Overview

Gmail is Google’s email service for people and organizations that want email closely connected to Google’s productivity tools. Its combination of free personal access, writing assistance and shared storage makes it a strong fit for existing Google users; the trade-off is that email storage is pooled with files and photos.

Using Gmail requires a Google Account, and signing in through a browser can make that account available to other Google apps. Guest mode offers a more private sign-in option on a computer that is not yours. Users can create accounts for personal use, a child, work or business.

Key features

Writing and inbox assistance

Gemini in Gmail can draft or reply to messages, find information in Gmail or Google Drive, and summarize long threads. Smart Reply and Smart Compose provide response and writing suggestions, while Nudges remind users to reply or follow up. These tools suit people who want help managing routine correspondence, though access to Gemini features depends on the plan. Smart Reply and Smart Compose are used more than 180 billion times a year.

Google connections and business email

Gmail lets users start Google Meet meetings, find meeting times in Calendar, add to-dos in Tasks and chat in Google Chat without leaving the inbox. The Google Workspace Marketplace adds more than 5,000 third-party apps for Gmail and other Workspace services, giving organizations room to extend the setup they already use.

Business plans support professional addresses on a company’s own domain. Mail merge can draw on Google Contacts or a linked spreadsheet; the spreadsheet option supports up to 1,500 recipients. Each Google Workspace user can have up to 30 email aliases. These are useful capabilities for business communication, but custom-domain email is not included in the consumer offering.

Security and privacy

Gmail says it automatically blocks 99.9% of spam, phishing attempts and malware. Messages use TLS automatically, and content is encrypted in transit and at rest. Client-side encryption is available for eligible Google Workspace editions. Privacy settings are controlled through the Google Account. These protections are substantial for everyday email, while organizations needing client-side encryption or controls such as data loss prevention must consider eligible business editions.

Pricing

Gmail is freemium, with free personal access and paid options for more storage or business features. The free Google Account provides 15 GB of pooled storage across Gmail, Drive and Photos. That is a shared allowance, not email-only capacity, so heavy photo or file use can leave less room for mail. The free inbox is not ad-free.

Google One storage: Google One Basic costs 1.99 USD per month for 100 GB shared across Google Photos, Drive and Gmail. It can be shared with up to five others. This suits individuals or households that need more pooled space without business email. Some Google One plans allow sharing with up to five people, and subscriptions can be canceled at any time; the Google One app manages plans, storage, features and member benefits.

Google Workspace business plans: Business Starter costs 7.00 USD per user/month, billed per user/month, and includes 30 GB pooled storage per user, custom business email and Gemini in Gmail. Business Standard costs 14.00 USD per user/month and raises storage to 2 TB per user, adding custom layouts, mail merge and Gemini in Gmail, Docs, Meet and more. Both plans cap organizations at 300 users. Starter suits smaller teams prioritizing custom email and Gmail assistance; Standard better fits teams that need substantially more storage and mail merge.

Business Plus costs 22.00 USD per user/month and includes 5 TB pooled storage per user, eDiscovery and meetings for up to 500 participants, with a 300-user maximum. It is aimed at larger organizations with those meeting and discovery needs, rather than teams looking only for a custom inbox. Enterprise has custom pricing, 5 TB pooled storage per user or more by upgrade, no minimum or maximum user limit, S/MIME encryption and data loss prevention. It is the business option for organizations needing those controls or scale.

Google AI Pro includes 5 TB shared storage and Gemini in Gmail, Docs, Vids and more, plus Gemini app access, Deep Research and Google Flow access. Its listed billing is ₹1,950/mo; age limits of 18 or older may apply to plans and features. Google One also shows Lite at ₹59/mo for 30 GB and Basic at ₹130/mo for 100 GB shareable with up to five others. These are India-denominated prices and should be compared with the USD plans on their own terms.

Platforms

Gmail is available on Android, iOS and the web, with apps for Android, iPhone and iPad and support for compatible web browsers. Gmail and Google One offer multiple language options, including English and Hindi. Its browser account-sharing behavior is worth considering on shared computers; guest mode provides a private sign-in route.

Who it's for

Gmail is a good choice for individuals already using Google services, especially those who value integrated Calendar, Meet, Tasks and Chat or want AI help with email. Google One suits people whose main need is more pooled storage. Workspace is better for businesses that need custom-domain addresses, aliases, mail merge or organizational controls. Gmail is less compelling for someone who wants an ad-free inbox or storage reserved solely for email.

Pros and cons

Pro: Free access includes 15 GB across Gmail, Drive and Photos, useful when those services are already part of a user’s workflow.
Pro: Gemini, Smart Compose, Smart Reply and Nudges can reduce the effort of drafting and following up on routine messages.
Pro: Workspace supports custom business email, up to 30 aliases per user and spreadsheet mail merge for up to 1,500 recipients.
Con: The 15 GB free allowance is pooled with Drive and Photos, so unrelated files can reduce available email storage.
Con: The free inbox is not ad-free, and a Google Account is required to use Gmail.
Con: Custom-domain email and higher-level business protections require paid Workspace plans.

Alternatives

Choose Zoho Mail if you want a forever-free business-oriented starting point with five users, one domain and 5 GB mail storage per user. Proton Mail is an alternative for readers considering a free plan with 1 GB storage and one email address. Outlook.com offers a free plan with 15 GB mailbox storage and web, desktop and mobile access, which may suit readers who prefer that setup.

Fastmail Masked Email is a paid alternative with a Basic plan at 4.00 USD per month, 5 GB mail storage and 600 aliases plus 15 per user. eclipso Mail Europe, Inbox.lv, Yahoo Mail and mail.ch are also alternatives to compare.

Verdict

Choose Gmail if you want a capable free inbox that works naturally with Google’s apps, or a clear path to custom-domain email and business features through Workspace. Its strongest case is the breadth of Google connections and writing assistance; look elsewhere if you require an ad-free inbox or want a storage allowance dedicated to email rather than shared across Google services.
