Overview

desk.ly brings workplace reservations and utilisation analysis into a single hybrid-workplace system. It is a strong fit for organisations coordinating several kinds of office space, but teams that need mobile bookings should budget for Enterprise or Enterprise Plus.

Employees can reserve desks, rooms and parking, while administrators can use booking data to assess occupancy and utilisation. Browser access requires an internet connection and no special software, hardware or servers.

Compare it with our Desk Booking Software and Room Booking Software directories when weighing workplace booking tools.

Key features

Reservations across the workplace

Desk.ly handles desk, meeting-room and parking reservations, with floor-plan views and booking check-in. Bringing these bookings together is useful for hybrid offices managing more than desks alone. The plan split matters, though: Corporate focuses on desk booking, while rooms, parking and guest booking start at Enterprise.

Occupancy and utilisation

Analytics use booking data to show occupancy and utilisation, giving workplace teams a basis for identifying underused space. The optional desk.ly Connect add-on tracks actual workplace use, automates check-in and provides utilisation insights without costly hardware investments. That distinction makes Connect more relevant to organisations that need usage data beyond reservations, though it is an add-on rather than a stated inclusion in the plans.

Integrations and mobile access

The service advertises more than 250 integrations, including Microsoft Teams, Outlook and Google Calendar. Enterprise Plus adds HRIS connections such as Workday, Personio and SAP SuccessFactors, calendar synchronisation with Google and Outlook, and a RESTful API. The native iOS and Android apps support booking desks, rooms and parking, but are included in Enterprise and Enterprise Plus—not Corporate. Teams seeking phone-based booking therefore need to account for that upgrade.

Pricing

The free plan costs 0.00 EUR per free and supports up to 15 users for as long as the organisation needs it. It is a notably accessible way to start, with Enterprise features, but the user cap makes it a small-team option rather than a route to unlimited free use.

Corporate costs 165.00 EUR per month, billed per user and month. It includes desk booking, analytics, Microsoft and Google SSO, and a Microsoft Teams app. This is the most focused paid tier for organisations whose primary need is desk booking; it gives up room, parking and guest reservations, the mobile app and personalised support found in Enterprise.

Enterprise costs 275.00 EUR per month, billed per user and month. It adds meeting rooms and catering, parking, guest booking, mobile apps and personalised customer support to Corporate features. It suits organisations that need a broader booking programme and phone access, although per-user billing means the listed monthly price scales with the number of users.

Enterprise Plus has custom pricing and includes Enterprise features, 300+ licences, an API, HRIS integrations, calendar synchronisation and heatmap analytics. It is aimed at larger organisations with integration and reporting requirements that go beyond the standard tiers. A free trial is offered; the plan terms do not give a trial length.

Every plan is marked GDPR compliant and ISO/IEC 27001 certified.

Platforms

Desk.ly runs on the web and has native Android and iOS apps; an API is also part of its platform offering. Browser use needs an internet connection. The key platform caveat is plan-based: mobile booking is included only with Enterprise and Enterprise Plus, despite the apps supporting all three booking types.

Who it's for

Desk.ly suits hybrid organisations that want desk reservations alongside occupancy analytics, and especially those managing rooms, parking or visitor bookings in the same system. Small teams can begin on the free plan, while larger workplaces can consider Enterprise tiers for broader bookings and integrations. It is less compelling for a team that needs mobile bookings on Corporate or wants room and parking reservations without moving beyond that plan.

Pros and cons

Pros: The free plan supports up to 15 users indefinitely, making it practical for a small team to adopt before committing to paid seats.
Pros: Desk, room, parking and guest bookings can be combined with occupancy analytics, reducing the need to treat each workplace reservation separately.
Pros: Enterprise Plus supports 300+ licences and adds an API, HRIS integrations and heatmap analytics for larger or more integrated deployments.
Cons: Corporate lacks meeting rooms, parking, guest booking and mobile apps, so organisations needing those capabilities face a substantial step up to Enterprise.
Cons: Enterprise Plus is custom pricing, so organisations must seek a quote rather than compare it against a fixed per-user rate.

Alternatives

Officely is worth considering for teams that want a freemium desk-booking option with a free plan for up to five users or a simple paid desk-booking tier.

Roomzilla may fit organisations focused on room resources, with a free plan for up to three resources and a paid Standard option for unlimited resources.

Skedda is an alternative for buyers who prefer a paid service with a Starter plan that includes 15 spaces and unlimited users and bookings.

DeskFlex offers a paid Growth plan for up to 25 spaces that combines desk and meeting-room booking with visitor management and workplace analytics.

WorkInSync is another paid choice, but its Standard annual plan has a 250+ employee minimum, making it a better match for larger organisations.

Trezod is a paid alternative with visitor management and sign-in among its base-platform capabilities.

deskbird is a paid option for organisations seeking desk, room and parking booking with native mobile apps and check-ins.

Kadence is a freemium alternative that combines desk and room booking with visitor management, workplace analytics and interactive floor plans.

Verdict

Choose desk.ly if your hybrid workplace needs coordinated reservations plus a way to understand how space is being used; its free tier is a practical starting point for up to 15 users. Look elsewhere if mobile access is essential but the Enterprise spend is not, or if your requirements exceed the free cap and you need a fixed Enterprise Plus price before evaluating the upgrade.
