Overview

The workflow connects opportunity intake and bid decisions with drafting, review, final lock and export. Opportunity discovery, document management, compliance tracking, reusable content and approvals sit alongside assignments and blocker tracking. That combination is useful when several people contribute and responsibility needs to stay visible; a notice searcher working alone may find the broader workflow unnecessary.

Users can bring in direct notice links from four UK procurement sources. Smart Tenders does not retrieve buyer-portal credentials, attachments or contact details, so teams still need a separate way to gather those materials. Protected workflows cover PDF, DOCX, XLSX, CSV and ZIP files. Word, PDF, ZIP and compliance handoff exports make it practical to pass a reviewed pack into another process.

Key features

Shared response work

Role-scoped access, answer ownership, reviewer evidence and final approval give teams distinct ways to assign responsibility and make sign-off visible. Teams can also track blockers and use approval states. This is a meaningful advantage for multi-contributor bids, though it does not remove the need to gather source materials from buyer portals.

Protected documents and AI boundaries

Protected workspace sessions and tenant-scoped records support separation of workspace activity. Payment details are handled by Stripe; Smart Tenders stores entitlement metadata. AI output is for review only and cannot establish compliance or promise a win, so it should not replace a team's own checks.

Pricing

The free workspace requires no card and starts with 50 workspace credits, making it a low-commitment way to begin.

Starter — 49.00 GBP per month: One saved sector filter and one active tender pack. It fits a supplier testing a repeatable workflow, but the single-pack limit makes it a narrow choice for concurrent bids.
Supplier Workspace — 79.00 GBP per month: Three saved filters, aimed at a team preparing and reviewing live bids. It adds more discovery scope than Starter, while the plan summary does not describe additional pack capacity.
Consultancy / Team — 149.00 GBP per month: Multi-client saved filters, award intelligence, a reusable response library, review-ready briefing notes and a priority feedback loop. This is the clearest fit for advisers and multi-client operations; its higher monthly cost is justified by those broader team and client needs rather than by a stated seat quota.

Paid plans are monthly founding plans, with Stripe checkout and cancellation for future renewal. Review cancellation and refund boundaries before checkout. The stated paid entry price is 49 /user/mo, so team cost can rise with users.

Platforms

Smart Tenders runs on the web. Its document workflows and export options support moving tender packs through review and onward, but the product does not fetch portal attachments or credentials.

Who it's for

Suppliers handling repeat bids, teams that need accountable review, and advisers coordinating multiple clients are the strongest fit. It is less suitable for buyers who expect automatic portal ingestion, or for a solo notice-search use case that does not need drafting and approval controls.

Pros and cons

Pro: Intake-to-export workflow combines bid decisions, drafting, review and approval, helping teams keep work and sign-off together.
Pro: Word, PDF, ZIP and compliance handoff exports give reviewed work several practical handoff formats.
Pro: No-card free access with 50 workspace credits lets teams start before choosing a paid plan.
Con: Portal credentials, attachments and contact details are not fetched, leaving a manual collection step outside the workspace.
Con: Starter allows only one active tender pack, which constrains teams managing concurrent bids.
Con: AI output is review-only and cannot be treated as a compliance guarantee or assurance of winning.

Alternatives

Bid Management Software is the broader category to browse when comparing bid-management options.

BidNet Direct is worth considering if free access to member-agency opportunities, bid submission and real-time bid matches is the priority.
Stotles offers a free plan with three AI bid/no-bid reports and a paid Sales Studio Basic plan at 75.00 GBP per month with upcoming and expiring contracts plus live chat support; choose it if those capabilities better match the need.
Raspond is an alternative for teams seeking a free starter allowance of one RFP per month, three team members and 50 AI-generated answers per month.
Projectory AI offers a 30-day free trial with 15 credits; it may suit readers who prefer a time-limited evaluation before considering its 299.00 USD per month Professional plan.
Klarum has a free, one-user engine tier with capped monthly matches and no document generation or team features; pick it if a constrained solo search tool is enough.
Tendium starts its Light plan at 125.00 EUR per month and includes unlimited users, one tender filter, intelligent search, AI summaries and tender documents, updates and awards; consider it when those discovery features matter more.
Bid Responder has a 29.00 USD per month Starter plan for three team members, ten projects per month, 250 AI answers per month, a knowledge base and exports; it is a possible fit for teams prioritizing those response quotas.
Bidwell is another tender-response option to compare.

Verdict

Choose Smart Tenders if your supplier or advisory team wants one web workspace to carry bids from intake through review and export, with clear ownership and approval. Look elsewhere if automatic buyer-portal collection is essential, or if a single active pack and per-user monthly pricing do not fit your workload.
