Overview

Zoho Mail spans a free five-user setup and paid mailbox plans, with larger Workplace packages adding other apps and team file storage. A 15-day trial gives teams a short window to evaluate a paid option. The best fit depends less on the headline mailbox price than on whether the free tier’s limits, annual billing and storage allocation match how the team works.

Key features

Mail, mobile and migration

The mobile app combines email, calendar, contacts and files, making it more useful than a mail-only companion for staff who work from phones. A free migration tool can transfer email, contacts and calendars from Google Workspace, Microsoft 365 or IMAP providers, reducing friction when moving an existing team. CRM integrations include Zoho CRM, HubSpot, Pipedrive and Insightly CRM, a practical plus for teams that handle customer records alongside correspondence.

Zia can draft replies and summarize long threads, while Zoho Mail MCP connects mail to AI apps. These capabilities are useful additions for correspondence-heavy teams, but the core decision remains the domain-mail service and its plan limits.

Security and administration

Zoho Mail cites TLS, S/MIME and AES-256 encryption at rest, with spam and phishing blockers aimed at socially engineered attacks. Administrators can apply role-based access and custom security policies, review audit logs, and use eDiscovery. Zoho says the service is GDPR compliant and holds ISO/IEC 27001 and SOC 2 Type II certifications. Paid plans include 24×7 support by email, phone and live chat, and the pricing comparison gives its plans a 99.9% uptime guarantee.

Pricing

Mail Free is free, billed Forever free, with no credit card required. It allows five users on one domain, with 5 GB mail storage per user. That is a credible low-cost way for a small team to establish domain email, but the plan excludes IMAP, POP and Active Sync, ruling it out for teams that need those connections or synchronization methods.

Mail Lite 5 GB costs 1.00 USD per month, billed annually, with no monthly plan; it provides 5 GB per user and a 250 MB huge attachment limit. Mail Lite 10 GB costs 1.25 USD per month on the same annual-only basis and doubles mailbox storage to 10 GB, keeping the 250 MB attachment limit. The small price difference makes the 10 GB tier the more sensible Lite choice for users likely to retain mail, while either option suits teams that do not need Premium’s larger quotas.

Mail Premium costs 4.00 USD per month, billed annually, with no monthly plan. Each user gets 50 GB mailbox storage, 50 GB retention storage and a 1 GB huge attachment limit. It is the stronger fit for storage-heavy mail or larger attachments; the cost is a substantial step up from Lite.

Mail Lite is also shown at 1.00 USD per year, billed annually, with 5 GB or 10 GB per user and a 30 MB attachment limit. That makes the attachment allowance materially smaller than the separately priced Lite tiers’ 250 MB huge attachment limit. Workplace Standard costs 3.00 USD per year, billed annually, or US$4 per user/month billed monthly; it includes Mail and other Workplace apps, 30 GB mail storage per user, and 100 GB team file storage for 3–10 users. Workplace Professional costs 6.00 USD per year, billed annually, or US$7 per user/month billed monthly; it raises mail and retention storage to 100 GB per user and team file storage to 1 TB for 3–10 users. These Workplace plans suit teams wanting bundled apps and shared storage rather than email alone. Both list annual rates alongside monthly alternatives.

Workplace Enterprise has custom pricing and custom limits. Virtual private cloud is available only for subscriptions above 100,000 users, while pooled Mail storage is available only above 1,000 users, so those provisions target very large deployments. Check the exact annual commitment and quota before choosing: the listed Mail Lite and Mail Premium subscriptions have no monthly plan, while the free tier caps teams at five users and one domain.

Platforms

Zoho Mail is available on the web, Android, iOS, Linux, macOS and Windows. Its Desktop Lite app supports Windows 10 or later, macOS 12 or later, and specified 64-bit Linux distributions. That breadth helps mixed-device teams, though the free tier’s lack of IMAP, POP and Active Sync still constrains access through compatible third-party clients.

Who it's for

Zoho Mail is a good candidate for small businesses that need custom-domain mail, several user accounts and central administration, especially when they want migration help or a mobile app with calendar and contacts. Growing teams can choose more mailbox capacity or bundled Workplace apps. It is a weaker fit for a five-user-or-larger rollout that depends on IMAP, POP or Active Sync but wants to stay free, or for buyers who require monthly billing on Mail Lite or Mail Premium.

Pros and cons

Pros: The free tier accommodates five users and one domain, giving a small team a no-cost route to business email.
Pros: Migration covers mail, contacts and calendars from Google Workspace, Microsoft 365 and IMAP providers, easing a service change.
Pros: Admin controls, audit logs and eDiscovery give organisations tools beyond basic mailbox management.
Pros: Mailbox tiers scale from 5 GB to 50 GB, with retention storage and larger attachments on Premium.
Cons: The free plan excludes IMAP, POP and Active Sync, limiting teams that need those protocols.
Cons: Mail Lite and Mail Premium are annual-only, so their low monthly-equivalent prices do not offer monthly commitment.
Cons: The 30 MB attachment limit shown for the separate Mail Lite price entry is far below the 250 MB huge attachment limit on the 5 GB and 10 GB Lite tiers.

Alternatives

Gmail is a better fit for personal users seeking a familiar free inbox and 15 GB shared across Gmail, Google Drive and Google Photos; it is not presented as a custom-domain business hosting alternative here. Proton Mail suits someone who prioritizes encrypted email and can work within its free plan’s 1 GB storage and single email address. Outlook.com is worth considering for a free mailbox with 15 GB storage and web, desktop and mobile access.

Fastmail Masked Email is a paid alternative at 4.00 USD per month billed monthly, with 5 GB mail storage, 1 GB file storage and 600 aliases plus 15 per user. eclipso Mail Europe is another freemium option. Inbox.lv offers a free tier with 20 GB mail storage, though it also caps sending at 300 emails per day and limits recipients per message. Yahoo Mail is a freemium alternative with a 20 GB standard mailbox and inbox organization tools. mail.ch offers a free 1 GB mailbox with one alias, 50 emails per day and a 60 MB attachment limit.

Personal Email Services, Email clients and Email Migration Software are useful starting points for comparing adjacent categories.

Verdict

Choose Zoho Mail if your business needs custom-domain hosting with meaningful administration, migration assistance and a clear path from free mailboxes to larger quotas or bundled Workplace apps. Its strongest case is the combination of business controls and tiered capacity; look elsewhere if the free plan must support IMAP, POP or Active Sync, or if you need monthly billing for Mail Lite or Premium.
