Overview

DealersCloud CRM is a lead-management system for independent car dealerships, from single-lot stores to multi-rooftop groups, including Buy Here Pay Here operations. It is strongest for dealers who want customer records and lead routing alongside inventory, desking and other dealership functions. Custom pricing makes a quote essential before weighing its cost against alternatives.

Key features

Lead handling and customer records

Website, marketplace, phone and lot leads feed into one queue, while emails and texts stay attached to the customer record. Dealer-defined groups receive leads in round-robin order, and a timer can pass untouched leads to the next person. That gives teams a clear handoff mechanism, though its usefulness depends on setting sensible groups and response intervals.

Automatic merging is limited to obvious duplicates with matching phone numbers and email addresses, and each merge can be undone. The reversible merge is a practical safeguard against split customer histories without making a mistaken match permanent. Lead source capture, SMS messaging and workflow automation are also supported.

Connected dealership operations

The wider platform spans inventory and VIN decoding, deal desking and F&I, accounting and financial reports, marketing feeds, a custom dealership website, Buy Here Pay Here and floor plan functions. Connections include RouteOne, Dealertrack, CUDL and CARFAX, as well as marketplace feeds from Cars.com, CarGurus and Autotrader. Dealers seeking a CRM alone may not need that breadth; stores trying to bring several dealership operations together may value it.

Every plan includes the description generator, CRM re-engagement campaigns and dealersGPT chatbot. Advanced DealersAI functions—such as AI automation, web chat, an AI receptionist, response management, vehicle appraisal, price analysis and sales and CRM intelligence—are premium add-ons, so the included AI should not be confused with the full suite.

Security and support

DealersCloud says it runs a SOC 2-aligned security program with encryption, role-based access controls, multi-tenant isolation and a 99.9% uptime SLA. Its trust page says it supports CCPA and GDPR requests and does not sell dealership or end-customer data. Onboarding, live training and ongoing phone, email and chat support are provided. The company says its team handles migration, configuration and staff training, with most dealerships up and running within hours and without downtime.

Pricing

DealersCloud uses custom pricing based on dealership size, with no per-seat fees, hidden costs or long-term contracts. The Core Platform combines CRM and lead management with inventory and VIN decoding, deal desking and F&I, accounting and financial reports, marketing feeds and a custom dealership website. The flat monthly subscription is quoted according to inventory volume and data feeds, and includes unlimited users. That structure may suit teams with many staff, but buyers still need a tailored quote to establish the monthly cost.

DealersAI Premium Add-on is also custom-priced, based on dealership size and AI usage volumes. It adds advanced AI automation and tools for chat, calls, response management, appraisal, pricing and sales intelligence. Stores that only need the included description generator, re-engagement campaigns and chatbot can avoid paying for these premium capabilities; those pursuing broader AI automation should include the add-on in their quote comparison.

Platforms

DealersCloud CRM runs on web, Android and iOS. Mobile app access is included on every plan, with the app available through the Apple App Store and Google Play. This gives dealership staff a mobile option without separating it into a higher-priced tier.

Who it's for

This is a focused fit for independent dealerships that want a shared lead queue, timed reassignment and customer communication records, especially if they also want inventory, finance, accounting or other dealership functions from the same platform. Its multi-rooftop and Buy Here Pay Here scope broadens the fit beyond single-store sales teams. A buyer seeking only a CRM, or one that needs to compare costs before engaging a vendor, may prefer to evaluate alternatives first.

Pros and cons

Pros: Leads from four dealership channels converge in one queue, with timed reassignment to keep untouched prospects from staying with one person indefinitely.
Pros: Duplicate merges are reversible, and matching both phone and email limits automatic merging to clearer matches.
Pros: Unlimited users and no per-seat fees make the quoted dealership-level pricing potentially workable for larger teams.
Pros: The mobile app is included across plans, and basic DealersAI tools are included as well.
Cons: Custom pricing requires a quote, making direct cost comparison difficult before speaking with the company.
Cons: Advanced DealersAI capabilities cost extra, so the included AI tools do not cover the entire AI offering.

Alternatives

For a dealership comparing dealer-management systems, start with the Dealer Management Systems Software list; for a CRM-focused shortlist, use Automotive CRM Software.

DexDMS is another paid web option for independent dealerships, with one subscription and no setup fees; its price is provided after a demo. Advectus Heavy Truck DMS is a paid option for Android, iOS and web. DealerOS publishes monthly tiers: Starter at 1499.00 USD per month for 30 inventory units, Professional at 2499.00 USD per month for unlimited inventory, and Enterprise at 3999.00 USD per month; consider it when comparing explicit monthly tiers with DealersCloud's custom quote. EasyCars is a paid option for Android, iOS and web. Autosoft DMS, Tekion Automotive Retail Cloud, Dealertrack DMS and DX1 are other paid web-based alternatives.

Verdict

DealersCloud CRM is a strong candidate for independent dealerships that want multi-source lead management, reversible duplicate cleanup and customer communications in a broader dealership platform, with mobile access and unlimited users included. Its main reason to choose is that operational breadth; its main reason to look elsewhere is the need for custom pricing, particularly if a dealership wants to compare costs without first requesting a quote.
