Overview

Teams can provide accounts-payable, expense, license, and contract data through CSV uploads or manual entry. AI agents flag duplicate applications, idle licenses, renewal exposure, and AI-tool sprawl, pairing findings with confidence scores, evidence, and estimated annual savings. That context helps reviewers prioritize rather than treating every alert as equally certain.

Recommendations can propose canceling, consolidating, downgrading, or renegotiating software, then be approved and routed to an owner. A risk-scored renewal calendar alerts teams 90 days ahead, giving them a useful window to review contracts before renewal. MacroSpend also produces executive briefs and board-ready PDFs; advisors can create white-labeled PDFs and PPTX reports.

Key features

Analysis and usage intelligence

Identity integrations and the optional Usage Intelligence Layer can verify active versus inactive seats, strengthening license decisions beyond spend records alone. Full usage intelligence is included on Growth and Pro, while Enterprise offers the full layer with custom options. This makes lower tiers less compelling for teams whose central question is whether purchased seats are actually being used.

Integrations, workflow, and setup

MacroSpend describes connections to accounting systems, identity platforms, and billing services. Growth offers up to five no-code integrations and Pro offers all integrations. Recommendations can enter an approval workflow and be assigned to an owner, which helps teams turn analysis into follow-through. Guided onboarding starts with an upload; the pricing page says AI summaries appear within minutes, and the homepage says a first analysis takes under an hour.

Security

The maker says data is encrypted with AES-256 at rest and TLS 1.3 in transit, with row-level tenant isolation and daily backups. Its SOC 2 Type I program is in progress; a DPA and security questionnaire are available on request. Organizations that require completed SOC 2 Type I assurance should weigh that status before adopting.

Pricing

The free tier costs 0.00 USD per free, billed Forever free. It includes 100 AI credits per month, one AI agent, up to 25 vendors, and three executive briefs per month; the comparison also caps it at two CSV uploads per month and three team members. It is a practical way for a small team to begin analysis, but the upload and seat caps constrain regular or collaborative use.

Starter costs 39.00 USD per month, billed annually. It raises coverage to three AI agents and up to 100 vendors, adding renewal alerts, an approval workflow, unlimited executive briefs, and CSV and PDF exports. It suits a smaller team that needs organized renewal follow-up and reporting, though it does not include the continuous monitoring and alerting listed for Growth.

Growth costs 119.00 USD per month, billed annually. It includes six AI agents, up to 500 vendors, continuous monitoring and alerting, workflow automation, up to five no-code integrations, and full usage intelligence. This is the clearest fit for teams that need ongoing oversight and seat verification; its vendor cap may be limiting for larger portfolios.

Pro costs 239.00 USD per month, billed annually. It includes all nine AI agents, unlimited vendors, AI governance, negotiation playbooks, advanced forecasting and scenarios, all integrations, and full usage intelligence. It is aimed at organizations needing broader analysis and planning rather than basic cleanup.

Enterprise has custom pricing and includes unlimited vendors, all nine AI agents plus custom agents, custom integrations, and the full Usage Intelligence Layer plus custom options. It fits organizations with tailored integration or monitoring needs, but requires a sales conversation to establish cost.

Platforms

MacroSpend runs on the web. Its data intake through uploads and manual entry, combined with integrations, makes it relevant to teams consolidating information from finance and identity systems.

Who it's for

Finance, procurement, and IT teams can use MacroSpend to find software duplication, idle licenses, and renewal exposure, then route proposed actions to owners. CFOs and advisory or PE teams may value the executive reporting, including white-labeled reports for advisors. It is less suitable for organizations seeking a finished SOC 2 Type I program or teams that cannot work within the free tier’s upload and member caps.

Pros and cons

Findings include evidence and confidence scores: reviewers can judge the basis and likely value of a flagged saving before acting.
Recommendations connect to ownership: approval and routing help move proposed cancellations or contract changes into a decision process.
Renewal alerts start 90 days ahead: teams get a defined lead time to review risk-scored renewals.
The free tier is tightly capped: two monthly CSV uploads and three members limit its usefulness for larger or routinely updated teams.
Full usage intelligence and broader integration access are tiered: teams needing verified seat activity or all integrations must move beyond the entry plans.
SOC 2 Type I is still in progress: organizations requiring completed certification may need another option.

Alternatives

CostBits is worth considering for teams focused on contract management; its Small plan sets limits of one legal entity, five users, and ten contracts, with view-only data access and no user export. It has a free trial but no free plan.

ProcureSprint PR to PO is an alternative for teams evaluating a web-based procurement product from Mindsprint, which says it is headquartered in Singapore and has a global workforce of more than 3,200.

SpendCraft may suit buyers prepared for a higher-cost paid option: its Self-service plan starts at 899.00 USD per month, with exact pricing scaling by spend and no implementation cost. It offers API and web access and a free trial, but no free plan.

SpendHQ Spend Intelligence is another paid option with API and web access; prospective buyers can request a demo.

Deducta is a paid API-and-web alternative with custom quotes and demos rather than public plan prices.

Rosslyn Spend Intelligence may suit organizations willing to pay an annual recurring licence fee based on data sources and refresh frequency; the amount is not published.

Suplari is a paid API-and-web alternative with an annual enterprise subscription quoted according to spend volume and data sources, and no free plan.

For a broader comparison, see Spend Analysis Software.

Verdict

MacroSpend is a strong choice for finance, procurement, and IT teams that want evidence-backed software-spend findings to flow into renewal review and assigned recommendations. The free plan offers a constrained starting point, while Growth is the more convincing tier for continuous monitoring, integrations, and usage verification. Look elsewhere if completed SOC 2 Type I assurance is essential or if you need a public Enterprise price before engaging sales.
