Overview

Templates, rich media and a drag-and-drop editor support document creation, while real-time editing, comments and approval workflows help colleagues review work before it goes out. After sending, notifications, reminders and reporting show when documents are opened, viewed or completed. This joined-up process is more useful for teams coordinating deals than for someone who needs only occasional signatures.

PandaDoc also supports product catalogs, Configure-Price-Quote (CPQ), payments within documents, workflow automation and analytics. Its mobile app can be used to view, track, create, sign and upload documents, though accounts on pandadoc.eu cannot use it.

Key features

Document creation and collaboration: Templates and a visual editor help assemble agreements; live editing, comments and approvals bring internal review into the same workflow.
Signatures and tracking: Legally binding e-signatures and signature certificates are paired with activity notifications and reporting, letting teams follow a document through completion.
Payments and sales workflows: Product catalogs, CPQ and payment collection connect commercial documents with the next steps in a transaction.
Integrations and developer access: Integrations include Salesforce, HubSpot, Pipedrive, monday.com, Stripe, Square, Zapier, Slack and Greenhouse. An API, document embedding and developer documentation give teams options for connecting or embedding workflows.
Security and administration: PandaDoc states that it is SOC 2 Type 2 certified and E-SIGN, UETA and HIPAA compliant. It also offers two-factor authentication, SSO, GDPR compliance, system roles and user management on paid plans; custom roles are available.

Pricing

The free plan costs 0.00 USD per free and allows 60 documents per year, up to 2 recipients per document, 5 templates, unlimited storage and unlimited users. That combination makes it practical for light use or a broad team with modest sending needs, but the annual cap and recipient ceiling can constrain active customer workflows. Free eSign downloads are PDF only, not DOCX.

Starter costs 19.00 USD per month, billed annually. It includes unlimited documents sent, unlimited e-signatures and up to 5 templates. It removes the free plan’s sending and recipient caps, making it the entry paid option for regular senders, but the template allowance remains limited.

Business costs 49.00 USD per month, billed annually. It includes the same unlimited sending and signatures and up to 5 templates, plus up to 3 rooms. The rooms may suit teams that need that workspace capacity; otherwise, the stated plan features offer little reason to pay more than Starter.

Enterprise has custom pricing and includes CPQ, workflow automation, smart content, single sign-on, team workspaces and API access. It is the plan to consider when those capabilities are requirements rather than optional extras. PandaDoc also offers a 14-day trial; trial users can send up to 50 documents, and business-email users can send to up to 5 recipients per document during the trial. Free and Starter plans have 24/7 email and chat support; onboarding services and premium support are also offered.

Platforms

PandaDoc runs on the web, Android and iOS, and provides an API. The mobile app supports document work on the go, except for pandadoc.eu accounts. Supported desktop browsers include current Safari on Mac, Chrome and Firefox on Windows and Mac, and Edge on Windows 10.

Who it's for

PandaDoc is best suited to sales and operations teams that create proposals, quotes or contracts repeatedly and want signatures, tracking and payment collection connected. Teams that need collaboration, CPQ or API access can also find a broader workflow here. It is less compelling for infrequent signers who do not need document creation and transaction management, or for users who rely on DOCX downloads from the free plan.

Pros and cons

Pro: Creation, review, signatures, tracking and payment collection fit into one document workflow, reducing the need to separate those steps across tools.
Pro: The free plan includes unlimited storage and users, so its main constraints are sending volume, recipients per document and PDF-only downloads rather than team size.
Pro: API access, document embedding and a broad set of CRM and business integrations support connected workflows.
Con: Free users are limited to 60 documents a year and 2 recipients per document, which may be restrictive for growing or multi-party workflows.
Con: Starter and Business both cap templates at 5; Business adds up to 3 rooms, but its higher price may not suit teams that do not need them.
Con: The mobile app is unavailable to pandadoc.eu account holders.

Alternatives

For a different document workflow or proposal focus, compare these document automation, sales presentation, proposal, digital signature API, proposal management and document workflow directories.

Docomotion is worth comparing if a paid option with Android, iOS, Mac, Windows, web and API support is a better platform fit; its Starter plan is 10.00 USD per year, billed annually.
PDF4me Merge & Split offers a freemium API-focused alternative, including a free API tier with limited calls and a 25.00 USD one-time Pack 500.
DocPayload has a free Starter plan for up to 5 documents, with basic templates, email support and 2GB storage; consider it for a small, limited-volume workflow.
Docmosis is a paid alternative with API, Linux, self-hosted, web and Windows options; its Cloud Professional plan costs 49.00 USD per month and includes 4,000+ pages per month, one user and one environment.
Proposify is another paid proposal option, with a Basic plan at 29.00 USD per month that allows 10 sends per month and charges $0.50 per-send overage.
Gavel is a paid alternative with API, Mac, web and Windows support and a free trial.
Docassemble is free, self-hosted software for readers who prefer that approach; hosting typically costs $10–$40 per month or more depending on needs.
DocuGenerate offers a free tier with 20 documents per month, 2 templates, API and integrations, one concurrent document and no credit card requirement.

Verdict

Choose PandaDoc if your team needs proposals, quotes or contracts to move from creation through signature, tracking and payment in one workflow. Its best reason to buy is that breadth, backed by integrations and developer access; look elsewhere if you need only occasional signatures, depend on DOCX downloads at no cost, or cannot work within the free plan’s annual and per-document limits.
