Overview

Novex brings registration, check-in, badges, sponsors, marketing, invoicing and reporting into the same workspace as speaker management. Application forms, travel details, session assignments and email automation support speaker workflows, while badge design and printing, plus branded PDF badges sent with confirmation emails, extend the platform into attendee operations.

Email and WhatsApp campaigns use the same event audience and suppression list, a practical way to coordinate outreach across channels. The interface is available in English and Arabic, including full right-to-left layout. That makes the language support relevant for teams working in Arabic, not just a translated menu.

Security measures include tenant isolation across application, ORM and PostgreSQL row-level security layers, AES-256 encryption for sensitive fields, and primary hosting in the European Union. Novex says it is aligned with EU GDPR, UK GDPR, Saudi PDPL and California CCPA/CPRA; SOC 2 Type II remains on its roadmap.

Key features

Speaker workflow: Application forms, travel details and session assignments cover core speaker coordination needs. The advantage is keeping these tasks alongside event operations; teams seeking only a narrow speaker directory may prefer a more focused tool.
Event delivery: Registration, QR check-in and badge tools connect planning with on-site attendee handling. Beam includes QR e-badges and on-site QR check-in, though its one-event, 150-attendee ceiling limits it to small events.
Campaigns: Shared audiences and suppression lists for email and WhatsApp help keep event communications aligned. Monthly message quotas vary sharply by tier.
Integrations and payments: Spectrum adds REST API access and webhooks. Its AI copilot can use a customer-provided Claude or GPT key. Online payments are available when live on Spectrum, and paid tickets incur a 4.9% plus $1.99 fee per ticket, with card processing included.

Pricing

Novex uses a freemium model, with a free plan and a 14-day trial. Prices and limits favor organisers who can match a tier to event volume; capacity, seats and campaign allowances rise by plan, while Cosmos moves to custom pricing.

Plan	Price and terms	What it includes	Best fit
Beam	Free forever, no card required	One event, up to 150 attendees, email confirmations, QR e-badge, on-site QR check-in, public agenda page; Novex-branded	A small event or a first step into the platform, if branding and strict capacity are acceptable.
Flare	99.00 USD per month; month to month	Up to 3 active events, 1,000 registrations per event, 3 team members, 5 GB storage and 2,000 email campaigns/month	A small team running a few events, provided three seats and email-only campaign quota suffice.
Spectrum	399.00 USD per month; month to month	Up to 10 active events, 5,000 registrations per event, 10 team members, 20 GB storage, 10,000 email campaigns/month and 1,000 WhatsApp Business messages/month	Growing operations that need API access, webhooks, online payments when live, or WhatsApp campaigns.
Aurora	999.00 USD per month; month to month	Unlimited active events and registrations, 25 team members, 100 GB storage, 50,000 email campaigns/month and 1,000 WhatsApp Business messages/month	High-volume teams needing unlimited events and registrations, but still working within defined seats, storage and message quotas.
Cosmos	Custom pricing; annual contract, quote-based	Unlimited events, registrations, team members, storage, email and WhatsApp; SSO, 99.5% uptime SLA and custom onboarding	Organisations that need enterprise-scale allowances and an uptime commitment.

There is a material price discrepancy to resolve before purchase: the pricing note says paid plans start at $299/mo, while Flare is priced at 99.00 USD per month and Spectrum at 399.00 USD per month. Confirm which starting price applies to the intended plan. Flare includes email support with a 24-hour reply target; Spectrum includes priority support with the same target.

Platforms

Novex supports Android, iOS, web and API. The API is specifically included on Spectrum alongside webhooks, so teams needing programmatic integration should weigh that tier against lower-cost plans.

Who it's for

Novex is aimed at event organisers, agencies, associations and in-house corporate event teams running recurring events. It is strongest for teams that want speaker coordination tied to registration, check-in, marketing and reporting. It is less suited to a small one-off event once Beam's 150-person cap is too restrictive, or to teams that need a specialist speaker workflow without wider event operations.

Pros and cons

Pros

Broad event workspace: Speaker tasks sit beside registration, check-in, badges, sponsors, invoicing and reporting, reducing the need to separate these operations.
Coordinated outreach: Email and WhatsApp share an audience and suppression list, with WhatsApp allowances at Spectrum and above.
Useful language and security provisions: Full Arabic right-to-left support, EU hosting, AES-256 encryption and layered tenant isolation address concrete operational needs.

Cons

Capacity and seats are tiered: Flare is capped at three team members and Spectrum at ten; moving up adds significant monthly cost for larger operations.
Ticket costs add up: Paid tickets carry a 4.9% plus $1.99 per-ticket fee, even with card processing included.
Starting-price mismatch needs clarification: The $299/mo starting note conflicts with Flare's 99.00 USD per month price.
Assurance gap: SOC 2 Type II is on the roadmap, not a current certification.

Alternatives

Choose Sessionize if its free community-event plan suits your event; its free use is restricted to community events, excluding internal, private, promotional, marketing, profit or commercial events. Choose BagEvent if you want a paid platform with a Pro tier at 99.00 USD per month billed annually, or $129/month billed monthly, and limits of five events monthly, 1,000 attendees per event and five team members.

Fourwaves is worth comparing if its Starter plan's unlimited registrations and events, 25 annual abstract submissions and 3% service fee better match your submission workflow. Indico is a free, self-hosted option for organisations that want open-source software rather than a paid hosted workspace. ConfTool may fit smaller non-commercial events that can work with its free license on request, up to 150 participants, local installation and no support.

Speaker Dream offers a free plan with unlimited events, sessions and speakers. EasyChair has a free tier capped at 20 submissions and a Professional plan priced at 3.90 USD per submission for up to 60 submissions. X-CD uses custom pricing based on selected modules and services.

Verdict

Novex is a strong fit for recurring-event teams that want speaker management within a broader operating workspace, especially when registration, badges and coordinated campaigns matter as much as session assignments. The main reason to choose it is that connected scope; the main reasons to look elsewhere are its per-ticket fee, tier limits and unresolved starting-price mismatch. Confirm the intended price and check event, seat and campaign needs against the plan caps before committing.
