Overview

Customers can sign from a tablet, computer, or mobile device, either in advance or at an on-site kiosk. Booking covers person-based admission prices, scheduled or all-day availability, capacity limits, group packages, and deposits. Staff can view booking and participant details alongside each participant’s waiver status, a meaningful advantage for parties and events where a single booking may include many signers.

For arrival, staff can scan confirmation codes with the WaiverScan app or use the dashboard to verify waiver status and mark customers present. WaiverFile can provide a business website on a custom domain, or connect booking and waiver pages to an existing site with matching branding. Signing also supports offline use, guardian signing, kiosk mode, automated reminders, data export, and API access.

Key features

Group coordination: Waiver completion is tracked per participant for groups, parties, and events. This helps staff identify who still needs to sign without losing the context of the group booking.
Bookings for activities: Person-type pricing, capacity limits, deposits, and scheduled or all-day availability suit attractions, classes, tours, workshops, parties, and facility rentals. Businesses needing only waiver collection may not benefit from the additional booking system.
Security and compliance: WaiverFile says it is HIPAA- and GDPR-compliant and describes controls including encryption in transit and at rest, cell-level encryption, data masking, vulnerability scanning, penetration testing, monitoring, and alerting. The Startup with HIPAA, Business with HIPAA, and Growth with HIPAA plans explicitly include enhanced security features for HIPAA.
Integrations and support: The maker lists Zapier, Mailchimp, Constant Contact, PicThrive, GetResponse, and US Lacrosse integrations. Support is available by phone or message; the listed phone number is +1 (877) 791-9984.

Pricing

The free Booking plan has no monthly fee and includes waivers for booking participants, but adds a 6% booking fee, rounded up to the nearest whole dollar, at checkout; Stripe processing fees apply separately. It is a way to start taking bookings without a subscription, but the per-booking charge can outweigh that benefit as booking volume or order value rises.

Standalone waiver plans start with a 30-day or 100-waiver free trial, with no credit card required. Paid plans are monthly, include unlimited waiver storage, and have no contract:

Startup — $19 / Monthly: 150 new waivers per month. This is the lowest-cost standalone option for low-volume businesses.
Startup with HIPAA — $29 / Monthly: 150 new waivers per month plus enhanced security features for HIPAA. It adds those features without increasing the quota.
Business — $49 / Monthly: 400 new waivers per month. A fit for operators whose monthly signing volume exceeds Startup’s allowance.
Business with HIPAA — $79 / Monthly: 400 new waivers per month plus enhanced security features for HIPAA.
Growth — $89 / Monthly: 700 new waivers per month, for higher-volume collection.
Growth with HIPAA — $129 / Monthly: 700 new waivers per month plus enhanced security features for HIPAA.
Premium — $149 / Monthly: 1,300 new waivers per month.
Elite — $249 / Monthly: 4,000 new waivers per month.
Enterprise: Custom pricing for custom volume, with single sign-on and full data isolation.

After a waiver plan reaches its included monthly limit, customers can keep signing, with each additional waiver billed at $0.50. That preserves service during busier periods but makes a low-quota plan less predictable if signings regularly exceed its cap. The included waiver amounts are new waivers per month; unlimited storage does not remove those collection limits.

Platforms

WaiverFile supports Android, iOS, and web. Its tablet, computer, and mobile signing options give customers several ways to complete a waiver, while staff can use the WaiverScan app or dashboard for check-in.

Who it's for

WaiverFile is a strong fit for activity-based businesses that need booking and waiver collection to work together, particularly those managing participant-level completion for groups and checking arrivals on site. Its capacity controls, packages, deposits, and scheduling suit operators with structured admissions or activities. A business that only needs a low-volume waiver tool may find the booking features unnecessary and should compare the monthly quota and overage cost against its expected signings.

Pros and cons

Pro: Booking, participant-level waiver tracking, and check-in sit in one workflow, which is useful for events and group arrivals.
Pro: Signing can happen in advance or at a kiosk, and offline signing, guardian signing, reminders, export, and API access extend the available workflows.
Pro: Waiver plans include unlimited storage and have no contract, while higher-volume tiers raise the monthly signing allowance.
Con: The free Booking plan charges a 6% fee rounded up to a whole dollar, in addition to Stripe processing fees.
Con: Standalone plans cap new waivers each month; overages cost $0.50 each, so recurring peaks can add materially to the monthly bill.

Alternatives

ClickWaiver is worth comparing if a free plan matters or if its Pro tier’s unlimited waivers, templates, API, and webhooks suit the workflow; Pro costs $29.00 USD per month and includes three users and one location.

OnlineWaiverPro offers a free plan and an Android, iOS, and web footprint. Its Basic plan costs $10.00 USD per month and includes up to 50 signed waivers monthly, with additional waivers at $0.15 each, so it may suit a lower-volume budget-conscious operation.

WaiverForever has a free Starter Plan with 20 submissions per month and basic features, making it an option for very small volumes. CleverWaiver offers a free plan; its BASIC tier is $9.99 USD per month for 70 waivers monthly, with extra waivers at $0.20 each.

eWaiverPro is another paid option without a free plan; its Light monthly plan costs $25.00 USD per month for 55 monthly submissions, with additional submissions at 25¢ each. Smartwaiver is also paid and has no free plan, with a $7.00 USD per month Storage Plan that stores waiver and customer data without collecting waivers.

Survtapp has a free tier with three users, 100 responses per month, two kiosk devices, and 120-day data retention, which may appeal to teams prioritizing a free form-and-response allowance. Happy Waiver is a freemium alternative with a $5/month Cent tier.

Verdict

Choose WaiverFile if your activity business needs booking, participant-level waiver tracking, and check-in coordinated in one system. The combination is its strongest reason to buy; look elsewhere if your needs are limited to waivers or if your expected volume makes the $0.50 overage rate or free-plan booking fee unattractive.
