Overview

CogNote brings lesson administration and music-reading practice together for private music teachers. It is a strong fit for studios that want families to follow lesson information and students to practise from a link, rather than requiring separate accounts. Its appeal is the combination of adjustable studio policies and notation-based learning; the main trade-off is choosing between hosted student caps and running the software yourself.

Key features

Recurring weekly lessons and one-tap attendance cover routine scheduling, while lesson times account for daylight-saving shifts. Teachers can set cancellation windows, banked make-up credits, and credit expiry to suit studio policy instead of adapting to fixed rules. That flexibility is useful for studios with established make-up practices, though it means deciding and maintaining those rules yourself.

Families use a private link to view schedules, practice links, and notes without logging in. Teachers can also email lesson notes. This keeps family access low-friction, but the portal is link-based rather than an account-based system. Student progress views combine skill radar charts, trend lines, attendance, and per-note quiz analytics, giving teachers ways to review learning as well as lesson participation.

Students can practise with note and symbol quizzes that provide instant feedback, plus SM-2 spaced-repetition flashcards. The notation tools render notes on a staff with clefs, key signatures, and more than 40 musical symbols. Practice links work without student accounts, and the site says the tools work well on tablets. This makes CogNote especially relevant when notation practice is part of the teacher's workflow; it is less compelling for studios seeking only scheduling and billing.

CogNote is MIT-licensed, and users can export their data at any time. Self-hosting offers unlimited students, lessons, and sheet music, but requires running the stack, including Docker or Supabase, email, and backups. That route is a meaningful cost-control option for technically capable users, not a hands-off alternative to hosted service.

Pricing

The hosted Free plan is free and has soft caps of 5 active students, 5 practice lessons, and 5 sheet music items. Invoice sending remains free. Those limits make it suitable for a small studio assessing the workflow or operating within the caps, but growing studios may need to move up.

Hosted Pro costs 5.00 USD per month and includes unlimited students, lessons, and sheet music. New accounts get a 30-day full trial. It is the straightforward hosted choice for studios that have outgrown Free and do not want to manage infrastructure.

The Self-hosted plan is free and includes unlimited students, lessons, and sheet music. The price is free, but the user takes on the stack, email, and backups. Choose it if you can operate that setup; choose Hosted Pro if avoiding that work is worth the monthly charge. CogNote is freemium, with a free plan and a 30-day trial.

Platforms

CogNote runs on the web or can be self-hosted. The self-hosted option adds operational responsibilities rather than removing them, so it best suits users comfortable maintaining the required stack. Students can open practice links without accounts, and the site says the practice tools work well on tablets.

Who it's for

CogNote suits private music teachers who want one system for recurring lessons, attendance, family communication, progress tracking, and notation practice. It is particularly well matched to studios that use make-up credits and want to set their own cancellation and expiry rules. Teachers who need unlimited capacity without a hosted subscription can consider self-hosting, provided they can handle the technical work. Studios that want a managed service and have more than five active students are better served by Hosted Pro than by relying on the Free plan's soft caps.

Pros and cons

Pros: Customizable cancellation and make-up-credit settings let studios use their own policies.
Pros: Families and students can reach schedules, notes, and practice through private links without account setup.
Pros: Notation quizzes, flashcards, and detailed progress views connect administration with music-specific practice.
Pros: Self-hosting provides unlimited students, lessons, and sheet music at no cost, with MIT licensing and data export.
Cons: Hosted Free has soft caps of 5 active students, 5 practice lessons, and 5 sheet music items, so expanding studios may need Pro.
Cons: Self-hosting requires operating Docker or Supabase, email, and backups; it is not a set-and-forget free tier.
Cons: The family portal is accessed by private link rather than a described account-based login.

Alternatives

Music Lesson Scheduling Software is the broader category directory for comparing scheduling tools.

Choose Adagio if Android or iOS access matters; it also has a free plan and is made by the team behind Musopen.org, a California-based registered 501(c)(3) nonprofit. Harness is another free-plan option; its Hobby plan supports up to 5 students and includes scheduling, attendance, a family portal, transaction ledger, income and expense tracking, and reports.

Nova Music may suit teachers who want a free plan for up to 10 students, group lessons, direct messaging, and 100 MB of file storage, with iOS and web platforms. Consider Clefwise if its 3-student free plan, invoicing, online payments, parent portal, and lesson notes align better with a smaller studio; it runs on iOS and web.

My Music Staff is a paid alternative at 14.95 USD per month for a single teacher account, with Android, iOS, and web access; each additional teacher or administrator costs $4.95/month. taktjam is another paid option, with Android, iOS, and web platforms and a Solo plan at 12.00 EUR per month or €120 / year.

AMES uses a transaction-fee model, with a Standard starting rate of 1.25 % per contact on successful payments collected through AMES. Duet Partner charges 9.00 USD per month for its Monthly Plan, includes all features at a flat rate regardless of studio size, and adds a 1% transaction fee on family digital payments.

Verdict

CogNote is a compelling choice for private teachers who want studio administration and notation practice in one place, especially when family and student access without accounts matters. Hosted Pro at 5.00 USD per month removes the Free plan's caps, while self-hosting keeps the plan price at no cost in exchange for operating the stack. Look elsewhere if you need a fully managed system without those hosted limits at a different price point, or if maintaining self-hosted infrastructure is not acceptable.
