Overview

Whatfix is an enterprise digital adoption platform for organizations guiding employees or customers through software. It best suits teams that need in-product help across several environments, with adoption analytics and deployment flexibility. Its breadth is compelling, but custom pricing and possible self-hosted feature gaps make fit and cost important to settle before choosing it.

Key features

Guidance and onboarding

Whatfix offers Self Help, task lists, Smart Tips, Beacons, Pop-Ups, Launchers, and step-by-step Flows. Product tours, walkthroughs, and onboarding checklists extend that toolkit from answering questions to orienting users and structuring their next steps. A no-code builder and localization support content creation for different workflows and audiences. This range suits teams that need more than a single tour format; it may be more platform than necessary for a narrowly scoped onboarding need.

Adoption analytics

Product Analytics tracks user actions and application adoption, giving teams a way to assess whether software is being used. Its Standard plan costs 0.00 USD per free, but is exclusively available with any DAP Web & Desktop plan, so it is an included companion rather than a standalone free analytics option.

Integrations and controls

The integrations directory includes Salesforce, ServiceNow, Confluence, Workday, Microsoft Azure, Amplitude, and Power BI. Pricing-page features include SSO, IP whitelisting, audit logs, and data-residency selection—useful controls for organizations evaluating access and data-handling requirements. Standard customer support is available 24 hours a day, Monday through Friday; plans also list a named Customer Success Manager and content-author training.

Pricing

Whatfix is paid, with pricing on request. Subscription pricing combines a flat fee for the product and plan with user-license fees based on employee counts or customer-facing monthly active users. That structure makes audience type and scale central to a quote, rather than offering a simple public per-seat comparison.

Product Analytics Standard: 0.00 USD per free, exclusively with any DAP Web & Desktop plan. It adds analytics without a separate listed charge, but does not stand alone.
DAP Web & Desktop Standard: custom pricing for employee- or customer-facing apps, with integrations limited to 2. It may fit a narrower deployment, but the integration cap matters if the workflow depends on several connected systems.
DAP Web & Desktop Premium: custom pricing for employee- or customer-facing apps, with cloud or self-hosted deployment. Self-hosting adds deployment choice, though some Standard and Premium features may not be available in self-hosted environments.
DAP Web & Desktop Enterprise: custom pricing for multi-app employee- or customer-facing plans, suited to organizations adopting across multiple applications.
DAP Mobile Standard: custom pricing for employee- or customer-facing apps. It is the mobile-specific listed option, while platform support spans several mobile frameworks.

A free plan and free trial are available, but no trial length or free-plan cap is given. Confirm eligibility, user counts, the applicable quote, and which features remain available in a self-hosted deployment before committing.

Platforms

Whatfix spans web, browser extension, Windows and macOS, Android and iOS, API, and self-hosted environments. It supports desktop applications and virtual desktop setups including Citrix and Azure Virtual Desktop. Whatfix Mobile supports native, React Native, Xamarin, Cordova, Flutter, and Ionic apps on Android and iOS. This breadth suits organizations with a mixed software estate; teams seeking only a single web-app guide may not need it.

Who it's for

Whatfix is a strong fit for organizations rolling out employee or customer-facing software across multiple applications or device types, especially when in-product guidance, adoption measurement, integrations, and deployment choice need to sit together. Teams with a strict budget or a need to compare transparent public prices should look elsewhere or obtain a quote early. Its Bengaluru headquarters and 2014 founding place it among established digital-adoption vendors, but selection should turn on the deployment and pricing fit.

Pros and cons

Pro: Multiple guidance formats, tours, walkthroughs, and checklists cover both task support and onboarding.
Pro: Mobile frameworks, desktop apps, and virtual desktops broaden its reach beyond standard web software.
Pro: Product Analytics Standard is included free with a DAP Web & Desktop plan, connecting guidance with adoption tracking.
Con: Web & Desktop Standard limits integrations to 2, which may constrain teams connecting several systems.
Con: Custom pricing combines product-plan fees with audience-based user licenses, so cost depends on the deployment and user counts.
Con: Some Standard and Premium features may be unavailable when self-hosted, tempering the appeal of that deployment option.

Alternatives

Compare other Digital Adoption Platforms, Customer Self-Service Software, and Product Adoption Software if the category or use case is not yet settled.

Stonly is worth comparing for teams that can work within its Basic plan's 400 guide views per month, 5 published guides, 1 language, 100 steps per guide, and 1 team member; it also has a free plan and free trial.
Nexthink Adopt is another paid option with web, mobile, desktop, and extension platforms; an additional license may be required depending on the licensing model.
Candu offers a free plan at 0.00 USD per free with overlays only, 3 live experiences, and unlimited user licenses. It may suit teams whose needs fit that narrower scope.
Appcues has no free plan and offers a trial; its Start plan lists up to 3,000 MAUs, 10 published experiences, and 12 months of reporting history.
Userpilot starts with a paid Starter plan at 299.00 USD per month, billed /mo, for up to 2,000 MAU, 10 segments, 3 seats, and 1-year data retention.
WalkMe is another paid option spanning web, mobile, desktop, extension, and self-hosted platforms; its customer DAP plan requires a quote.
Cornerstone Learning is a paid alternative with quote-based pricing that varies by organizational needs and size.
Toonimo is another paid option, with no free plan or trial and an Enterprise plan offered at custom pricing.

Verdict

Choose Whatfix if your organization needs configurable in-app guidance across web, mobile, desktop, or virtual environments and wants adoption analytics alongside it. Its breadth and deployment options are the main reasons to choose it; custom pricing and self-hosted feature caveats are the reasons to look elsewhere unless the quote and exact feature set fit your requirements.
