Overview

Clubworx is a fitness-business management system spanning bookings, memberships, payment connections and member communications. It is a strong fit for operators running classes alongside appointments or personal training; its free tier is useful for a small membership, but growth brings firm active-member thresholds and a step up to paid plans.

Key features

Scheduling and attendance

Class, personal-training and appointment timetables share capacity controls, with waitlists for full sessions. Attendance tracking and a self-check-in kiosk extend the system from booking to arrival. This combination suits studios and clubs managing several session types, rather than businesses that need only a standalone calendar.

Communications and member apps

Email, SMS and notifications can handle reminders, campaigns and updates, helping reduce routine manual follow-up. Optional iOS and Android member apps add bookings, payments, waitlists, family accounts, workout tracking and proximity check-in. Because the apps are add-ons, operators who consider a branded member experience essential should account for that separately.

Payments and integrations

Clubworx connects to payment providers rather than processing payments itself; in Australia and New Zealand, it uses Ezidebit for direct debit and card payments. The integrations include Brivo access control, barcode or scanner point-of-sale, Zapier, and connections to Mailchimp, Google Docs, Facebook and Stripe. That range can help fit the system into an existing setup, but payment-provider arrangements remain part of the buying decision.

Security and data location

Clubworx uses encryption for stored and transmitted data, regular security testing and monitoring, automated threat detection and access controls. Personal information is stored in Australia and may be accessed or transferred overseas through service providers, partners or cloud services, a relevant consideration for businesses with data-location requirements.

Pricing

The pricing model is freemium, with a free plan and a 15-day premium trial. The trial requires no credit card; afterward, customers can choose a paid plan or continue on Free. Active members means paying customers, excluding prospects and cancelled members. Exceeding a plan limit moves the customer to the next available plan, so a business near a threshold should budget for the next tier rather than treat the cap as flexible.

Free — free forever: Up to 20 active members, one website, online booking, payment acceptance, email and SMS, self-check-in kiosk and attendance tracking. It is a practical starting point for a small club, but the 20-member cap limits its usefulness as a growing business plan.
Growing — 109.00 AUD per month: Up to 100 active members, retail point of sale and one-to-one onboarding with a customer success specialist. It suits a smaller paid operation that needs retail sales and guided setup.
Accelerating — 149.00 AUD per month: Up to 250 active members, multisite support and custom online forms and waivers. The step up from Growing is justified for operators managing multiple clubs or needing tailored intake documents.
Established — 169.00 AUD per month: Unlimited active members, member assessments, workout tracking, advanced email and SMS sequences, and automatic late-payment notifications. It is the tier for larger memberships and more involved retention or payment follow-up; smaller clubs may not need its extra tools.

Paid plans include chat, email and phone support, plus one-to-one onboarding with a customer success specialist. The listed plans are priced in different currencies, so buyers should compare their costs in the context of their own billing arrangements.

Platforms

Clubworx runs on web, Android and iOS. Member booking apps are available as add-ons for both mobile platforms.

Who it's for

Martial arts and combat-sports schools, gyms, personal trainers, yoga and Pilates studios, dance businesses, and pole and aerial studios are all within Clubworx's intended audience. Its mix of class scheduling, appointments, recurring memberships and attendance tools is most useful to businesses that need to coordinate several parts of member operations. A very small club can start on Free; larger or multisite operators should weigh the paid tiers against their active-member count and required features.

Pros and cons

Pros: Free forever covers up to 20 active members and includes booking, payment acceptance, messaging and attendance tools, giving a small operation a usable starting point.
Pros: Scheduling, capacity controls, waitlists and attendance tracking cover the full path from session booking to check-in.
Pros: Paid tiers offer clear capacity steps, from 100 to 250 and then unlimited active members, with multisite support and advanced member tools at higher levels.
Cons: Moving above a plan's member cap triggers a move to the next available plan, which can make growth more expensive than the initial tier suggests.
Cons: Clubworx relies on payment providers rather than processing payments itself, so operators need to consider provider arrangements alongside the software.
Cons: Member apps are add-ons, not an included baseline feature.

Alternatives

For studios comparing booking-focused options, Fitness Studio Scheduling Software is a useful category; operators focused on recurring dues can also compare Gym Membership Billing Software and Membership Management Software. Martial arts schools can browse Martial Arts School Software, while businesses prioritising a site-building tool can consider Fitness Website Builders.

Gymdesk is a paid service with a free trial and a listed plan at 75.00 USD per month for up to 50 members.

Verdict

Clubworx is a sensible choice for fitness businesses that want scheduling, memberships, attendance and communications under one roof, particularly clubs starting with a small member base or growing into multisite operations. Its chief advantage is the breadth of operational tools across a free entry tier and defined paid capacities. Look elsewhere if provider-dependent payment arrangements or add-on member apps do not fit your needs, or if crossing an active-member cap would make the next tier unattractive.
