Overview

Rentman is a rental and event-production platform for coordinating equipment, crew and project administration. It suits event-rental and AV teams that want those operations connected, especially when staff and inventory move between jobs.

The modular approach lets teams assemble the capabilities they need, but project work depends on paid power users. The €39-per-month Platform plan alone does not cover the users who create and edit projects or schedule equipment and crew.

Key features

Equipment planning and tracking

Teams can check availability, book equipment, arrange subrentals and review costs. QR and barcode scanning support equipment-location tracking, while the Equipment Tracking module adds check-in and checkout, warehouse operations and serialised inventory. These tools make Rentman a stronger fit for rental operations that need to coordinate stock across jobs and locations; teams needing only a basic booking process may not need the added modules.

Crew scheduling and mobile access

Drag-and-drop scheduling helps planners fill shifts according to crew availability, training and cost. The mobile app lets crew accept or decline invitations, report availability and hours worked, and access job notes and files. That gives field staff a way to handle job updates on mobile, though scheduling and project access require power users.

Quotes and project workflows

Rentman can create estimates and proposals, branded quotes and digital-signature approvals. Its Quoting & Invoicing module also includes online payments, invoicing and reports. Rental contracts, online booking and return tracking are supported, extending the system beyond inventory and staffing into the customer-facing rental process.

Integrations and resilience

Integrations include QuickBooks, Xero, Stripe, Mollie, WooCommerce, Zapier and the Rentman API, alongside Calendar, Visma E-conomics, Exact Online, Port-All and Billit. Rentman says its customer databases and connections are encrypted and its servers run in major European data centers. It describes redundant infrastructure, automatic switching between two data centers, nightly backups at a third site and an uptime above 99.995% over the past four years. Support is included; the team aims to answer most questions within an hour and all questions within a day.

Pricing

Rentman has a 30-day trial and a free tier for basic users. Basic users do not plan equipment, schedule crew or create financial documents; those tasks require power users, who are also needed to create and edit projects. That distinction matters: the entry plan is not a free way to run full project operations.

Plan	Price	What it includes
Rentman Platform	39.00 EUR per month, billed Pay monthly; yearly payment saves 8%.	CRM and communication, task management, team collaboration, dashboards and calendars, file sharing, mobile app and API.
Inventory Standard	14.00 EUR per month per Power User	Equipment availability, project scheduling and standard inventory features.
Inventory Pro	19.00 EUR per month per Power User	Equipment availability, project scheduling and Pro inventory features.
Crew Essential	14.00 EUR per month per Power User	Crew scheduling, availability and worked-hours tracking.
Crew Standard	19.00 EUR per month per Power User	Crew scheduling, availability and worked-hours tracking.
Crew Pro	24.00 EUR per month per Power User	Crew scheduling, availability and worked-hours tracking.
Crew Enterprise	Custom pricing	Integrated freelancer marketplace, work-permit and hour tracking, and travel, catering and accommodation features.
Quoting & Invoicing	9.00 EUR per month per Power User	Estimates and proposals, quotes, e-signature approvals, online payments, invoicing and reports.
History Logs	12.00 EUR per month per Power User	Change logs for warehouse, equipment, projects, contacts and crew members.
Equipment Tracking	9.00 EUR per month per Power User	Check-in and checkout, QR and barcode scanning, warehouse operations and serialised inventory.
Additional Warehouse	5.00 EUR per month, billed monthly	Multiple storage locations, equipment allocation across warehouses, and warehouse availability and stock management.

Power-user modules are priced separately from the Platform plan, so the monthly cost rises with the modules and power users a team needs. Inventory Standard and Crew Essential are the lower-cost routes into their respective workflows; the higher tiers cost more, though the listed feature descriptions do not distinguish their inclusions. Additional Warehouse is a separate charge for multi-location stock management.

Platforms

Rentman runs on the web and has Android and iOS apps, as well as an API. The mobile app is particularly relevant to crew members who need invitations, job files and hour reporting while away from a desk.

Who it's for

Rentman targets event-rental teams and AV and event professionals, from one-person operations to large production companies. It is best suited to businesses coordinating equipment and crew alongside quotes and project tasks. A smaller operation that only needs a few basic accounts can use the free tier, but it will need power users to run project scheduling and financial-document workflows.

Pros and cons

Connected rental workflows: Equipment, crew scheduling, quotes, contracts and return tracking sit within one platform, which suits teams coordinating several parts of an event job.
Useful crew mobile access: Crew can respond to invitations, report availability and hours, and open job notes and files from the app.
Costs can stack: The Platform fee is separate from per-power-user modules, so the €39.00 EUR per month starting point does not represent the full cost of project, inventory or crew work.
Basic users have a narrow role: They are free, but cannot create or edit projects or schedule equipment or crew; those jobs require paid power users.

Alternatives

HiveSuite is worth considering for a small crew that wants an all-features Solo plan with one admin and two crew members for 34.99 GBP per month, billed monthly, including VAT; it also has a yearly option at £349 per year, inc. VAT. It has a free trial but no free plan.

Bundus may suit a very small inventory operation: its Starter plan covers 200 inventory items, one user and 1 GB of media storage. It has a free trial, but no free plan, and the Starter price is custom pricing.

Rentificial is the alternative to consider if a free-forever plan is the priority: its free tier is free and limited to 10 assets and one user, with no email accounts. It has no free trial.

Current RMS, KeysBlu, LayCor, FocalPoint Rental Software and Alert Rental Software are other rental-software options to compare.

Verdict

Choose Rentman if your event-rental or AV operation needs equipment, crew and quote workflows in one system, with mobile access for crew and room to add specialized modules. Look elsewhere if you need project scheduling without per-power-user charges: the free basic tier cannot do that work, and module costs sit on top of the Platform plan.
