than making changes autonomously.

Access and data protection

Workspace roles distinguish owners, admins, counsellors and viewers. Per-workspace isolation and an immutable log of access and admin events offer useful controls for teams sharing student records. Data is stored in Google Cloud's europe-west1 region, encrypted in transit with TLS 1.2 or higher and encrypted at rest in Google Cloud. EduCRM says it does not hold an independently audited certification such as ISO 27001 or SOC 2; organizations that require one should look elsewhere.

Pricing

EduCRM uses a freemium model, with a 14-day trial and paid plans from €49.99/mo. The free plan is free, billed forever, and is capped at 10 students. It includes session tracking, calendar and scheduling, application and payment tracking, invoicing and email support. That is enough to assess the core workflow, but the low cap limits its usefulness for a working agency with a larger caseload.

Premium costs 49.99 EUR per month, billed €49.99/month, and supports up to 1,499 students. It adds branded registration forms, AI voice tasks, custom branding, data export and priority support. Extra team members cost €49.99 each, so the listed base price should not be treated as a whole-team price. Premium is the practical fit for agencies that need a larger student capacity or its added tools.

Business is custom pricing, billed “Let's talk,” and adds a professional custom website, custom lead-capture form, professional email @yourdomain.com, automatic invoices, and ongoing maintenance and updates. It is offered at + €49.99/mo Premium, making it a more specific choice for agencies seeking a bundled web presence and operational support rather than CRM capacity alone.

The Free plan includes email support; Premium includes priority support. EduCRM says it replies to direct enquiries within 24 hours.

Platforms

EduCRM runs in a web browser and requires nothing to install. Its interface is available in English and Greek. No LMS or student information system connector is provided, so teams relying on either system should expect to import students from spreadsheets rather than connect those records directly.

Who it's for

Study-abroad consultants, education agencies, student recruitment teams and admissions or university application consultants are the natural audience. EduCRM makes the most sense for teams whose day-to-day work centers on tracking student cases, deadlines and payments, and who can work without direct institutional-system or application-platform integrations. Organizations that need certified security credentials or connected SIS/LMS workflows should consider alternatives.

Pros and cons

Pro: Student records combine applications, documents, tasks and billing, giving agency teams a shared casework view.
Pro: Application stages, deadlines and owners are visible on a drag-and-drop board, with a funnel for recruitment activity.
Pro: Role-based access, workspace isolation and an immutable audit log provide meaningful controls for shared records.
Con: The free plan stops at 10 students, while the stated prospect limit is 1,499; growing users will need Premium.
Con: Extra Premium team members cost €49.99 each, which can raise the cost materially for larger teams.
Con: There are no LMS or student information system connectors and no UCAS or Common App API integration.
Con: EduCRM does not hold an independently audited certification such as ISO 27001 or SOC 2, a concern for buyers with that requirement.

Verdict

EduCRM is a good fit for small education agencies that want student casework, application tracking and invoicing together, with role-based access and calendar synchronization. Its free tier makes it easy to start, while Premium raises capacity to 1,499 students and adds export and branded forms. Choose another system if direct UCAS, Common App, LMS or SIS connections are essential, if the 10-student free cap is too restrictive, or if your procurement standards require an independently audited certification.
