Overview

Mailbutler Smart Assistant adds AI drafting and inbox organization to Apple Mail, Gmail, and Outlook. It best suits people who want help preparing messages and spotting follow-up work without handing over the send button. Its strongest case is the combination of writing tools, summaries, and task finding; the catch is that continued access starts at the Smart plan.

Key features

Smart Assistant can turn keywords into a draft or prepare a reply from details you provide. You can tune generated text by format, length, style, tone, and language, giving you useful control over how a draft reads. Smart Improve suggests spelling and grammar changes to a message you have already written. These are aids to composing, not automatic sending: you review and send messages yourself.

For inbox triage, the assistant can summarize selected emails and identify to-dos that you can add to Mailbutler Tasks. That pairing is useful when a message contains work to track as well as information to absorb. Mailbutler says Smart Assistant uses OpenAI GPT-4o. Its GDPR information says email subject and body are processed by Microsoft Azure OpenAI Service in the EU, with personal data redacted before submission to the underlying model. Mailbutler also says it is ISO/IEC 27001 certified and GDPR compliant, and that backend data is encrypted.

Mailbutler's broader service includes email tracking, templates, mail merge, inbox collaboration, and automations. Mail Merge can draw on Apple, Google, or Outlook Contacts, HubSpot or Salesforce, and CSV data; CRM tracking sync is offered for HubSpot and Salesforce on Business.

Pricing

Smart Assistant is included in the 14-day trial, then requires a Smart or Business subscription. Starter is free forever, but does not include the assistant and adds a visible Mailbutler watermark to sent email. It is suitable for trying the base service, not for ongoing AI assistance.

Professional: $7.00 per month billed annually, or $9.00 per month with monthly billing. It includes email tracking, templates and mail merge, inbox collaboration, and signature marketing, but not Smart Assistant. Choose it if those email tools matter more than AI drafting and task finding.
Smart: $11.00 per user per month with yearly billing, or $14.00 per user per month with monthly billing. It adds Smart Assistant and Smart Follow-ups alongside email tracking, mail merge, and inbox collaboration. This is the entry point for the assistant's composition, improvement, summary, and task features.
Business: $24.00 per user per month with yearly billing, or $32.00 per user per month with monthly billing. It includes Smart Assistant, Smart Follow-ups, CRM tracking sync, custom subdomain, and IP blacklisting; the broader plan also includes custom SMTP and advanced signature marketing. It fits teams that need the CRM and domain controls, rather than individuals seeking only AI email help.

Professional's lower price means giving up Smart Assistant, while Smart costs less than Business but omits Business's CRM sync and custom email controls. The plans are priced per user where stated, so team costs rise with seats. Mailbutler also describes a freemium model with paid access from $4/user/mo (annual); its specific Smart and Business prices above are the relevant entry points for Smart Assistant.

Platforms

The assistant works with Apple Mail, Gmail, and Microsoft Outlook. Compatibility is client-specific: Apple Mail support is listed for macOS Tahoe, Sequoia, Sonoma, and Ventura; Gmail support covers macOS, Windows, and Linux. Mobile apps support iOS 15 or later and Android 7 or later. The broader platform range is Android, iOS, macOS, Windows, Linux, web, and extension, but confirm that your particular email client and device combination is supported before subscribing.

Mailbutler says its support team answers queries 24/7 and provides a Support Center.

Who it's for

Choose Smart Assistant if you already work in Apple Mail, Gmail, or Outlook and want one subscription to help write, improve, summarize, and turn email into tracked tasks. It is less suitable if you need automatic sending, want AI help on the free or Professional plan, or require an email-client combination outside its stated compatibility.

Pros and cons

Pros: Drafting, adjustable writing controls, spelling and grammar suggestions, summaries, and task finding cover several stages of email work in one assistant.
Pros: It works with three major email clients, and Mailbutler describes EU processing with personal-data redaction before the underlying model receives content.
Cons: Ongoing Smart Assistant access requires Smart or Business; the free Starter and cheaper Professional plans do not include it.
Cons: Compatibility depends on both client and operating system, and replies are not sent automatically.
Cons: Business is a substantial step up in price over Smart, so its CRM sync and custom email controls need to justify the extra cost.

Alternatives

If tracking email activity is the priority rather than AI composition, compare Email Tracking Software and Sales Email Tracking Software. For a different balance of tracking and sequences, Mixmax has a free plan capped at 20 tracked emails and 50 sequence recipients per month, with Inbox Copilot at $29.00 per month. Yesware offers free basic open and attachment tracking, with 10 campaign recipients per month.

Boomerang is worth considering if Gmail/G Suite support, Send Later, and reminders matter most; its Basic plan includes 10 message credits per month, and Personal costs $4.98 per month. Mailtrack is another option when tracked-email volume is the focus: its free plan includes unlimited tracked emails, with the first open logged and a promotional signature. If you want a broader email-client choice before choosing an assistant, see Email clients. For other assistant options, browse AI Email Assistants.

KudosCRM, Streak, Salesforce Sales Cloud, and Apollo are also alternatives.

Verdict

Mailbutler Smart Assistant is a good fit for people who want composition help and practical inbox triage inside Apple Mail, Gmail, or Outlook. Its mix of drafting, revision, summaries, and task extraction is the reason to choose it. Look elsewhere if you need automatic sending, a free AI tier, or a simpler client-independent setup; otherwise, Smart is the plan to compare first.
