Overview

BuildBook is residential construction software that connects sales work, project coordination and homeowner communication. It suits custom home builders, remodelers and specialty contractors that want those workflows together; it is a poor fit for large commercial firms and tract builders with internal sales teams and custom systems.

The breadth is the case for choosing it: proposals can lead into schedules, budgets and client updates, with QuickBooks Online syncing for project finances. The one-user free plan is useful for an individual, but teams must weigh the annual paid starting price and seat bands before committing.

Key features

From estimate to project

A pipeline, contact management, estimates, branded proposals, digital approvals and reusable price book give residential sellers a path from lead to approved work. After the sale, Gantt scheduling, task management, budgets, change orders, client selections, expense tracking and file sharing cover major coordination needs. The Gantt view is particularly relevant to teams that need to track work against a timeline; BuildBook does not claim to be built for large commercial construction or tract-building operations.

Client communication and accounting

Project chat rooms, daily logs, client portals, inline comments, notifications and public sharing links provide several ways to keep clients and project participants informed. Guest access can extend participation beyond the paid-user seats. QuickBooks Online sync automatically carries project data, bills, expenses and invoices, reducing the need to handle that financial handoff separately. Schedules can also sync to iCal calendars.

Mobile and safeguards

BuildBook offers web, iOS and Android access. Its native mobile apps provide the stated full feature set, device notifications, camera-roll access and video recording, useful for teams communicating from job sites as well as desks. The privacy policy describes commercially reasonable safeguards for personal information, but does not guarantee that stored or transmitted information cannot be accessed, disclosed, altered or destroyed.

Pricing

BuildBook has a free plan capped at one user, alongside a 10-day trial of every feature. The trial requires no credit card and includes support-team access. Paid plans are described as including unlimited projects, clients and subcontractors, with the seat count determining the tier. Storage rises from 1 TB on Solo to 5 TB on Team and 10 TB on Business.

Free: The one-user cap makes this an option for an individual assessing the workflow, not a working multi-person team.
Solo: $79.00 USD per month billed annually, for one user; the monthly option is $99.00 USD per month. Both include unlimited projects, clients and subcontractors and all features. Solo is the entry paid tier for a single operator.
Team: $149.00 USD per month billed annually, or $179.00 USD per month on the monthly plan. The plan comparison gives a 2–9-user range, while the detailed plan description says 2–5 users; confirm the applicable seat allowance before choosing it. It otherwise includes unlimited projects, clients and subcontractors and all features.
Business: $279.00 USD per month billed annually, starting at 10+ users in the plan comparison; the detailed annual option is $249.00 USD per year, billed starting at $249/mo, for 6–8 users. The monthly option is $299.00 USD per month for 6–8 users. These conflicting seat and annual-price descriptions make it important to confirm the quote for the team size and billing term. Business is aimed at larger teams.

Annual billing lowers the stated monthly price for Solo and Team compared with their monthly options, in exchange for an annual commitment. Business pricing and seat bands require particular care because the comparison and detailed plan descriptions do not align.

Platforms

BuildBook runs on the web, iOS and Android. Mobile apps are described as providing full feature functionality, while iCal syncing lets users add project schedules to mobile and desktop calendars.

Who it's for

BuildBook is best suited to residential custom builders, remodelers and specialty contractors who need sales tools alongside project delivery and homeowner communications. A solo operator can start within the free plan's user cap; teams that need multiple staff, client access and accounting sync should assess the paid seat tier. Large commercial firms and tract builders with internal sales teams and custom software systems should look elsewhere.

Pros and cons

Pros: Sales, project management and client communication sit in one residential workflow, from estimates and approvals through scheduling and daily updates.
Pros: QuickBooks Online sync covers project data, bills, expenses and invoices, while iCal sync can carry schedules into existing calendars.
Pros: A one-user free plan and full-feature 10-day trial without a credit card give individuals a way to evaluate the product before paying.
Cons: The free plan stops at one user, so it does not serve a team without moving to paid seats.
Cons: Business pricing and seat ranges conflict across plan descriptions, so larger teams should verify the applicable price and allowance before budgeting.
Cons: The stated privacy safeguards do not guarantee that information cannot be accessed or changed.

Alternatives

If BuildBook's residential workflow or seat structure is not the right match, these alternatives cover adjacent needs:

Buildxact is another freemium option with a free plan and mobile and web platforms; its Go plan offers five complimentary credits, AI estimating, proposals and Home Depot material ordering.
ClickHome is a paid alternative with a trial and broader platform coverage, including API, Windows and self-hosted options; its Connect plan is a $100.00 USD per month optional add-on to Cloud.
Buildern is a paid, trial-based option for teams; its Starter plan is $225.00 USD per month billed annually for two seats, with additional users at $81 USD per month and free field workers, subcontractors and vendors.
CPro360 is a paid alternative with a free trial and Android, iOS, web and API platforms.
Hyphen CRM is a paid Android, iOS and web option; its listed plan has no stated price, and a demo is required to speak with sales.
Tenon is a paid alternative with a $49.00 USD per month Starter plan billed per user, up to three Builder seats and unlimited Field seats.
Build Method is a paid alternative whose one-user plan is $99.00 USD per month, billed $1,188.00 USD annually, with unlimited projects, customers and vendors.
Constructive is a paid alternative with a Maintenance plan at $60.00 AUD per job.

Verdict

Choose BuildBook if you run a residential building, remodeling or specialty contracting business and want sales, project delivery and client communication tied together, especially if QuickBooks Online sync matters. Its one-user free plan and broad workflow are compelling starting points; the main reasons to look elsewhere are a larger commercial or tract-building operation, or uncertainty about the seat bands and Business pricing that needs resolving before purchase.
