Overview

Fleet Service 365 is fleet-management software that combines maintenance, inspections, asset records, and telematics connections. It suits operators coordinating vehicles and field inspections, especially those whose telematics provider is supported. The free tier is useful for a small fleet, but its caps make paid plans the practical choice for growing operations.

Key features

Maintenance and work orders

Preventive maintenance can be scheduled by odometer, engine hours, or calendar, with work orders and technician notifications generated from those schedules. That makes the system relevant to teams that need service triggers tied to how an asset is used, rather than relying only on dates. Fuel and meter tracking, reporting, and work orders round out the core fleet records.

Mobile inspections

The iOS and Android app supports mobile DVIRs with photos, signatures, GPS, timestamps, and offline use. Defects can automatically generate work orders, a useful link between a driver's inspection and follow-up maintenance. Custom inspections and fuel-cost tracking are also supported.

Telematics and integrations

Named telematics connections include ATTI, Geotab, Samsara, Motive, and Verizon Connect. Fleet operators using one of those providers can pair tracking with the system's maintenance and inspection workflows; operators using another provider should verify fit before committing. A separate FS365 product brings fleet operations into Microsoft Dynamics 365 Sales, Customer Service, and Field Service.

Security and deployment

The privacy policy describes TLS 1.2 or higher encryption in transit, AES-256 encryption at rest, and database row-level tenant isolation. It also says personal information is not sold and customer telematics data is not used to train cross-customer models without written authorization. Self-hosted deployment is offered in a customer VPC or on-premises Kubernetes, with BYO KMS, SSO, and SIEM; that option will matter most to organizations with deployment or security requirements that favor customer-controlled infrastructure.

Pricing

Fleet Service 365 has a free Starter plan, paid plans from $6/mo, and a 14-day free trial that requires no credit card. Paid prices are billed annually per asset, so the monthly figures should not be mistaken for a flat organization-wide fee.

Starter: Free, with up to 3 assets, 1 user, up to 25 customers, 25 vendors, and 25 contacts, plus 1 GB storage. It is a reasonable trial ground for a very small operation, but one user and three assets sharply limit team use.
Standard: $6.00 USD per month, billed $72 per asset annually. It includes unlimited assets and users, parts and inventory management, tire management, custom roles and permissions, priority chat support, and 50 GB storage. This is the sensible tier for fleets that need operational scale and inventory controls without Pro's GPS and routing features.
Pro: $8.00 USD per month, billed $96 per asset annually. It adds real-time GPS tracking, speed reports, advanced routing, a sandbox environment, a named support contact, a 99.9% SLA, and 250 GB storage, alongside unlimited assets and users. It is aimed at fleets that need live tracking and a formal support commitment; smaller operators may not need the upgrade.

Starter's asset and user limits are the main reason to move up. Standard and Pro remove those caps, but annual per-asset billing means the total rises with fleet size.

Platforms

Fleet Service 365 supports Android, iOS, web, API, and self-hosted deployment. The mobile app is specifically used for field inspections, while self-hosting is available in a customer VPC or on-premises Kubernetes.

Who it's for

The product is built for fleet operators, with use cases spanning trucking, construction, field service, manufacturing, and government. It is strongest for teams that want maintenance schedules, inspections, and fleet records in one system, particularly when they use a supported telematics provider. A three-asset, single-user Starter plan is not a fit for a larger team; those fleets will need a paid plan.

Pros and cons

Pros: Maintenance schedules can trigger work orders and technician notifications, connecting planned service to action.
Pros: Offline mobile inspections capture evidence and can turn defects into work orders, supporting field teams with intermittent connectivity.
Pros: Standard and Pro include unlimited assets and users, while the named self-hosted option supports customer-controlled deployment.
Cons: Starter is capped at 3 assets and 1 user, making it a narrow free tier for anything beyond a small fleet.
Cons: Paid plans bill annually per asset, so pricing scales with fleet size rather than remaining a fixed monthly charge.
Cons: Real-time GPS, speed reports, and advanced routing are reserved for Pro, so fleets needing those functions face the higher tier.

Alternatives

For a wider starting point, browse Fleet Maintenance Software. Choose Trimble Viewpoint Vista if you want cloud-hosted or on-premises deployment and are comfortable contacting sales for pricing. VAPTA is another option, with a £5-per-vehicle monthly Fleet + Workshop plan covering fleet management, workshop workflows, procurement, and custom inspection sheets.

AUTOsist may suit buyers seeking an annual per-vehicle maintenance and GPS/telematics plan; it has a five-vehicle minimum and volume discounts above 100 vehicles. EMDECS offers shop-oriented monthly plans, including a Small Shop tier with one user and two technicians for $320.00 USD per month, so it is worth considering when a repair shop's staffing and accounting-export needs are central.

Fleetio starts its Essential plan at $4.00 USD per vehicle monthly when billed annually, or $5 billed monthly, with pricing assuming five assets; it is a lower-priced starting point for smaller fleets. PTC FMS uses monthly per-vehicle, per-module pricing with no setup fees or long contracts. AMCS Fleet Maintenance uses pricing tailored to organizational requirements. FleetPal offers personalized per-unit pricing based on fleet size, requirements, and features used.

Verdict

Fleet Service 365 is a strong fit for fleet operators who want maintenance, inspections, and telematics-connected records in one product, with a meaningful free tier for up to three assets. Choose Standard when you need to remove Starter's limits and add inventory management; choose Pro when live GPS, routing, or its 99.9% SLA justify the higher annual per-asset rate. Look elsewhere if those limits or billing terms do not fit your fleet.
