Overview

Kombat Evolve is an academy-management platform for BJJ and martial arts schools that want student administration, classes and payments in one system. It is best suited to owners who need member booking and attendance alongside belt progression and recurring billing. Its member-based monthly tiers are easy to map to academy size, but the service has no free plan and VAT is additional.

Key features

Members book recurring classes through a live schedule with capacity limits and attendance visibility. QR or tablet-kiosk check-in records sessions, and attendance leaderboards help coaches monitor participation. This combination is useful when classes need more than a timetable; an academy seeking only basic scheduling may not need the wider system.

Retention tools connect attendance with student development. Coaches receive an alert when a student's attendance drops by half, while belt timelines, stripes and mat-time tracking make progress visible. Students also get a searchable, belt-based technique library, a branded booking calendar and an online store for subscriptions, passes and merchandise. These tools can make the service more useful between classes, provided students engage with its digital features.

Owners and coaches get member and role management, multi-location support, revenue analytics, CRM, a website builder, legal documents and e-signatures. Payments support recurring memberships, drop-in passes and SEPA, with Stripe, Klarna and association structures supported. Stripe handles card payments; the maker says payments are PCI-compliant and the platform adds no payment fees. The maker also describes encryption in transit, least-privilege access controls, EU-based hosting and a policy of not selling personal data.

The maker offers a 20-minute demo and help setting up schedules, membership plans, booking, signup and payments. For academies switching systems, it also offers to import members, plans, schedules and payment setup, which may ease the initial move.

Pricing

Starter costs 59.00 EUR per month for up to 100 active members, billed 59€ /mo, with VAT not included. Growth costs 79.00 EUR per month for 101 to 200 active members, billed 79€ /mo. Pro costs 119.00 EUR per month for 201 to 400 active members, billed 119€ /mo. Elite costs 169.00 EUR per month for 400+ active members, billed 169€ /mo. The active-member thresholds make the tiers relevant to academy size, but owners should account for VAT; there is no free plan. A 14-day trial offers a short evaluation window before committing.

The branded academy app is an add-on at +99 €/month on top of any plan, with setup and store submission included. It makes sense for an academy that wants a branded app presence; otherwise, the extra monthly cost is avoidable. No plan seat or other quota is stated beyond active-member limits.

Platforms

Kombat Evolve supports Android, iOS, macOS, web and Windows. That broad platform coverage suits academies with mixed devices among staff and students.

Who it's for

This is a strong fit for academy owners and coaches who want booking, attendance, billing, retention and student progress joined up, particularly at a scale where multiple member tiers or locations matter. The student portal and mobile app also suit schools that want members to handle bookings and explore techniques digitally. A very small school that needs a no-cost starting point, or one that only wants a timetable, should compare simpler or free alternatives.

Pros and cons

Pros

Operational breadth: Booking, attendance, membership payments, CRM and revenue analytics cover much of an academy's administration in one platform.
Progress and retention visibility: Attendance-drop alerts, belt timelines and mat-time tracking connect participation with student development.
Switching support: Schedule and payment setup help, plus imports of members and plans, can reduce migration work.
Clear scale tiers: Monthly prices map to active-member ranges from 100 to 400+.

Cons

No free plan: Academies cannot keep using the platform at no cost after evaluating it.
VAT is extra: The stated monthly plan prices are not the full tax-inclusive cost.
Branded app costs extra: The add-on adds +99 €/month to any plan, so branded distribution may be costly for smaller schools.

Alternatives

Martial Arts School Software is a useful starting point for comparing options across the category.

Choose Clubworx if a free plan for up to 20 active members, including booking, payments and kiosk check-in, is more important than Kombat Evolve's paid member tiers.

Gym Admin offers a free plan for up to 50 active students with billing, attendance and rank tracking, making it worth considering for a smaller school prioritizing a no-cost core system.

Kozaru has a free option after a 30-day trial for up to 20 active students; consider it if that smaller cap and its free entry point suit your academy.

OLM offers free platform access but charges transaction fees on membership invoices and some other sales, so compare its fee structure if avoiding a monthly subscription is the priority.

Spoteca has a free plan for up to 10 billable enrollments, making it an option for a very small operation that can stay within that limit.

Gymdesk is another paid service with a free trial and a $75.00 USD per month plan for up to 50 members; consider it if that cap and price fit better.

Martialytics starts at $69.00 USD per month for 0–50 students and includes unlimited locations, users and emails; it may suit schools that value those stated allowances.

QuickKicks starts at $30.00 USD per month per location for up to 25 active members, an alternative for a smaller school seeking a lower entry price.

Verdict

Kombat Evolve is a good choice for martial arts academies that want member booking, attendance, billing and belt progress managed together, with room to scale across member tiers. Its strongest reason to choose is the breadth of academy and student tools; its clearest reason to look elsewhere is the recurring cost, VAT and lack of a free plan, especially for a small school that can meet its needs with a capped free alternative.
