Overview

Proof Restoration OS is a cloud field-service platform for restoration and other trade businesses. It suits operators that want damage scoping, insurance paperwork and day-to-day job operations together; its breadth comes with substantial paid-plan costs, usage quotas and a 12-month initial term.

Proof AI, Inc. positions the product for restoration, roofing, plumbing, HVAC, electrical and related trades. CRM, job management, scheduling, fleet tracking, payroll and analytics sit alongside field documentation and estimating tools. Compare it with other Restoration Management Software if the commitment or price is a poor fit.

Key features

Damage scoping: Proof Vision combines thermal imaging, ultrasonic sonar, moisture mapping and computer vision to identify damage and create scopes. This broad mix is aimed at teams whose work depends on documenting property damage, but monthly analysis allowances vary sharply by plan.
Dispatch and calls: Proof Dispatch answers calls around the clock, qualifies leads, creates jobs and ranks crews by distance, certifications and workload. That can bring intake and assignment into the same workflow; call and SMS quotas make expected volume an important cost consideration.
Subcontractor matching: Proof Pulse connects businesses with vetted subcontractors and matches jobs by trade, proximity and availability, a useful extension for teams that rely on outside capacity.
Insurance workflows: The Engine plan generates all seven IICRC document types with one click and exports to TPA or carrier portals. Launchpad pricing includes Xactimate ESX import and export, making it relevant to businesses whose estimating work depends on that format.
Security and evidence: Proof says it uses TLS 1.3 in transit, AES-256 at rest, tenant isolation with database row-level security, role-based access and audit logging. Tenant data sent for AI processing is not used to train AI models, though OpenAI may process it. The cryptographic evidence seal currently applies only to photos uploaded through the mobile app, which is in release preparation; web uploads are being migrated, and moisture readings and e-signatures are outside its coverage.

Pricing

Proof offers a free Proof Pulse tier and three paid plans. The paid plans have a 12-month initial term and require 30 days' cancellation notice. A 14-day satisfaction guarantee is subject to a 50% administrative fee on setup work already performed. Paid plans include monthly call, SMS and AI quotas; overages use graduated rates, so high-volume teams should factor variable usage into the plan cost.

Proof Pulse — 0.00 USD per month: Includes 2 seats, 0 call minutes, 0 SMS, 50K AI tokens, 50 vision analyses and 1 GB storage monthly. Its zero call and SMS allowances limit its usefulness for businesses relying on Proof Dispatch; it is a constrained starting point rather than a free equivalent to the paid tiers.
Proof Launchpad — 997.00 USD per month: Provides 5 seats, 750 call minutes, 500 SMS, 250K AI tokens, 150 vision analyses, 5 GB storage and 100 documents monthly. It is the smallest paid tier, but those allowances may be tight for teams with frequent calls, documentation or damage analyses.
Proof Engine — 2497.00 USD per month: Raises capacity to 15 seats, 2,000 call minutes, 2,000 SMS, 500K AI tokens, 1,000 vision analyses, 25 GB storage and 1,000 documents monthly. Its expanded document allowance and IICRC generation make it the more suitable option for restoration teams with substantial insurance paperwork.
Proof Engine Pro — 4997.00 USD per month: Includes 25 seats, 10,000 call minutes, 10,000 SMS, 5M AI tokens, 10,000 vision analyses and 500 GB storage, plus EU/multi-region data residency, custom branding and API access. It is aimed at larger operations needing much higher quotas or those specific enterprise controls, not teams seeking a low-cost entry point.

Platforms

Proof supports Android, iOS, web and API access. The mobile-app restriction on the current evidence seal matters for teams that capture photos through web uploads.

Who it's for

Proof is strongest for restoration and trade-service businesses that need field operations connected to damage scoping, crew dispatch and insurance workflows. Teams should compare expected seats and monthly usage with the quotas before committing. Businesses seeking a low-cost tool, a short commitment, or an evidence seal covering web uploads, moisture readings and e-signatures should look elsewhere.

Pros and cons

Pros

Combines CRM, jobs, scheduling, fleet, payroll and analytics with damage-scoping and insurance workflows, reducing the need to split those functions across separate systems.
Proof Dispatch handles calls and crew ranking, while Proof Pulse matches subcontractors by trade, proximity and availability.
Engine's seven IICRC document types and TPA/carrier exports directly address restoration paperwork needs.
Engine Pro offers API access and EU/multi-region data residency for larger or more specialized operations.

Cons

The first paid tier costs 997.00 USD per month and carries a 12-month initial term, a demanding entry point for smaller teams.
Monthly quotas and graduated overage billing mean the listed monthly price may not capture the full cost for high-volume calling, messaging or AI use.
The evidence seal's current mobile-photo scope excludes web uploads, moisture readings and e-signatures.

Alternatives

Riivet is worth considering for a lower expected per-seat entry price: Core is expected at 99.00 USD per month per seat, subject to change, and it has a free trial.
Lever360 may suit single-location operators seeking a plan for up to seven users: Business 7 is 378.00 USD per month with a one-year commitment and a one-time $699 setup fee.
RestorationPro offers per-user Field and Office plans at 65.00 USD per month and 95.00 USD per month respectively, with a free trial; consider it if those claim-based tiers better fit your operation.
Smarfle has a Solo plan at 19.00 USD per month, billed month-to-month for one user, with a free trial; it is a lower-cost option for a solo operator.
Albi starts at 60.00 USD per seat per month for Base User, but requires a $6,000 minimum yearly spend and four seats; it may fit teams able to meet that commitment.
RestorationWorkflow offers an organization plan at 69.00 USD per month with unlimited jobs and users, no contracts and cancellation at any time, making it a contrast for organizations prioritizing a flat, flexible fee.
PSA uses custom pricing; request a demo if you want to assess it as an alternative.
Franexis charges 119.00 USD per month per active location plus a platform fee; consider it if a location-based pricing model suits your organization.

Verdict

Choose Proof Restoration OS if your restoration or trade business needs field operations, damage scoping and insurance-document workflows in one platform and can support its paid-plan commitment. Its integrated toolset is the main reason to choose it; the $997.00 USD per month starting tier, quotas and evidence-seal limitations are strong reasons to compare alternatives first.
