Overview

DialPhone replaces a physical fax machine and dedicated line with online sending and receiving. It provides a virtual fax number, inbound faxing and international service in 105 countries, with local numbers available on request. That combination fits organizations consolidating fax operations across offices or countries better than occasional personal faxing.

Key features

Faxes can be sent from native Mac, Windows, iOS and Android apps, the web app, Microsoft Teams, Outlook, Gmail, Box, Dropbox, Google Drive or a print driver. DocuSign and Adobe Sign integrations let teams fax signed PDFs. This breadth is useful when documents already live in several systems, although a user needing only a basic web sender may not benefit from all of it.

Inbound faxing, number porting and branded cover pages support established office processes. Porting is free, typically takes 2 to 5 business days and is designed to avoid service interruption. Cover pages can add a logo, sender details and a confidentiality statement. Failed transmissions retry automatically; most US deliveries take 30 to 90 seconds, while international deliveries using T.38 or G.711 fax-over-IP generally arrive in under two minutes.

Every transmission creates a timestamped delivery confirmation and audit-log entry. AES-256 encryption at rest and in transit, role-based inbox access, immutable audit logs and multi-region data residency strengthen control over sensitive documents. DialPhone describes the service as HIPAA, FINRA and GDPR compliant, PCI-DSS ready, and offers a Business Associate Agreement. Those controls make it a credible fit for healthcare, financial services and legal organizations.

Pricing

The 14-day trial requires no credit card, but there is no free plan.

Basic

Basic costs 9.99 USD per month, billed annually, with a minimum of one user. Each user gets one local phone number and a 1,500-minute monthly fair-use cap. It is the sensible starting point for a solo operator or very small office that can accept annual billing and moderate usage; it is less suitable for teams or heavier fax traffic.

Professional

Professional costs 17.99 USD per month, billed annually, and requires at least three users. It raises the fair-use allowance to 3,000 minutes per user per month, includes 250 AI receptionist minutes, 2,500 AI chatbot conversations and 30-day recording storage. The higher minimum seat count makes it a team plan rather than a cheap upgrade for one person.

Enterprise and other plans

Enterprise has custom pricing, a minimum of 10 users and a 30-day paid pilot, making it appropriate for larger deployments that need an evaluation period. DialPhone AI Pro has custom pricing and unlimited fax pages, but is included only with Advanced or Ultra plans. Fax 3000 Solo has custom pricing, allows up to 3,000 pages per month and targets small practices.

Platforms

DialPhone runs on Android, iOS, macOS, the web and Windows. The native apps plus browser and desktop integrations allow users to move between office computers and mobile devices without changing the fax workflow.

Who it's for

Healthcare, financial-services and legal organizations are the clearest matches because compliance commitments, audit trails and controlled inbox access address regulated-document needs. Distributed teams and international operations also benefit from the country coverage, local-number requests and extensive integrations. A solo user with only occasional fax needs may find the annual Basic term and minute cap less appealing than a prepaid or free alternative.

Pros and cons

Pros: Broad app, web, print-driver and business-system sending options; inbound faxing and virtual numbers; free porting with a typical 2-to-5-business-day transition; automatic retries and delivery records; HIPAA, FINRA and GDPR positioning with a BAA; international reach across 105 countries.
Cons: No free plan; Basic requires annual billing and is limited to one user and 1,500 minutes per user monthly; Professional requires three seats; several higher-tier offerings use custom pricing.

Alternatives

For a broad comparison, see Online Fax Services. Choose OTG Networks vFax instead if a 15.00 USD month-to-month Starter plan with unlimited calling, transcription and basic analytics better matches a communications-led setup. InterFAX suits senders wanting prepaid faxing without monthly minimums. Pick Dropbox Fax (formerly HelloFax) for a web-only freemium service with five outbound pages free, while inbound faxing requires payment. ETHERFAX is an alternative for API, self-hosted or Linux environments. FAX.PLUS offers a free 10-page allowance and a 30-day paid-plan period. GTC Cloud-Fax provides page packages for API and web users. FaxTerra offers 10 free monthly pages to US and Canada. OVHcloud Fax is worth considering for low-cost PC and email faxing with a dedicated number.

Verdict

Choose DialPhone Online Fax if your organization needs inbound and outbound faxing across mobile, desktop and office applications, with compliance controls, auditability and international coverage. Look elsewhere if you need a free or prepaid option, month-to-month entry pricing or a very small page commitment without annual billing.
