Overview

HOA Simplify is a shared workspace for association boards, property managers, and residents handling dues, records, elections, and maintenance. It suits organizations that want resident services alongside accounting and portfolio tools, rather than a payment portal alone. Smaller communities can start on lower-capacity plans, but payment fees and plan limits make the full cost worth checking against expected use.

Key features

Accounting and governance

AI Smart Accounting can produce financial reports and budget alerts in response to natural-language questions, and record expenses, payments, and journal entries through chat. Assessment billing, financial statements, bank reconciliation, and budget tracking cover core accounting needs. The breadth is useful for boards trying to bring routine financial work together, though the chat-based functions may not matter to communities that already have a separate accounting workflow.

Election tools support quorum tracking, proxy voting, ranked-choice voting, anonymous results, and an election archive. That is a stronger fit for associations with formal voting procedures than for boards that only need occasional informal polls.

Resident and portfolio tools

Residents can pay dues, view documents, submit maintenance requests, vote, and book amenities through a portal that can be installed as a PWA on mobile devices. Property managers get cross-HOA reporting, reusable dues templates, bulk resident imports, and a portfolio activity feed. Those tools are most relevant when one manager handles several associations; a single small HOA may have less use for the portfolio layer.

AI Smart Import maps CSV columns from Buildium, AppFolio, PayHOA, or spreadsheets, with preview and rollback. It gives organizations a way to bring existing records across while retaining a chance to inspect and undo a migration.

Connections and security

Stripe payments and QuickBooks Online sync are built in. Slack, Google Calendar, Zapier, DocuSign, Plaid, and Twilio are marked as coming soon, so teams that depend on those connections should not choose the product on the assumption that they can use them now.

The listed safeguards include AES encryption, two-factor authentication, IP allowlisting, session management, secure file storage, automatic backups, and access controls. The company is still building its formal compliance program as the platform matures, a consideration for associations with specific compliance requirements.

Pricing

The pricing page gives monthly prices alongside higher launch-pricing amounts. Community is 79.00 USD per month, billed $99/mo Launch Pricing, for up to 50 units. It includes basic accounting and billing, a resident portal, document storage, standard reports, and email support. This is the entry paid tier for smaller associations that can work within its unit cap and do not need the advanced functions in higher plans.

Association is 119.00 USD per month, billed $149/mo Launch Pricing, for up to 125 units. It adds advanced accounting and billing, vendor management, board meeting tools, custom reports, mobile app access, and priority email support. Standard costs 179.00 USD per month, billed $229/mo Launch Pricing, and covers up to 200 units with advanced accounting, vendor management, board meeting tools, custom reports, mobile app access, and priority email support. The two plans share much of their feature set; the practical distinction is the unit ceiling, so Standard is for communities that have outgrown Association.

Premium is 379.00 USD per month, billed $449/mo Launch Pricing, with unlimited units, full feature access, advanced analytics, API access, custom integrations, priority email support, and priority feature requests. It is the tier for larger or more technically demanding operations, but its price is a substantial step up from Standard.

Basics has custom pricing and a 25-unit limit. Enterprise has custom pricing and custom capacity, with a custom support plan. Community, Association, and Standard support email, while the higher tiers offer priority email support. A 14-day trial is offered. The pricing page also describes a free plan, but a free-plan cap and terms are not given in the plan details.

Platform fees are 0.75% per transaction with a $5 minimum for PMC-managed HOAs and 1.25% per transaction for standalone HOAs, in addition to Stripe fees. These charges can change the economics for associations processing frequent or large payments, so compare them with the subscription price rather than treating the monthly plan as the whole cost.

Platforms

HOA Simplify runs on the web, Android, and iOS. Residents can also install the portal as a PWA on mobile devices. Mobile app access is included from Association upward, while the resident portal is part of Community.

Who it's for

HOA Simplify is best suited to boards that want integrated resident services and structured voting, or managers who need to oversee multiple associations. Its accounting tools, CSV migration path, and portfolio reporting serve organizations with ongoing administrative workloads. A smaller HOA with few units and simple needs may find the higher tiers unnecessary; groups with strict formal-compliance expectations should also weigh the company's still-developing compliance program.

Pros and cons

Broad resident and board coverage: Dues, documents, maintenance, amenity bookings, voting, and accounting share one workspace.
Useful migration controls: CSV mapping, preview, and rollback support a more cautious move from common HOA systems or spreadsheets.
Meaningful payment fees: The platform charge applies on top of Stripe fees, with a $5 minimum for PMC-managed HOAs.
Plan ceilings matter: Community, Association, and Standard stop at 50, 125, and 200 units respectively; unlimited capacity starts at Premium.
Some integrations are not ready: Teams relying on Slack, Google Calendar, Zapier, DocuSign, Plaid, or Twilio cannot yet count on those connections.
Compliance program is maturing: Associations with formal compliance needs should account for that alongside the listed security safeguards.

Alternatives

Neighborhood.online is the alternative to consider when a free web-based option is the priority. SMPLR HOA is worth comparing for communities that want a paid mobile-and-web option with a Community plan priced at 25.00 USD per month, billed annually at the 25-home minimum.

HOA-I is another paid mobile-and-web alternative with a free trial; its Small HOA plan is 110.00 USD per month, billed monthly. Perfect HOA is a paid mobile-and-web option with a free trial and a 0-25 units plan priced at 49.00 USD per month, billed yearly.

RunHOA is a web, iOS, Android, and macOS alternative with fixed annual pricing of 399.00 USD per year, unlimited units and users, and a 30-day free trial. TownSq offers a Pro plan at 90.00 USD per month for up to 300 units and one community, with a 30-day trial for a one-year term that auto-renews annually.

Village is a free web-based option with every feature, no seat limits, and no credit card requirement. NeighborhoodHQ is another mobile-and-web alternative with a free plan.

Verdict

Choose HOA Simplify if your association or management company will use its combination of resident services, accounting, elections, and portfolio tools. Its migration controls and built-in Stripe and QuickBooks Online connections strengthen the case for a consolidated workflow. Look elsewhere if transaction charges dominate your costs, your community exceeds a lower plan's unit limit, or you need integrations or a mature formal compliance program that the product does not yet provide.
