Overview

Simply Fleet brings vehicle records, inspections and maintenance workflows together for operators managing a substantial fleet, particularly across locations or with workshop and compliance responsibilities. Its clearest advantage is connecting inspection failures to follow-up maintenance; its key trade-off is a five-vehicle minimum on paid plans, with telematics connections costing extra.

Founded in 2021 and headquartered in Delaware, Simply Fleet offers web and mobile apps for iPhone, iPad and Android. Its focus on fleets of roughly 50 to 500 or more assets makes it a better fit for organized fleet operations than for a small business seeking a low-cost maintenance-only tool. For a broader view, see our Fleet Management Software list.

Key features

Fleet records and operations: Vehicles, drivers, fuel, expenses, trips and compliance sit alongside maintenance. That breadth can give fleet teams a shared operational system rather than a collection of separate records.
Inspection-to-maintenance workflow: Digital inspections and preventive maintenance are included in Essential. A failed mobile inspection can automatically create a work order, keeping the reported issue and service history connected. Work orders and inventory require Advanced, so teams that need to manage repair follow-through should budget for the higher tier.
AI tools: AI can scan receipts and invoices, turn voice updates into structured records, recommend maintenance schedules and answer questions about fleet data. Each action uses one credit; the monthly allocation depends on plan, while purchased pooled credits do not expire.
Telematics and fuel-card connections: Integrations include Motive, Verizon Connect, Samsara, Geotab, Easy Track, Streamline Transportation Technologies, Safety Track, Bouncie, Wialon, Targa Telematics, Powerfleet and Vestige, as well as WEX fuel cards. These connections are optional add-ons at $0.50 per vehicle per month, an important ongoing cost for fleets that need them.
Location and privacy: The app may collect precise device location when users log fill-ups or trips, including in the foreground or background. The privacy policy describes secure servers and security measures intended to prevent unauthorized access, while also noting that data transmission is at the user's risk. This collection is worth weighing for teams with strict location-privacy expectations.

Pricing

Simply Fleet is freemium, with a free plan and paid options. Although the pricing note says paid plans start at $2/mo, the detailed Essential and Advanced prices are billed per vehicle, and each paid plan requires at least five vehicles. For five vehicles, Essential is $15 /mo or $150 /yr; Advanced is $25 /mo or $250 /yr.

Plan	Price and limits	Included
Free Plan	0.00 USD per free; 5 vehicles, 3 users, 3 parts, 6 months of data storage and 10 one-time AI credits	A capped option for a small fleet or initial evaluation, but its user and parts limits and six-month storage window constrain ongoing use.
Essential (monthly)	3.00 USD per month; $3 per vehicle per month, or $15 /mo for 5 vehicles; 5-vehicle minimum	Preventive maintenance, fuel, services and expenses, digital inspections, trip management, and asset and user management. It covers core operations but excludes work orders and inventory.
Advanced (monthly)	5.00 USD per month; $5 per vehicle per month, or $25 /mo for 5 vehicles; 5-vehicle minimum	Everything in Essential, plus work orders, inventory and priority support. This is the relevant tier for teams that need to turn faults into managed repair work.
Essential (yearly)	30.00 USD per year; $30 per vehicle per year, or $150 /yr for 5 vehicles; 5-vehicle minimum	The same Essential feature set, on annual billing.
Advanced (yearly)	50.00 USD per year; $50 per vehicle per year, or $250 /yr for 5 vehicles; 5-vehicle minimum	The same Advanced feature set, on annual billing.

AI allowances are 10 one-time credits on Free, 2 per vehicle per month on Essential and 5 per vehicle per month on Advanced. Users can try the service free for up to five vehicles without a credit card, or request a 14-day trial with all pro features unlocked. Fleets over 500 vehicles qualify for volume pricing, dedicated onboarding, custom reporting setup and a named point of contact. Those extras make larger deployments more plausible, while the per-vehicle add-on charges should be included in cost comparisons.

Platforms

Simply Fleet runs on web, Android and iOS, with mobile apps described for iPhone, iPad and Android devices. GPS tracking, maintenance management, fuel tracking and compliance tracking are supported.

Who it's for

Simply Fleet suits operators with multiple locations, in-house workshops or compliance obligations who want vehicle records, inspections and maintenance tied together. Essential is a sensible fit where preventive upkeep and digital inspections are enough; Advanced is the better choice when repair work and inventory need to be managed in the system. Smaller fleets may find the five-vehicle paid minimum a poor match, while larger fleets can seek volume terms and onboarding support.

Pros and cons

Pro: A failed mobile inspection can create a work order automatically, reducing the gap between finding a fault and organizing maintenance.
Pro: Essential combines preventive maintenance, fuel and expenses, inspections and trip management, giving operations teams broad coverage in one plan.
Pro: The Free plan permits up to five vehicles and includes a small AI allowance, making it possible to evaluate the service without a paid commitment.
Con: Paid plans start at five vehicles, which can make them unsuitable for very small operators even before optional connections are added.
Con: Work orders and inventory require Advanced, so Essential does not cover the full inspection-to-repair workflow.
Con: Free is limited to three users and three parts, with six months of storage; it is a constrained ongoing plan for teams with growing records.
Con: Precise location may be collected during fill-up or trip logging, including in the background, which may not suit every organization's privacy requirements.

Verdict

Choose Simply Fleet if your operation needs a connected record for inspections, preventive maintenance and fleet administration, especially across several locations or a workshop. The automatic route from failed inspection to work order is its strongest operational advantage, but it requires Advanced; small fleets should also account for the five-vehicle paid minimum and any telematics add-on charges before committing.
