Overview

Roomzilla combines room and desk reservations with check-in rules and calendar syncing. Its timeline shows availability, and filters for capacity, amenities and location help people find a suitable room. Two-click reservations keep routine bookings direct. This mix is useful for workplaces with varied shared spaces, but teams with only a few resources should compare the free cap against their needs before choosing a paid plan.

Key features

Booking and space management

Alongside meeting rooms and desks, Roomzilla supports reservations for other assets. QR-code quick reservations, interactive maps, approval queues, guest reservations, reports and booking limits give administrators options for managing different booking workflows. That breadth can suit offices, venues, classrooms and home offices; organizations seeking only straightforward desk booking may not need the additional controls.

Check-in and calendar syncing

Check-in rules can automatically cancel a booking when someone misses the configured window, returning unused space to the pool. That is a practical safeguard for busy workplaces where no-shows block access. Roomzilla also describes syncing room resources, users and calendar events with Google Calendar and Microsoft Outlook, which can keep workplace reservations connected to those calendars.

Mobile and room displays

Users can search, book, modify and cancel reservations in a phone or tablet browser. Roomzilla says its room display works with Android tablets and iPads. The mobile browser access covers common booking tasks without requiring a dedicated mobile app for each user, while the stated display compatibility gives workplaces a way to show room information on those tablets.

Pricing

The Free plan is free and allows up to three resources. It is a sensible starting point for a small inventory, but the cap is restrictive for organizations coordinating more spaces. Free includes email support.

Standard is priced per resource, while Business is priced per desk/equipment; both offer unlimited resources. The yearly options are shown at 10.00 USD per year, billed at a monthly rate paid yearly, and the monthly options are 12.00 USD per month. Discounts are available for accounts with more than 30 resources. The choice between Standard and Business therefore depends on what is being managed, and the relevant billing unit matters more as the inventory grows.

A 14-day free trial requires no card. Roomzilla's pricing model is freemium, with paid plans from $10/mo (annual). The lower-cost annual option trades monthly payment for yearly billing; teams comparing plans should also account for whether their inventory is billed per resource or per desk/equipment.

Platforms

Roomzilla supports Android, iOS and web. Reservations can be managed in a phone or tablet browser, and the room display works with Android tablets and iPads.

Who it's for

Roomzilla is a good fit for organizations that need to coordinate meeting rooms, desks and other shared assets, and want check-in rules to free space after missed bookings. Its support for offices, venues, classrooms and home offices broadens its use beyond conventional office meeting rooms. It is less compelling for a team with a very small number of resources that can stay within the free tier, or for a buyer that requires formal customer security documentation: Roomzilla's FAQ says it does not yet have such documentation. Its privacy policy says it collects account and reservation information, including names, email addresses, reservation location, time and stated purpose.

Pros and cons

Pros: Check-in and auto-cancellation can release space after a missed booking, helping reduce idle reservations.
Pros: Room, desk and other asset reservations, along with maps, approvals, guest reservations and reports, support varied workplace booking needs.
Pros: Calendar syncing with Google Calendar and Microsoft Outlook connects room resources, users and events with those services.
Cons: The free plan stops at three resources, so larger inventories need a paid plan.
Cons: Paid plans use different billing units—per resource for Standard and per desk/equipment for Business—which buyers must match to their inventory.
Cons: Roomzilla does not yet provide formal security documentation for customers, a drawback for organizations that require it.

Alternatives

For a broader comparison, see Desk Booking Software and Room Booking Software.

desk.ly is worth comparing if a free plan for up to 15 users suits better than Roomzilla's three-resource cap.
Flexopus may suit buyers seeking a paid option with a 30-day demo plan.
Officely is another option if its free plan for up to five users fits the team better.
Skedda is an alternative for buyers considering a paid booking product.
Deska may suit a very small team: its free Simple plan covers one office, two desks and two users.
UnSpot is another paid alternative to compare.
DeskFlex is a paid alternative with a Growth plan covering up to 25 spaces.
WorkInSync may suit larger organizations: its Standard annual plan has a 250+ employee minimum.

Verdict

Choose Roomzilla if your organization needs room, desk and asset booking with calendar syncing and rules that recover space after no-shows. Its range of booking controls serves varied workplaces, but the three-resource free cap, inventory-based billing and lack of formal customer security documentation give smaller teams and security-conscious buyers clear reasons to look elsewhere.
