Overview

OnStage combines service preparation with volunteer scheduling and team communication. That breadth can replace a patchwork of planning tools for a church; teams that only need to present songs may find the wider workflow unnecessary.

The company says it conceived OnStage in 2023 and released its first version in February 2025. It is headquartered in Santandrei, Romania. Antonio Vinter is CEO and Co-Founder, alongside co-founders Emima Vinter, Emanuel Farcău and Beniamin Szilagyi.

Key features

Events and assignments

Teams can create events and rehearsals, assemble setlists, assign people to positions and reuse event templates. Reminders, a service calendar and team notifications support the coordination around each service. Templates can cut down repeated setup, while the combination is most useful for teams managing both the plan and the people who carry it out.

Songs and communication

The song library covers chords, lyrics and song structures, with PDF imports, annotations, key changes and capo settings. That gives musicians room to prepare songs and note performance changes in the same service-planning workflow. Team and event chats add attachments, polls, replies and read receipts, useful for keeping practical coordination alongside the event rather than relying on a separate conversation channel.

Calendar and offline access

OnStage can sync events, rehearsals and blockouts with Google Calendar, which helps teams keep schedules visible outside the service planner. Calendar sync works on iPhone, iPad and Android. The app also supports offline access for rehearsals and services, a material advantage when internet access is unreliable at a venue.

Pricing

Starter costs 0.00 USD per free and does not expire or require card details. It allows up to 5 members, 200MB of storage and 5 events per month, with reminders, chat, annotations and PDF song imports. That is a low-risk fit for a small team or a limited trial of the workflow, but five monthly events and 200MB leave little headroom for a busier schedule or a growing library.

Paid plans are billed monthly or yearly, with yearly billing available at 15% off. Each paid size has the same features; the differences are member, storage and event limits. The monthly prices and allowances are:

Plan	Price	Members	Storage	Events
20 Members	10.00 USD per month	20	2GB	25 per month
50 Members	26.00 USD per month	50	4GB	100 per month
85 Members	50.00 USD per month	85	8GB	150 per month
150 Members	60.00 USD per month	150	11GB	200 per month
400 Members	100.00 USD per month	400	32GB	400 per month
1000 Members	135.00 USD per month	1000	64GB	Unlimited

The 20-member tier suits a small organization that has outgrown Starter, while larger tiers make room for more people, files and events without changing the feature set. The 1000-member plan is the only one with unlimited events. Choose by the cap that is most likely to constrain your team, not just by headcount.

A free trial is available. Paid plans can be billed yearly at 15% off; the monthly prices above make the starting cost clear, but the yearly total depends on that discount.

Platforms

OnStage runs on Android, iOS, macOS and the web. Google Calendar sync is available on iPhone, iPad and Android, so desktop users should not assume that particular integration works across every platform.

Who it's for

OnStage is best suited to churches that need to coordinate services, rehearsals, volunteer assignments and song preparation together, especially when offline access and Google Calendar sync matter. Smaller teams can start without payment, while teams with more members or frequent events can step up through several capacity tiers. It is a weaker fit for groups seeking only a song-presentation tool or unwilling to pay once Starter's tight caps become restrictive.

Pros and cons

Pros: Event planning, assignments, song materials and team chats share one workflow, reducing the need to coordinate those tasks across separate tools.
Pros: Offline rehearsal and service access, plus Google Calendar sync on mobile, supports teams working across venues and calendars.
Pros: Starter has no expiry or card requirement, giving small teams a genuine ongoing free option.
Cons: Starter's 5-member, 200MB and 5-events-per-month limits are restrictive for active or growing teams.
Cons: Paid plans scale by capacity rather than feature set, so teams needing more members, storage or events must move to a larger monthly commitment.

Alternatives

Worship Planning Software and Church Scheduling Software are useful starting points for comparing category options.

Choose WorshipTools Presenter if presentation is the priority: its free plan includes 10 users, 500 MB of cloud storage, 15 items per service and unlimited services and songs, and it runs on Android, iOS, Linux, macOS and Windows.

AssemblyFlow offers a free full app for congregations of 50 or fewer members, with the main worship assembly and one operator. Planning Center has separate free Calendar, People and Services plans, while Ministry Planner provides one free tool per church account, including scheduling for one team and up to 1,000 volunteers.

WorshipTeam.com is a paid alternative with a $14.00 monthly subscription for up to 5 users, unlimited songs and unlimited song storage. ServeFlow: Worship Planner is a free option for iPhone and iPad. Ministry Order is another paid alternative with a free trial. Worshipful is worth considering for a pay-what-you-want model, with a $5/month minimum and core features included.

Verdict

Choose OnStage if your church wants one place to plan services, assign people, prepare songs and coordinate the team, with offline access as a bonus. Its permanent free tier makes a small-team start straightforward, but the tight event and storage limits are the main reason to look elsewhere or budget for a paid size.
