Overview

InstalTrack brings stage planning, field documentation and customer sign-off into one workflow. Managers can set timelines, assign crews and scheduling windows, and oversee active projects; customers can see progress by stage and approve it digitally. That focus suits installation delivery better than teams looking for a general-purpose project system.

Field records cover progress and handovers, with digital project documentation and photos carrying timestamps and location data. Mobile work can continue offline and sync automatically later, which helps crews working where connectivity is unreliable. Customizable stages and team roles support different operating processes, though the work remains organized around projects and stages.

Key features

Planning and field records

Crew scheduling and project timelines help coordinate concurrent jobs and allocate work windows. The combination of records, handovers and location-tagged photos can give managers a consistent view of site progress. It is most useful when jobs have repeatable milestones; operations built around loosely structured tasks may not benefit as much from this stage-led approach.

Customer approvals

Customers can follow stage progress and provide remote digital approvals, keeping sign-off within the project workflow. That is a practical advantage for installation businesses that need customer confirmation at milestones rather than only at final completion.

Pricing

The Free plan costs 0.00 EUR per month, billed per month, and includes all features, the Android mobile app, up to 10 projects and 50 stages. It is the sensible starting point for a small operation, but those caps can constrain a team running many jobs or using many milestones.

Professional costs 25.00 EUR per month billed annually, or EUR 35.00/month billed monthly. It raises capacity to 100 projects and 500 stages while retaining all features and the Android mobile app. The annual rate is lower, but requires annual billing; the monthly option costs more for teams that need flexibility.

Enterprise costs 75.00 EUR per month billed annually, or EUR 95.00/month billed monthly, and allows up to 1000 projects and 5000 stages, with all features and the Android mobile app. It is aimed at larger project volumes; teams that exceed even those limits can ask about Custom & White Label, which offers tailored requirements, custom limits and features, and a branded platform and apps at custom pricing.

A free trial is offered. The paid tiers primarily expand capacity rather than remove feature restrictions, since all features are included across the stated plans. Plan details name the Android app, while the platform also offers iOS and web access.

Platforms

InstalTrack runs on the web and has Android and iOS apps. Offline mobile work with automatic sync is useful for field crews, while managers and customers can work through the web platform. The maker describes project photos, notes and technical specifications as stored in a secure location. Support is by email and phone, Monday through Friday, 9:00–17:00 GMT.

Who it's for

Solar, heating, HVAC, electrical, plumbing, security and EV-infrastructure installers are the intended audience. It is particularly relevant to businesses that schedule crews, document site work and need customers to approve stages. The free tier suits modest project volumes; growing teams should compare their active workload and stage count with the paid caps before choosing a plan.

Pros and cons

Pros: All features are included on the free plan, so small teams can use the core workflow without paying while staying within 10 projects and 50 stages.
Pros: Offline mobile work syncs automatically, and timestamped, location-aware photos support field documentation.
Pros: Customer progress visibility and digital stage approvals connect sign-off to project delivery.
Cons: The free tier's project and stage ceilings may force an upgrade as workload grows.
Cons: Annual billing is required for the lower quoted Professional and Enterprise rates; monthly billing costs more.
Cons: Plan inclusions name the Android app, while iOS access is part of the platform offering rather than a stated plan inclusion.

Alternatives

For a broader solar-specific comparison, see Solar Installation Software. Choose OpenSolar if solar design and sales alongside project management are the priority; its OpenSolar Pro plan is free of charge. FieldExecutives is another option for teams comparing a free tier capped at two users with paid user-based plans.

SolarSAAS may suit buyers seeking a paid solar package that includes AI solar design, CRM, inventory and supply chain. SolarEdge Go is a free mobile option for users with SolarEdge account credentials. Aurora Solar is worth considering if a paid plan with stated per-user monthly pricing and project limits is a better fit.

SenseHawk is another paid option for teams comparing solar software. Sitetracker suits buyers comfortable with user or usage limits set in an order form. SolarProjeX is an alternative with paid plans that state user and storage allowances.

Verdict

InstalTrack is a good choice for installation contractors who want stage-based project coordination, field records and customer approvals in one workflow. The all-features free tier makes it approachable for small workloads, and offline mobile work is a meaningful field advantage. Look elsewhere if your projects do not map well to stages, or if the capacity limits and annual-versus-monthly price differences do not suit your operation.
