Overview

Teams can build projects online or prepare a data dictionary in Microsoft Excel and upload it. Multi-site access, project permissions, audit trails, scheduling, reporting, branching logic, file uploads, and calculated fields support structured research and operational data collection. The breadth is useful for teams managing complex studies, though organizations must take responsibility for operating the system.

REDCap is server software installed and maintained by an organization’s internal IT staff, with users accessing it through a browser. Deployment requires PHP 8.0 or higher, a MySQL-compatible database, and an SMTP email server; Microsoft SQL Server is incompatible. It is not a hosted service for individual sign-up.

Key features

Exports to Excel, PDF, SPSS, SAS, Stata, and R make it practical to move collected data into reporting and statistical workflows. Its CDIS feature can pull selected structured information from EHRs such as Epic and Cerner using FHIR and OAuth2. An administrator must enable that integration, so its usefulness depends on institutional setup.

The REDCap Mobile App supports offline collection on iPhone, iPad, and Android phones or tablets. It is a useful option for fieldwork without a reliable connection, but requires an account at a REDCap partner institution.

Institutions can deploy REDCap in environments designed for standards such as HIPAA, 21 CFR Part 11, and FISMA. Each organization controls its installation and compliance environment, so those standards depend on local implementation. REDCap is not open-source software: an eligible nonprofit needs an end-user license agreement with Vanderbilt University to obtain the codebase.

Pricing

The REDCap Consortium license is available at no charge to eligible nonprofit organizations, subject to an institutional end-user license agreement. The organization installs, hosts, and supports its own system, so the license price does not remove the need for internal IT capacity. For-profit organizations cannot hold a consortium license or self-host under it, and personal use is not offered.

A demonstration account is free for one time and lasts three days; it cannot be extended. This is a brief demonstration rather than an ongoing free tier, and it does not replace an institutional license for continued use.

Platforms

The software runs on Linux, macOS, and Windows servers and is accessed on the web. Platform support also includes Android, iOS, and an API. Mobile offline collection is provided by the companion app and requires a partner-institution account.

Who it's for

REDCap is a strong fit for nonprofit research teams and organizations that need structured surveys, databases, controlled project access, audit trails, and exports for statistical analysis—and have staff to install and maintain the system. It is also relevant to institutions that can manage their own compliance environment or enable EHR connectivity.

It is a poor fit for individuals, for-profit organizations seeking to self-host under the consortium license, or teams that need a ready-to-use hosted product without internal IT support.

Pros and cons

Research-focused data controls: Multi-site access, permissions, audit trails, branching logic, and calculated fields support complex studies and coordinated teams.
Useful analysis handoff: Exports to major statistical packages can reduce friction between data collection and analysis.
Offline mobile collection: The companion app supports fieldwork without a connection, provided users have a partner-institution account.
Institutional operating burden: Each organization must install, host, maintain, and support its own system, with specific server requirements.
Narrow licensing eligibility: The consortium license is limited to eligible nonprofits; there is no personal-use option, and the software is not open source.

Alternatives

Jotform is worth considering for teams that prefer a web, iOS, or Android service with a free plan; its Starter tier is capped at 5 forms and 100 monthly submissions. Survey Solutions is another free option, with server and tablet components available as free downloads and support for Android, Linux, web, and Windows. Monival may suit smaller teams wanting a free community plan with offline mobile collection, up to 3 forms, 100 monthly submissions, and 5 enumerators.

Akvo Flow offers a free Flow Basic plan for new clients, capped at 300 data point submissions, one export format, and one user. DataScope has a free plan capped at 100 actions per month, 10 users, 3 forms, 5 assets, and one-year storage. FormConnect has a one-time Pro purchase for iPad and iPhone with offline access and a single-user license. TrueContext starts its Digital plan at 400.00 USD per month billed annually, for an entire team, with a maximum of 750 questions per form and 25 Team FormSpaces. GIS Cloud is an alternative to consider for its GIS-oriented publisher plugins and per-asset tracking plan.

Verdict

Choose REDCap if your eligible nonprofit needs a capable research data-collection system and can provide the hosting, administration, and support it requires. Its structured project tools, statistical exports, and optional offline collection justify the institutional effort. Look elsewhere if you need personal access, a for-profit consortium license, or a hosted service without local IT responsibilities.
