Overview

Calyx brings clinical notes, consent forms, treatment history, photos and billing into one patient profile. That joined record can reduce the need to keep clinical and payment information in separate workflows. It also covers prescriptions, digital forms, inventory tracking and payment processing, making it a broad operational fit for aesthetic and skin practices.

Its calendar checks practitioner, room and equipment availability, with deposits and automated SMS and email reminders. That is a practical advantage for clinics coordinating rooms and equipment as well as staff. Patients can book, review treatment history and balances, read aftercare guides and message the clinic through a branded portal, giving them useful self-service options without removing the clinic’s role in care.

Key features

Clinical notes and privacy

Calyx Refine restructures shorthand clinical notes; a clinician must approve each summary before it is saved. The maker says it does not invent details, so the tool is positioned as a way to organise notes rather than replace clinical review. AI note tools are optional. When used, clinical text is shared with the AI provider under zero data retention and is not used to train its models.

The privacy policy describes access controls, encryption in transit and at rest, and separation between clinics under a data processing agreement. The maker describes its patient records as UK GDPR compliant and its audit trails as CQC-ready. Those safeguards may suit UK practices, but Calyx does not support HIPAA, so it is not the right choice for a clinic that requires that standard.

Integrations and migration

Stripe, Square, Xero, Klarna and WhatsApp Business are available integrations. QuickBooks, Google Calendar, Apple Calendar, Calendly and Zapier are marked as coming soon, so clinics that depend on those connections should not assume they can use them now. Calyx says it will migrate historical clinical notes, consent forms, patient databases and future bookings for free, which can reduce the work of moving an existing practice onto the platform.

Pricing

The Free forever plan is free and supports two practitioners and up to 100 patients. It requires no credit card, but card payments carry a 1% transaction fee. That makes it a low-commitment starting point for a solo UK aesthetic practitioner, though the patient and practitioner caps make it a limited long-term fit as a clinic grows.

Professional costs 249.00 USD per month and allows up to eight practitioners at one location. It includes 500 AI note summaries per month and a 30-day free trial, with a card required. It is the more appropriate step for a growing single-site team, but the practitioner cap and summary quota make its ceiling clear.

Clinic Pro costs 499.00 USD per month, billed in full at signup. It supports unlimited practitioners across up to three sites, includes priority support and allows up to 10,000 marketing emails per month. Multi-site practices that need room to grow may find its higher limits worthwhile; clinics with fewer users and one location may be paying for capacity they do not need.

Enterprise has bespoke pricing and includes unlimited locations, centralised reporting, a dedicated account manager, custom onboarding and staff training. It is aimed at organisations that need multi-site oversight and guided implementation rather than a standard self-serve plan.

Platforms

Calyx runs on Android, iOS and the web. Its mobile access covers schedules, patients, clinical tools, tasks and finances, which is useful for practitioners who need clinic information while away from a desktop.

Who it's for

Calyx is strongest for UK aesthetic and skin clinics that want scheduling, connected patient records and patient-facing booking and aftercare in one platform. The free tier suits a small solo practice; Professional fits a larger single site, while Clinic Pro and Enterprise address multi-site needs. Clinics requiring HIPAA support, or integrations such as QuickBooks or Zapier today, should consider another system.

Pros and cons

Pros: The patient profile combines clinical records, consent, photos, treatment history and billing, keeping related information together.
Pros: Availability checks across practitioners, rooms and equipment help coordinate appointments, while the portal gives patients booking, aftercare, messaging and balance access.
Pros: Free migration of records and future bookings can ease a changeover, and optional AI summaries require clinician approval before saving.
Cons: The free plan is capped at two practitioners and 100 patients, and card payments incur a 1% fee.
Cons: Paid plans are priced in USD, and clinics needing HIPAA support cannot use Calyx for that requirement.
Cons: Several common integrations, including QuickBooks, Google Calendar and Zapier, are coming soon rather than available now.

Alternatives

For a broader shortlist, browse Med Spa Software or Medical Spa Scheduling Software.

Clinicminds is a paid alternative with a free trial and a subscription starting at 160.00 EUR per month, with a 10% discount on yearly subscriptions. Nextech is another paid option across mobile, desktop and web platforms. Consentz is worth comparing if you want a paid platform with a free trial and Android is not essential, as it supports iOS and web.

PatientNow is a paid alternative with Android, iOS, web and Windows support and tailored pricing. AestheticsPro may suit a small team looking for a paid Android, iOS and web option: Pro-Plus is 160.00 USD per month for two users, with additional users at 85.00 USD per month. Boulevard is another paid Android, iOS and web alternative. Ruevii may suit a solo clinician wanting a web-based paid option; its Solo plan is 179.00 AUD per month per clinician, excludes GST and includes EMR, consent, booking, Stripe payments and SMS reminders.

Verdict

Choose Calyx if you run a UK aesthetic or skin clinic and want patient records, resource-aware scheduling and a branded self-service portal together, with a free tier to start. Its strongest case is the connected clinic-and-patient workflow; its clearest reasons to look elsewhere are the USD-priced paid plans, the free plan’s tight caps and the absence of HIPAA support.
