Overview

Grist is a spreadsheet and database tool for people who need structured records alongside formula-driven analysis and varied ways to view their data. It suits teams that have outgrown a flat spreadsheet but still want to work with formulas and flexible pages. Its strongest case is the combination of relational organization, granular permissions, and deployment choice; hosted buyers should weigh the stated compliance status, while free users face a 5,000-record cap per document.

Key features

Structured data and flexible views

Grist organizes data relationally, like a database or app, while supporting spreadsheet-style analysis and visualization. Tables, cards, forms, charts, calendars, and custom widgets give teams different ways to work with the same information. Python formulas sit alongside Excel-like functions, a useful pairing for users who need more than conventional spreadsheet calculations.

Permissions, automation, and integrations

Granular access rules can limit visibility or editing at the table, column, or record level. That is a meaningful strength for shared data that should not be equally exposed to every user. Workflow automation is supported, and integrations include Zapier, Integrately, Pabbly Connect, n8n, and Make.

API, AI, and portability

The REST API can read and modify documents, workspaces, and team sites, making Grist usable in programmatic workflows. Its AI Assistant can answer questions about data, create or modify records, and help write formulas. Documents are SQLite databases and can be exported as complete .grist files, a practical safeguard for users who want a portable copy of their work.

Hosting and security

Grist can run on customer infrastructure through Docker, and a desktop application based on the Community edition works without an internet connection or online account. Hosted Grist uses AWS, encrypted S3 storage, HTTPS, optional MFA, and encrypted backups. The hosted product has not undergone certification or auditing for SOC 2, ISO 27001, HIPAA, or GDPR compliance, so organizations requiring one of those attestations should look elsewhere or evaluate the self-hosted option against their own requirements.

Pricing

The free plan is free and allows unlimited documents, but each document is capped at 5,000 records. It includes 30-day snapshot history and 100 lifetime AI credits. That is a useful way to try Grist or manage modest datasets; teams with larger documents will need a paid plan.

Pro costs 10.00 USD per month (billed monthly). It raises the per-document limit to 100,000 records, extends snapshot history to three years, and includes 100 AI credits per month. A 30-day trial is offered. It is the more suitable hosted tier for individuals and smaller teams whose data exceeds the free cap.

Business costs 30.00 USD per month (billed monthly), with a minimum of 5 users. It allows up to 150,000 records per document and adds five-year snapshot history, automations, and priority email support; a 30-day trial is included. The minimum makes it a less natural fit for a small individual deployment, but the additional controls and support matter to teams choosing a shared service.

Enterprise has custom pricing and adds dedicated servers, advanced security, and governance. The Community edition is free, open source, self-hosted, and supported by the community; another Community edition offering also includes a custom domain and custom branding. The Grist plan is 30.00 USD per month (billed monthly) and includes advanced admin controls, an MCP server, AI Assistant, automations, custom SSO, audit log streaming, multiple team sites, and email notifications. These named offerings give buyers a choice between a managed service and running the software themselves, but the Community edition relies on community support.

Platforms

Grist supports web, macOS, Windows, Linux, API access, and self-hosting. The desktop application’s ability to work offline makes it an option for users who do not want to depend on an online account. Self-hosting offers more control over deployment, while the hosted service is the simpler route for teams that prefer not to run their own infrastructure.

Who it's for

Grist is a good fit for teams handling structured, interconnected data that still benefits from spreadsheet formulas and multiple presentation styles. Its access rules and API also suit workflows that need controlled sharing or programmatic updates. It is a weaker fit for organizations that require certified hosted compliance, and the free plan is restrictive for documents that quickly exceed 5,000 records.

Pros and cons

Pro: Relational organization plus spreadsheet analysis, Python formulas, and varied views supports more complex work than a single flat grid.
Pro: Granular visibility and editing rules can be applied down to individual records.
Pro: Self-hosting, offline desktop use, and complete .grist exports give users deployment and portability options.
Con: The free plan’s 5,000-record per-document ceiling can force an upgrade as datasets grow.
Con: Hosted Grist has not been certified or audited for SOC 2, ISO 27001, HIPAA, or GDPR compliance, which can rule it out for compliance-sensitive organizations.
Con: Business requires at least 5 users, a commitment that may not suit smaller buyers.

Verdict

Choose Grist if your work needs database-style structure without giving up spreadsheet formulas, flexible views, and fine-grained sharing controls. Its self-hosted and offline options strengthen the case for users who want operational control. Look elsewhere if hosted certification is essential or if a 5,000-record free-plan cap is too small for your documents.
