Overview

Reftab is a cloud-based asset management service for hardware, software, equipment, and IT spending. It is best suited to teams that want barcode-enabled inventory alongside software and license records. Its strongest case is breadth across asset types; its main complication is that hardware and software management sit in separate paid offerings.

Key features

Hardware inventory and workflows

Reftab combines asset records with assignment history, audits, maintenance, requests, and reservations. Custom fields and statuses, reports, exports, and bulk actions give administrators useful control over recordkeeping and routine changes. Employee self-service can make requests part of the workflow rather than a separate inventory process. Barcode scanning and QR codes, backed by iOS and Android apps, suit teams that identify assets in the field as well as at a desk.

The Free plan allows up to 50 assets, but accessories and licenses can be tracked without limit at no cost. Archived assets blocked from checkout do not count toward the active quota, which makes the cap less restrictive for retired equipment than for an active inventory. Hardware Asset Management has unlimited users, so its monthly price is not multiplied by the number of staff who need access.

Software and integrations

Software Asset Management includes SaaS application discovery, installed software tracking, license and user tracking, usage and spend, access reviews, and renewal visibility. It also provides compliance visibility for ISO 27001 and SOC 2. This makes the software offering relevant to teams managing renewals and software obligations, not just a hardware register. Integrations include Intune, Jamf, Jira, Microsoft, Okta, Adobe, and more than 30 others; Complete ITAM is the plan that combines hardware and software asset management and includes all integrations.

Pricing

Reftab is freemium, with a free plan and a 14-day trial for its paid offerings. The listed plans use different billing terms, so compare the scope as well as the price:

Free: Free. It includes up to 50 assets, unlimited inventory and software tracking, mobile apps, and barcode and QR-code support. It is a practical starting point for a small inventory, but the 50-asset ceiling limits its use for growing active fleets.
Hardware Asset Management: 125.00 USD per month, billed monthly. It includes unlimited users, asset tracking and assignment history, barcode scanning, a mobile app, audits and maintenance, and requests and reservations. The 14-day free trial and cancellation anytime make it the clearest paid choice for teams focused on physical assets without per-user pricing.
Software Asset Management: 9.00 USD per year, billed annually. It includes SaaS discovery, installed software, license and user tracking, software usage and spend, access reviews, and renewal visibility. The annual term suits teams seeking software oversight, but it is a separate offering from hardware management.
Complete ITAM: custom pricing based on assets and software users. It combines hardware and software asset management and includes all integrations. This is the integrated option, but its asset- and user-based pricing means teams need to assess both sides of their inventory.

Customers can pay by credit card or ACH. No refund policy is stated.

Platforms

Reftab runs in the cloud and is available on web, iOS, and Android. Mobile apps and barcode support make it a fit for inventory work away from a browser, while the listed platform range is narrower than alternatives that also support self-hosted or desktop environments.

Who it's for

Reftab is a strong fit for IT teams that want hardware records, software and license tracking, and practical inventory workflows in one platform, particularly when mobile barcode scanning or unlimited hardware-plan users matter. It is less compelling for organizations that need one clearly priced bundle for both hardware and software, or whose active inventory exceeds the free tier and whose needs do not justify a paid plan.

Pros and cons

Pro: The free plan includes software tracking and barcode and QR-code support, offering a useful way to begin with up to 50 assets.
Pro: Hardware Asset Management includes unlimited users, audits, maintenance, requests, and reservations at a fixed monthly price.
Pro: Unlimited accessories and licenses, plus excluded archived assets, keep those records from consuming the active asset allowance.
Con: Hardware and software management are separate paid plans; the combined Complete ITAM option uses custom pricing based on assets and software users.
Con: The free tier's 50-asset limit may be too small for teams with a larger active inventory.

Alternatives

Choose Lansweeper if Linux, macOS, Windows, or self-hosted platforms are important alongside web access; its free trial continues free for up to 100 assets with unlimited user seats. LICENSEWARE is worth considering for consumption-based pricing, with a free plan capped at 10 rows per table and a PAYG option at 1.00 USD per month, billed one-off. GLPI offers a Public Cloud plan at 19.00 EUR per month per IT agent, from one billed agent, as well as self-hosted platform support. xAssets ITAM has a free Express Edition for one user with 100 endpoints per user. Open-AudIT offers a free plan with unlimited devices and community support, or a Professional plan at 399.00 USD per year. Nexynt Asset Management has a free tier for up to three users and 500 MB of storage. CMDBuild READY2USE is an open-source project maintained by PAT srl. Device42 is a paid alternative with custom annual subscription pricing based on device count.

Verdict

Reftab is a sensible choice for IT teams that need mobile-friendly hardware tracking with software, license, and contract records close at hand. Unlimited hardware-plan users and a useful free tier are real advantages, but the 50-asset free cap and separate hardware and software pricing mean it is not the simplest fit for every inventory. Choose it when its workflows match your operation; look elsewhere if you need a larger free allowance or prefer a single, transparent price for combined IT asset management.
